Before enabling an AI feature that can retrieve or act on ERP data, verify who it acts as, which records it can reach, where prompts and results go, and what prevents an unreviewed answer from becoming a business transaction. Start with least-privilege access tied to an authenticated user, map the complete data path, apply classification and DLP controls where the specific products support them, and keep ERP approvals and human review in force.
1. Inventory sensitive data and AI connections
Start with a record of the data the AI feature could retrieve, summarize, send onward, or change. Include the ERP system of record, data owners, connected AI features, agent clients, service identities, retrieval or indexing services, model providers, logs, and tools that can take actions.
Classify data such as customer and employee personal information, payment and financial records, pricing, forecasts, payroll, supplier terms, and intellectual property. For each class, decide whether it may be retrieved or summarized, under what conditions, and whether it may be included in prompts, outputs, indexes, or logs. NIST’s EO-critical software guidance recommends maintaining a data inventory and using fine-grained access controls; it is a useful control reference, not a complete ERP-specific standard.
2. Make authorization follow the user
Prefer integrations that authenticate individual users and enforce their actual ERP roles, privileges, record-level security, and data policies for every request. Review those permissions before connecting AI: a user who already has excess ERP access may expose more through a fast natural-language search. Remove unnecessary permissions from users and service principals, and understand any shared or service identity well enough to determine whose authority it represents.

Check that reads and actions use supported application APIs and retain the ERP’s validation and business logic, rather than bypassing controls through direct database access. In Microsoft’s Dynamics 365 ERP MCP implementation, each request is evaluated using the connected user’s ERP permissions; Microsoft says the MCP server “doesn’t elevate privilege.” The page, Security for Dynamics 365 ERP MCP – Finance & Operations, was last updated August 19, 2026. This is a documented behavior of that implementation, not a guarantee for other ERP connectors or AI features; verify and test the configuration you will deploy.
3. Trace every place ERP data can go
Draw the full path for each AI feature, from the ERP through the connector, retrieval or indexing layer, orchestration and agent client, model provider, logs, and any connected tools. Record the processing region, retention period, deletion behavior, training or product-improvement use, subprocessors, and onward-transfer paths. Check prompts, retrieved passages, generated outputs, action payloads, and audit logs separately; they may have different handling.
Do not infer the agent’s behavior from the connector’s behavior. Microsoft’s Dynamics ERP MCP documentation says its MCP server returns results to the calling client for the request and does not itself store customer ERP data. It also makes clear that data movement or retention by an external agent client is separate. Review the client and model provider’s own terms and settings before treating the end-to-end flow as understood.

Vendor statements need to be checked against the particular service, tenant configuration, and contract. For example, SAP says customer data is not shared with third-party LLM providers to train their models, while data may be used to improve products where permitted. SAP also describes encryption, tenant isolation, masking, filtering, and locally hosted in-region options. These statements are SAP-specific; confirm which protections and terms apply to the subscribed service and feature.

4. Apply classification and DLP at supported boundaries
Use data classification and sensitivity labels to identify material that needs stronger handling. Where supported, apply encryption and ensure retrieval and sharing respect both the user’s authorization and the label’s usage rights. Scope data loss prevention (DLP) policies to the AI workloads and storage locations they actually cover, and confirm that the policy can control the action you care about, such as processing, copying, or sharing.
Microsoft documents Purview controls that include classification, endpoint DLP warnings or blocking for some use of third-party AI websites, and policies that can restrict supported Copilot experiences from processing content with selected sensitivity labels. Availability depends on the product, operating system, workload, and deployment. Consult the current documentation for the exact combination in use; do not assume a label or DLP rule protects every ERP connector, AI client, or file type.

5. Treat retrieved content as untrusted
Records, documents, and emails retrieved by an assistant can contain incorrect or malicious instructions. Microsoft identifies indirect prompt injection as a potential vulnerability when a third party puts instructions into content an AI system can access. Limit retrieval to approved sources, test whether the feature can be induced to expose or misuse retrieved content, and grant connected tools only the permissions needed for their task.
Require explicit confirmation for high-impact actions, and do not treat model instructions, filtering, or DLP as an authorization boundary. The security boundary must remain the authenticated identity, the ERP’s permissions, and its business controls.

For finance, HR, procurement, and operational work, require an authorized person to verify AI-generated recommendations against source records before relying on them. Keep separation of duties, approvals, transaction limits, and validation rules in the ERP. Microsoft cautions in its FAQ for Copilot data security and privacy for Dynamics 365 and Power Platform that “Copilot responses aren’t 100% factual.”

For supported actions through Dynamics ERP MCP, Microsoft says standard APIs, application validations, and server-side business rules continue to apply. That safeguard is specific to the documented interface and supported actions; it does not remove the need to review consequential output or test how a different integration handles writes and approvals.

Where lawful and appropriate, retain enough evidence to connect a prompt, retrieval, output, and action to the user and system identity involved. Monitor unusual access patterns, unexpected data movement, suspicious agent actions, and attempted policy bypasses. Decide who receives alerts and who can disable a connector, revoke credentials, or suspend an AI feature.
Define an incident route for exposed prompts, unexpected retrieval, suspicious actions, or loss of control over a connector. Test backups and restoration for ERP data and platform dependencies, and train roles according to their responsibilities. NIST’s EO-critical software measures include security event logging, continuous monitoring, backup restoration, role-based training, and incident handling. Microsoft Purview documentation also describes auditing and monitoring features for supported AI interactions; check whether those features cover the specific workload and events you need.

8. Validate the deployment before widening access
Use a limited rollout to verify that the intended controls work with real roles, records, and workflows. Include tests for both permitted and denied access, record-level restrictions, sensitive labels, unexpected instructions in retrieved content, and actions that require approval. Check that logs identify the relevant user and action, and rehearse disabling access and restoring service after an incident.
- Confirm the AI feature and agent client use the expected identity, and test access with users in different roles.
- Trace a sample request through retrieval, model processing, logs, and any action tool; confirm retention, region, and onward-transfer terms with the providers and contract.
- Test classification and DLP policies on the exact data types, workloads, and platforms in scope.
- Verify that high-impact actions require the intended human approval and still pass through ERP validation.
- Confirm monitoring, incident contacts, credential revocation, and restoration procedures before expanding the rollout.
Microsoft describes protections for named Dynamics 365 and Power Platform Copilot services, including current-user access to data, encryption at rest and in transit, and a statement that tenant data and prompts are not used to train Microsoft AI models unless an administrator opts into sharing. These are vendor statements for those services; validate current tenant settings and terms rather than extending them to unrelated integrations.
