Use a stable wired connection where possible, configure the encoder for the destination platform, monitor stream health during the event, and build captions and accessible materials into the production plan.
Plan the attendee experience before choosing equipment
Start by deciding what attendees need to do, not by buying gear. A keynote broadcast, an interactive workshop and a multi-speaker panel have different requirements for audience participation, moderation and production capacity.
- Estimate the audience and decide where people will watch.
- Choose the required interaction: questions, discussion, interpretation, or other participation.
- Compare platforms on audience limits, cost, technical requirements, supported media, and recording or archiving.
- Decide which sessions must be live and which can be published as recordings.
- Set accessibility requirements early, including captions, transcripts, readable slides, and interpretation or audio description where needed.
The ACM virtual conferences guide outlines these planning criteria, but its platform survey dates to 2020; use it for durable decision factors, not as a current vendor comparison: ACM virtual conferences guide.
Assign owners for live decisions
Make responsibilities explicit in the run of show. An organizer owns the event plan; a producer controls the stream and transitions; presenters focus on delivery; a moderator manages questions and conduct; and a designated technical monitor watches the incoming feed and invokes the fallback. Assign someone to confirm captions and other access features in the actual attendee view. Microsoft’s production playbook structures virtual events around preparation, live execution and follow-up, with role-specific guidance: Microsoft virtual events production playbook.

Choose live versus on-demand deliberately
Not every session needs to be live. The Zero Project’s 2025 guide describes its own shift from livestreaming every session between 2021 and 2024 to streaming selected sessions and publishing recordings of all sessions, citing cost and limited live viewership. That is one organization’s decision, not a universal benchmark. Build and test the technical workflow
Confirm the ingest method and account requirements
For Zoom Events, Zoom documents incoming RTMP and SRT ingest for webinars, with encoders such as OBS or vMix. Availability depends on event configuration, license, host role and app version, so confirm these in the Zoom account before committing the production plan. Zoom’s documented RTMP and SRT workflows support H.264 up to 1920×1080 at 30 fps.
For these Zoom workflows, the published upload recommendations are 4 Mbps for 720p30 and 6 Mbps for 1080p30. These are Zoom-specific recommendations, not general minimums for every platform or venue. See the current guidance for Zoom RTMP ingest and Zoom SRT ingest.

Set encoder values to match the destination
For Zoom RTMP, Zoom recommends strict constant bitrate (CBR) and a keyframe interval of 30 frames, which is two seconds at 30 fps. Its SRT guidance recommends CBR or tightly constrained variable bitrate and a 1–2 second keyframe interval. For audio, Zoom’s SRT guidance specifies stereo AAC at 128–192 Kbps and 44.1 or 48 kHz; the RTMP guidance lists stereo AAC at 128 or 192 Kbps and 44.1 kHz as common settings. Treat these as destination-specific settings and check the current requirements of whichever platform you use before configuring an encoder.
Measure upload and leave capacity for network variation
Measure outbound upload speed, not just download speed. Include other people and devices using the venue connection in your estimate, and prefer wired Ethernet when it is available. YouTube recommends 20% upload headroom; Zoom’s SRT guidance recommends reserving roughly 20–30% for retransmissions. These are recommendations for their respective guidance, not a guarantee that a particular connection will perform reliably. YouTube’s guidance also notes that a shared office connection may limit the bandwidth available to the stream: YouTube live encoder settings.
Scale the setup to the production
A simple presenter session may need only a stable webcam at or above eye level, a headset microphone if available, and a wired connection. A camera-based production may require video and audio capture equipment and a separate monitoring computer with headphones. Do not treat capture hardware or a second computer as mandatory for a basic webcam presentation. Microsoft’s playbook covers the simple presenter setup; Zoom’s broadcast overview describes a more involved production arrangement: Microsoft virtual events production playbook and Zoom third-party encoder overview.

Rehearse the full attendee path
- Connect the actual camera, microphone, slides and encoder you intend to use.
- Run a representative test with speech, movement, slides and transitions. YouTube specifically recommends testing audio and movement.
- Send the feed through the intended ingest workflow and verify it in the platform preview.
- Open the attendee-facing watch page on desktop and mobile; confirm picture, sound, slides and captions are legible.
- Test the planned backup path by failing over from the primary encoder or feed, then confirm the attendee player recovers.
- Check that local recording files are being written and that the resulting archive is usable.
YouTube recommends configuring the encoder well ahead of the event, starting it at least 15 minutes before the scheduled start, checking Live Control Room preview, and testing backup-encoder failover. See YouTube live streaming tips. Zoom recommends testing the complete SRT or RTMP workflow rather than relying on isolated equipment checks.
Make accessibility part of production
Accessibility depends on the finished composition, not merely on whether a feature is enabled. Check whether captions are large and readable, slides have sufficient contrast, and attendees can see the speaker, presentation and interpreter together where needed. Microsoft’s playbook calls out closed and livestream captions, transcripts, audio description, play/pause control and color contrast; it also recommends sharing agendas, session objectives and pre-reads in advance.

If remote speakers join an in-person production, rehearse with one before the event.

For technical or high-stakes sessions, consider professionally provided real-time CART or another human-captioning route when the audience’s access needs warrant it. The ACM guide notes that automated live captions can struggle with background noise, overlapping speakers, poor audio and specialist vocabulary. Test terminology and the caption display workflow in advance rather than assuming automated output will be sufficient.

During the event, keep a technical monitor separate from the presenter. That person should watch the platform’s stream-health indicators, check the attendee view, and follow the run-of-show fallback if the signal degrades. Zoom’s SRT health view includes round-trip time, packet loss and retransmission rate; its RTMP workflow also exposes stream-health information and messages.

Choose a contingency that matches the platform. Zoom’s SRT guidance suggests keeping RTMP configured as a fallback, and its RTMP workflow can use primary and backup feeds. YouTube recommends testing encoder failover by stopping or disconnecting the primary encoder and confirming that the player switches. If the backup has not been rehearsed, it is not a dependable fallback.
After the conference
Confirm that the local archive is complete and playable, then tell attendees where recordings will be available. Where appropriate, publish corrected captions and descriptions with the recordings. The Zero Project guide notes that on-demand publishing gives organizers a chance to correct caption errors and that uploaded caption files can support additional caption languages on YouTube. Check the platform’s current feature and language support before relying on a specific workflow.
