Prepare a construction AP migration by setting a conversion cutoff, configuring the destination, cleaning and mapping the records transactions depend on, and deciding how to carry open invoices and history forward. Before normal posting resumes, reconcile the converted balances by account, vendor, job, and cost type—not just by company-wide totals. Exact import fields and posting controls depend on the source and target platforms, so use the target vendor’s current instructions for the actual conversion.

1. Set the cutoff date and decide what moves

Choose a conversion date, preferably at the end of a reporting period that can be closed and reported consistently in the old system. Record the date and define which records the new system must contain to support payment, reporting, and project operations.

  • Unpaid AP invoices and vendor credits.
  • Subcontract balances and retainage.
  • Job-cost history and open commitments, if teams need them in the destination system.
  • Payments or checks issued around the cutoff, with a documented treatment for each.

Make an explicit choice for older history: migrate transaction-level detail, bring forward summarized balances, or retain read-only access to the old platform. A construction migration guide treats history depth as a decision to document, rather than an automatic default. 2. Configure the destination before loading transactions

Set up the destination and confirm its conversion controls before importing AP records. The order matters because transactions refer to configured master records and may trigger ledger or job-cost postings.

For example, Trimble Spectrum’s AP conversion sequence starts with AP installation settings and processing dates, then sets up vendors and subcontractors, use-tax codes, document tracking, and invoice-approval routing before entering current invoice balances and prior subcontract invoice totals. This is an example for Spectrum, not a universal sequence. Follow the equivalent setup order and conversion instructions for the actual destination product. Trimble Spectrum AP conversion instructions describe that product’s process.

3. Clean and map master records

Prepare a reviewed crosswalk between the source and destination before building transaction import files. Include every identifier or code that transactions and project reports rely on.

  • Chart-of-accounts codes.
  • Vendor and subcontractor IDs.
  • Job or project IDs.
  • Cost codes and cost types.
  • Other referenced records, such as tax codes or document categories, when the target requires them.

Set a documented policy for duplicate and inactive records: determine which records to merge, retain, or exclude, and resolve exceptions before loading invoices. Preserve source IDs when the target supports that approach; otherwise, map each old ID to an approved destination ID. Trimble ProContractor’s import reference says an external ID can be supplied for each source record and used to map links between imported records. Check the destination’s current template for field lengths and valid values before finalizing files. Trimble ProContractor’s chart-of-accounts import field reference is an example of product-specific guidance.

Do not match job IDs just because they look alike. Approve and test mappings between accounting-system jobs and any project-management job or project IDs feeding commitments or cost data. An incorrect mapping can move costs between jobs even when the overall total still agrees, a risk highlighted by Constructelligence’s migration guide.

4. Decide how to carry forward history and open AP

Separate open operational records from older history. For each category, decide whether it must be a live record in the target, can be represented by a summarized opening balance, or will remain accessible only in the old system. Make sure the choice preserves the detail needed for payment processing, aging, job costing, retainage, and commitment tracking.

Build the cutoff AP schedule

Extract an AP aging as of the cutoff with vendor-level open invoices. Include invoice identifiers and dates, due dates, amounts, credits, and required job or subcontract coding. Reconcile the selected invoices and credits to the AP control balance in the trial balance before importing.

If the destination supports balance imports, verify the exact template and whether open bills must be entered separately from general-ledger balances. Xero’s conversion guidance, for example, says unpaid bills must be entered when importing balances for its AP system account. That is specific to Xero’s process; check the selected platform’s instructions rather than assuming the same rule applies elsewhere. Xero’s Conversion Toolbox guidance explains its approach.

Choose subcontract invoice detail deliberately

For job subcontracts, establish whether the new system needs each current invoice as an open record or a lump sum representing prior billed amounts. Spectrum’s conversion instructions distinguish current subcontract invoice balances from lump-sum prior invoice amounts and include controls intended to avoid unintended job-cost and general-ledger postings during conversion. Confirm equivalent treatment with the destination vendor or implementation lead; do not assume another product uses the same representation. Trimble’s Spectrum instructions provide the product-specific example.

5. Run a controlled load and reconcile the results

Use a trial load or controlled conversion before routine AP posting resumes. Compare old-system cutoff reports with destination reports at the same date and scope. Include these checks:

  • Trial balance by account: compare account balances, including the AP control account.
  • AP aging by vendor: compare open invoices and credits by vendor and in total, then reconcile the total to the AP control account.
  • Job cost to date: compare totals by job.
  • Job cost by job and cost type: check categories used by the business, such as labor, material, subcontract, equipment, and other.
  • Retainage: compare amounts held and owed by job.
  • Commitments: where included in scope, compare open commitments and remaining amounts by subcontract or purchase order.

Company-wide totals alone are not enough: costs can shift between jobs while the aggregate remains correct. Document each variance as a resolved error or a known mapping or timing item. Set project-specific acceptance criteria with the finance owner and implementation team; there is no universal migration tolerance. Constructelligence’s guide recommends comparing account, vendor, job, cost-type, and commitment detail. Its worked example shows old-system cost to date of $1,230,418.72 versus $1,229,968.72 in the new system, a $450 difference; those are example figures, not an industry benchmark.

6. Control posting, review conversion reports, and sign off

Prevent opening data from creating duplicate ledger or job-cost entries. Identify the destination’s conversion-mode settings and confirm in writing with the implementation lead which posting options should be disabled or otherwise controlled, when to restore normal settings, and how payments already issued will be represented.

Spectrum’s procedure illustrates why a product-specific checklist is necessary: it includes temporarily clearing GL and job-cost posting options, printing and checking the AP Transaction Register, entering manual checks for converted invoices when applicable, reviewing the Manual Check Register and Aged Payables Report, and restoring normal posting settings. Do not copy those switches or steps into another system without confirmation. Trimble’s current Spectrum conversion instructions say to “Print an Aged Payables Report.”

Before returning to business-as-usual posting, have finance review the conversion registers, aged payables, reconciliations, documented exceptions, and the final posting setup. Keep the old system available according to the history-access decision made at the cutoff.

What to confirm with the software vendor

Because the source and destination products are unspecified, import fields, templates, and posting behavior cannot be prescribed universally. Use the target product’s current documentation and confirm the following for the selected version and configuration:

  • Required import templates, field lengths, valid values, and record dependencies.
  • Whether open invoices, vendor credits, retainage, and prior subcontract billings are imported as detail or balances.
  • How conversion records affect AP, general-ledger, and job-cost posting.
  • Which reports and registers are available to validate the conversion.
  • How already-issued checks and payments should be recorded across the cutoff.
