Use the marketplace’s authorized route for the specific data and purpose: an approved API or listing-feed integration for marketplace data, or a supported export/report for records in your own property-management account. A public webpage is not permission to scrape it, and API access does not automatically allow bulk downloads, storage, resale, or redistribution.
First identify which data you need
“Real estate data” can mean several different datasets, and they may have different owners, access routes, and use restrictions. Separate them before choosing a tool:
- Listings and availability: marketing details, photos, tours, pricing, and availability submitted to a marketplace.
- Property attributes and public records: parcel or property details gathered from public records or other sources.
- Property-management records: operational records held in your own organization’s account, potentially including tenant or owner information.
- Account and transaction data: information associated with your user account or use of a service.
- Marketplace estimates: platform-generated values such as home-value estimates, which may have distinct access and reuse terms.
Decide whether you need internal reporting, migration, consumer display, analytics, or redistribution. A route that permits one purpose may not permit another.
Choose a permissioned extraction route

Do not assume one provider’s procedures apply to another. For AppFolio, Yardi, RealPage, Buildium, or another service, confirm current documentation and your account’s terms directly rather than extrapolating from Zillow’s rules.

What Zillow’s documented routes allow
Sending your rental listings to Zillow
Zillow Group’s Rentals Feed Integrations page says property-management companies and property-management systems can apply to send listings through its automated feed program. Zillow accepts XML conforming to its Rental Listings Feed Guide and MITS. Integration approval comes before feed work, and Zillow tests production data before launch. The page says testing typically takes 4–6 weeks; it is not a guaranteed launch timeline. Zillow states, “There is no cost to participate in the program.” That statement applies to participation in this feed program, not to every Zillow API or data license.
Using Zillow API data
Zillow describes its API as a service for preapproved licensees. The API terms cover components such as home valuations, property details, mortgage rates, posted-for-sale homes, and real estate professionals. Approval is tied to the API components and sites in the license. The terms constrain presentation, bulk user access, retention of copies, direct marketing, and separate extraction or reuse. Read the terms for the exact API and use before collecting data; an API key is not blanket permission for bulk extraction or redistribution. See Zillow’s API terms.

Accessing Zillow Rental Network materials
Zillow’s Rental Network advertiser terms prohibit automated scraping or data extraction without written permission. They also prohibit automated queries such as screen or database scraping, spiders, and crawlers, and limit Account Portal and ZRM Materials to the permitted purpose. Do not use browser automation to collect those materials unless Zillow has authorized that use in writing.

Requesting a personal data copy
A Zillow account holder can request a personal-data copy through the Zillow Privacy Portal. Zillow Help says collection and verification may take up to 45 days, and the export may be a machine-readable JSON file. The described copy excludes property information Zillow receives from public records and other sources, as well as Zestimate data. Using public-records data
Zillow’s public-records data terms describe a Retsly API and SDK for aggregated public-record information. Access requires registration and written approval for the application. The terms restrict use to displaying data to consumers in approved applications, prohibit bulk access and caching or storage, and prohibit scraping or use outside the approved purpose. They also disclaim guarantees that the data is accurate, complete, or reliable. Public-record status does not itself make data unrestricted for reuse. Review Zillow’s Public Records Data terms.
Build an authorized workflow
- Document the dataset and purpose. List the fields you need, the source, who controls the records, and whether the result is for internal use, migration, display, analytics, or redistribution.
- Confirm authority and scope. Check your contract, account permissions, API or feed approval, and any required written permission. Confirm allowed fields, users, geography, display or attribution requirements, retention, and deletion rules.
- Get the supported specification. For a feed or API, obtain the current schema, authentication method, field definitions, update process, and testing requirements from the provider. For your own account data, ask the vendor which supported export or reports apply to your account.
- Implement only the approved route. Map fields to the provider’s schema, protect credentials, and use the required authentication and transport. Do not substitute page scraping for a documented feed or export.
- Validate and govern the result. Reconcile record counts and identifiers; inspect missing, stale, or malformed fields; secure personal information; restrict access; and enforce the applicable retention and deletion limits.
- Keep a permissions log. Record the platform, dataset, license or account, approval date, permitted purpose and fields, refresh cadence, retention rules, display requirements, and a responsible contact. Recheck the terms if the intended use changes.
There is no universal extraction schema or quality test prescribed across marketplaces. The vendor’s specification and your authorization determine what the implementation should do.

Common mistakes and how to avoid them
- Scraping a public listing page because it is visible: public visibility is not permission. Check the provider’s terms and use an approved feed or API, or obtain written permission where required.
- Treating an API key as permission for bulk collection: API access can be limited by component, application, user access, purpose, storage, and reuse. Verify the license before collecting or retaining data.
- Assuming an account export contains all property data: personal-data exports can exclude public-record property attributes and marketplace estimates. Confirm the export’s scope before designing a migration around it.
- Assuming a feature based on the vendor’s terms index: a page linking to plan-specific terms does not prove that your account has a particular export, report, or API. Check the current account documentation and ask the vendor.
- Using public-record data without checking its license: public-record source material may still be governed by an API license that restricts storage, bulk access, display, or reuse.
- Launching without feed testing or data checks: follow the marketplace’s production test process and reconcile identifiers, counts, and freshness before relying on the feed.
Reliability, freshness, and cost considerations
Confirm how updates and corrections reach you, how quickly records change, and what happens when a record is removed. A feed integration’s testing period is not the same as a promise about ongoing update latency. For Zillow’s rental feed, the cited page describes typical testing of 4–6 weeks. The page calls participation free, but that does not establish that separate API licenses or other marketplace integrations have no fees.
Before committing to a route, compare approval requirements, field coverage, permitted use, bulk and retention rights, refresh cadence, implementation and testing effort, and fees. For personal data requests, allow for the provider’s stated processing time; Zillow Help says gathering and verification can take up to 45 days. Vendor terms and procedures can change, so verify current documentation and the contract governing your account before implementation.
