What desktop automation is good for
Desktop automation runs repeatable, rule-based actions on a workstation: entering data, moving information between applications, organizing files, filling forms, extracting visible data, or converting files. It can interact with modern and legacy applications, but the method matters. Structured UI controls can often be targeted directly; image- and OCR-based methods work from what appears on screen and need more attention to layout, focus, and timing.
Microsoft describes desktop flows as robotic process automation for repetitive, rule-based workstation tasks, including file organization, website-data extraction into Excel, email and Excel tasks, ERP data entry, form population, price tracking, backups, and file conversion. Microsoft Power Automate Desktop
Power Automate Desktop is the documented low-code option here for Windows. Its UI automation actions can click, type, or extract data from application windows and controls. Actions may target a whole window or a specific field or button, and UI actions require the target window to be in the foreground; the tool can bring it forward automatically. Microsoft’s desktop automation documentation describes these interaction methods.

For Windows apps that expose accessibility information, Microsoft recommends UI Automation (UIA) for most current apps, including those built with WPF, WinForms, and UWP. Microsoft Active Accessibility (MSAA) can be useful for older applications that do not expose UIA elements. The Windows 11 Power Automate app documentation describes a catalog of “hundreds of prebuilt actions”; that is a vendor description, not an independently measured count. Ui.Vision RPA
Ui.Vision documents desktop automation for Windows, macOS, and Linux using computer vision, OCR, and codeless UI automation. Its vendor documentation identifies screen scraping, application UI testing, Citrix interfaces, and SAP GUI or web clients as use cases; these are vendor-stated capabilities rather than independent comparative findings. The vendor’s DesktopAutomation XModule adds native desktop interaction, including mouse movement and simulated keystrokes. How to choose for your workflow

For a Windows-only workflow in a current app with accessible controls, start by testing Power Automate Desktop with UIA selectors. If the workflow must cover macOS or Linux, Ui.Vision is the cross-platform option documented here. If neither approach can reliably identify the target, first assess whether the app offers an API or export path; automating a fragile screen interaction may create ongoing repair work.
Build a dependable desktop flow
- Map the task. Write down the starting state, actions, expected result, and what should happen if a step fails. Separate decisions and repeated work from simple clicks.
- Check for accessible controls. On Windows, try UIA selectors in modern apps; consider MSAA for older apps. Use image or OCR techniques when the application does not expose usable controls.
- Record a short happy path. In Power Automate Desktop, use the recorder to capture mouse and keyboard activity, then inspect the resulting actions. Microsoft notes that recordings can contain redundant steps and do not capture all logic, such as loops and conditionals. The recorder is a starting point, not proof of unattended reliability. - Edit for state and recovery. Add explicit waits, checks for expected controls or text, and handling for missing data or unexpected screens. For UI actions, ensure the target window is foregrounded before interacting.
- Test real variations. Run with representative data and the actual target environment. Verify that the flow fails safely when a field, screen, or expected result is missing.
- Monitor and maintain. Recheck a flow after application updates or screen-layout changes. Record enough run information to identify which action failed and what state the app was in.
Image, OCR, and focus-related reliability
When accessible controls are not available, Microsoft recommends alternatives such as image recognition, OCR, and mouse or keyboard actions. Its guidance for VDI automation calls for focusing and maximizing the correct window, waiting for elements or screen text, and using OCR or clipboard actions to retrieve text where appropriate. - OCR: Wait until the relevant text is rendered, then validate what was found instead of assuming the screen is ready.
