Dataverse for Teams is built on Dataverse technology, but it is a narrower service designed for apps, flows, and chatbots used within Microsoft Teams. Its headline limit is 2 GB of relational database storage per Teams environment—typically enough for up to one million records, not a guarantee that every workload will fit. Full Dataverse offers broader capacity options, governance, security controls, developer features, and ways to use apps beyond Teams. The right choice depends on the app’s audience, data, and required capabilities, as well as the organization’s licenses.

How Dataverse for Teams differs from full Dataverse

The practical distinction is scope, not whether one is “real” Dataverse: Dataverse for Teams uses Dataverse technology but is tailored to solutions built for and within Teams. Microsoft describes apps, automated flows, and chatbots as core uses. Full Dataverse is the broader Power Platform data service for applications with more demanding capacity, administration, security, integration, or development needs. Microsoft’s feature comparison is useful for matching specific requirements to the two options.

What the 2 GB and one-million-record limits mean

Microsoft documents 2 GB of relational database storage per Dataverse for Teams environment and says that can support up to one million records based on typical usage. The record figure is an estimate, not an independent workload guarantee: actual fit depends on the data and how the solution uses it. Full Dataverse is not literally unlimited. Microsoft’s comparison says it has no specified row limit and supports additional file and image capacity, but available storage is governed by the organization’s licensing and capacity allocation. For context, Microsoft’s Access migration guidance gives an example allocation for a single base license: 10 GB relational database, 20 GB file/image, and 2 GB log storage. That example is not a universal entitlement; check the current license and capacity details for the organization.

What happens when a Teams environment reaches capacity

Microsoft says existing solutions can continue operating and can be updated after the environment reaches its capacity limit. Users cannot create or install new apps, chatbots, flows, or tables in that environment. Tenant-level Teams capacity constraints can also prevent new Teams environments or new solutions in other environments. Microsoft says capacity cannot be purchased directly for a Teams environment; upgrading to Dataverse and licensing the services is one documented route when more capacity or capabilities are needed.

Where Dataverse for Teams apps can run

Dataverse for Teams is designed for the Teams client across web, desktop, and mobile. Microsoft says an environment must be upgraded to Dataverse to use it outside Teams. That makes the intended audience an early decision point: an app that must serve users beyond the Teams experience may need full Dataverse even if its initial data volume is small.

Also consider guest access. Teams environments align access with Team owners, members, and guests, while full Dataverse offers more granular controls for complex access requirements. Microsoft describes Dataverse for Teams security as enterprise-grade; its narrower security model is not the same as having no security, but it may not provide the administration a particular organization needs.

Security, governance, development, and integrations

Full Dataverse provides controls and extension points that are absent from the Teams version. Microsoft’s feature matrix identifies custom security roles, business units, auditing, customer-managed keys, field-level and hierarchical security, and record sharing for Dataverse. It also lists model-driven apps, API access, plug-ins, and Power Apps component framework support for Dataverse rather than Dataverse for Teams.

Integration options differ as well. Dataverse for Teams supports connector-based integration and Dataflows In. The full service adds options including Azure Synapse Link; events to Azure Event Hubs and Service Bus; webhooks; server-side synchronization; SQL Server Management Studio integration; and Dataflows In/Out. These capabilities matter when a solution must connect to enterprise data pipelines or use custom server-side logic—not simply because an app has a table.

Team ownership and environment lifecycle

A Dataverse for Teams environment is associated with one Team, and Microsoft’s licensing FAQ says deleting the Team deletes its environment. This links data retention and solution continuity to Team lifecycle decisions. Before building a business-critical app there, decide who owns the Team, how its membership and retention will be managed, and what happens if the Team is removed.

Full Dataverse supports multiple environments, which can provide more flexibility for separating development, testing, and production or managing solutions independently of a Team’s lifecycle. If backup, restore, or deployment practices are important, assess them alongside the app itself; Microsoft’s selection guidance includes administration, governance, and backup/restore among the factors to consider.

Licensing: don’t assume Teams means free

Microsoft describes Dataverse for Teams as included with select Microsoft 365 subscriptions, not every Microsoft 365 or Teams plan. Separately, Microsoft says standalone Power Platform licensing is required for users accessing apps that run on Dataverse, subject to the exact service and scenario. Licenses and entitlements can vary, so check the current Microsoft licensing guidance for the organization before selecting an architecture or planning an upgrade.

When to choose each option

Dataverse for Teams is a fit when

  • The app is genuinely intended for use within Teams.
  • Its data volume and data types fit the Teams environment’s capacity.
  • Team-based access for owners, members, and guests is adequate.
  • The solution does not depend on full Dataverse developer features or advanced enterprise controls.
  • The organization accepts the environment’s dependence on the associated Team.

Plan for full Dataverse when

  • The app must run outside Teams or serve a broader audience.
  • Capacity needs exceed what a Teams environment can provide.
  • The solution requires advanced security, auditing, governance, or custom access controls.
  • It depends on model-driven apps, plug-ins, APIs, mobile offline, or broader integration options.
  • You need more flexible environment lifecycle or application lifecycle management.

Microsoft’s own selection prompt asks readers to consider the application’s data and volume, how it will be made available, whether guests will use it, and which special capabilities it needs. Add licensing, environment ownership, retention, and deployment to that checklist. A small app does not automatically require full Dataverse, but a low record count alone does not establish that Dataverse for Teams is suitable.

What to check before upgrading or moving a solution

Microsoft documents upgrading a Dataverse for Teams environment to Dataverse through the Power Platform admin center. The upgrade can provide access to capabilities such as enterprise application lifecycle management, more data types, logging and managed data lake support, and richer access control, auditing, governance, and security. Review Microsoft’s licensing FAQ and current upgrade instructions before proceeding.

  • Confirm the users’ license requirements and the resulting capacity allocation.
  • Check that the solution’s components are supported in the upgrade path.
  • Review data types and limits: Microsoft’s migration guidance warns that these can differ.
  • Plan deployments separately. Microsoft’s FAQ says packaging and exporting a Teams solution for import into another environment is not available yet and describes it as roadmap.
  • Validate retention, backup, and ownership arrangements for the destination environment.
