Use WooCommerce as the commerce foundation, then add a B2B extension to control business accounts, catalog visibility, wholesale prices, tax treatment, payment, shipping and purchasing workflows. Before configuring plugins, decide whether the store will be B2B-only or a hybrid B2B/B2C site; that choice determines who can see products, prices and checkout options.
1. Choose a B2B-only or hybrid store
A B2B-only store serves approved business buyers and can make registration, login and account approval mandatory. A hybrid store serves consumers and businesses from the same WooCommerce installation, with B2B features applied only to selected users or groups.
B2B-only model
- Business visitors may see a restricted catalog, a login prompt or a registration form instead of public prices.
- Approved accounts can receive trade pricing, tax treatment and payment terms.
- The storefront can be designed around company purchasing rather than retail checkout.
Hybrid B2B/B2C model
- Guests and retail customers can retain normal product and checkout access.
- Approved business groups receive different prices, quantities, shipping methods or payment methods after login.
- Every visibility and pricing rule must be checked to ensure a retail customer cannot receive an unintended wholesale price.
Write down the buyer types you need before installing an extension. Typical groups include distributor, reseller, dealer and approved business account.
2. Install WooCommerce and a B2B extension
WooCommerce supplies products, carts, orders and checkout. B2B behavior normally comes from an additional extension rather than from WooCommerce alone.

- Install and activate WooCommerce in WordPress.
- Obtain the ZIP file for the B2B extension you selected.
- In WordPress, open Admin > Plugins > Add New, choose Upload Plugin, select the ZIP file, install it and activate it.
- Open the new B2B administration tab and complete its initial settings.
Perform this work on a staging copy first. Confirm that the extension supports your WordPress, WooCommerce, theme and payment gateway versions, and keep a rollback backup before changing live checkout rules.
3. Create buyer roles, groups and approval rules
Use roles or customer groups as the control layer for B2B behavior. A group can determine which products a buyer sees, which price they receive, whether tax is applied and which payment or shipping methods appear.
Define the groups
Start with only the groups that represent real commercial policies. For example, a distributor may have deeper volume pricing than a reseller, while a dealer may have a different catalog. Avoid creating a group for every individual customer unless their terms truly differ.
Collect business information
Configure registration fields for the information staff need to review an account, such as company name, business contact details, resale or tax identifiers and the buyer’s intended account type. Use the fields supported by your chosen extension and store only information necessary for the review process.
Choose an approval workflow
- Open registration: a registrant is assigned a default group immediately. Use this only when the commercial risk is low.
- Restricted registration: registration is limited or hidden, and staff create accounts for known buyers.
- Approval-based registration: a new account remains pending until staff verify the business and assign the correct group.
Test a pending account, an approved account and a rejected or unassigned account. Confirm what each one can see and whether an unapproved user can place an order.

4. Set catalog and price visibility
Decide separately whether visitors can see products and whether they can see prices. Common policies are public catalog with prices hidden, catalog visible only after login, or a private catalog for approved groups.
Hide prices until login
Use the extension’s hidden-price rule to replace the price with a login or registration prompt for guests. Check product pages, category pages, search results, related products, widgets and structured product displays so a price is not exposed in one of those locations.
Show a request-a-quote action
For products that require negotiated terms, replace the purchase action with a request-a-quote action for the relevant visitors or groups. Define who can submit a quote and whether approved buyers can still purchase products with fixed prices.

Assign product and category visibility by group when distributors, dealers or regions must see different assortments. Test direct product URLs as well as normal navigation; hiding a menu item alone does not establish catalog privacy.
5. Configure wholesale and quantity pricing
Set the price policy for each group before entering values. Extensions commonly support a fixed price or a percentage adjustment by role or group, with quantity ranges for volume orders.

Role or group prices
Enter the wholesale price or discount for the applicable group and define what happens when a product has no group-specific value. In a hybrid store, verify that the retail price remains the fallback for consumer accounts.
Quantity tiers and minimums
Add quantity ranges only where purchasing volume changes the commercial price. A tier might apply one price from a defined minimum quantity and another price at a higher quantity. Also decide whether the minimum is measured per product, variation or order.

Check edge quantities at each boundary: one unit below the minimum, exactly at the minimum and one unit above it. Test both a manually entered quantity and a quantity changed in the cart.
6. Configure tax, payment and shipping by buyer group
Tax exemptions and conditional checkout methods are configuration controls, not a substitute for jurisdiction-specific tax advice. Have the merchant’s tax adviser confirm when a business is exempt and what evidence must be retained.
Tax treatment
Map the approved group to the appropriate WooCommerce tax behavior, including any exemption flag or tax class supported by the extension. Test billing and shipping addresses in every geography where the store sells. Verify that the order, invoice and confirmation emails show the intended tax result.

Payment methods
Show trade terms such as invoice or purchase-order payment only to the groups that have been approved for them. Retail customers may need card or other immediate-payment methods instead. Place a test order as each role and confirm that an unauthorized payment method cannot be selected by manipulating the checkout flow.

Restrict freight, local pickup, free business delivery or other methods by group when those services depend on the buyer’s contract. Combine the role rule with destination, weight and order-value rules, then test addresses in each service area. Make sure a hidden method is not still selectable through a saved checkout session.
7. Add procurement workflows only when they match the business
Not every B2B store needs every module. Enable the workflows that reflect how customers actually buy, and leave unused modules disabled to reduce administration.
Quotes
Use request-a-quote for negotiated products, unusual quantities or customers who need an internal approval before ordering. Define who can convert an accepted quote into an order and how long a quote remains valid.
Bulk-order forms
A bulk-order form lets a buyer enter product identifiers and quantities without opening each product page. It is useful when repeat buyers already know the catalog.

Shopping lists, bundles and repeat orders
Shopping lists help buyers save frequently purchased items; bundles can package a standard set of products. Enable these only when they correspond to a repeatable purchasing process and test their interaction with quantity tiers.
Multiple employee accounts
If one company has several buyers, choose an extension feature that supports multiple users under one business account when required. Define which users may order, approve orders or manage company details before exposing the feature.

Compare candidates on the features your operating model actually needs: approval fields, group pricing, quantity minimums, catalog privacy, quotes, bulk ordering, tax exemptions, conditional payment and shipping, employee accounts, import/export tools, API access, maintenance and compatibility.
9. Integrate ERP, CRM or fulfillment systems when configuration is not enough
Use WooCommerce APIs when prices, inventory, customer approvals, orders or shipping logic must be synchronized with an ERP, CRM or another application. WooCommerce Developer Resources explains: These APIs allow for direct interaction with WooCommerce classes, enabling custom behaviors for settings, payment gateways, shipping methods, and more.
Document which system is authoritative for customer status, price lists, stock and order status before development begins. A developer or agency may be needed for custom API integrations, specialized payment gateways, shipping methods or business rules that the extension cannot express.
10. Test the store before launch
Create a test matrix that covers every role and geography instead of testing only an administrator account.
- Guest visitor: catalog, price display, registration prompt and blocked checkout behavior.
- Pending business account: approval message, catalog access and inability to use restricted terms.
- Approved group: assigned products, group price, quantity tiers and minimum quantities.
- Consumer account in a hybrid store: retail catalog, retail price and retail payment methods.
- Taxable and exempt destinations: tax calculation, order totals and documents.
- Each payment method: visibility, authorization, failed payment and order status.
- Each shipping method: destination eligibility, rates, pickup or freight rules and order confirmation.
- Quote or bulk-order workflow: submission, staff response, conversion and resulting price.
- Direct URLs, search, email links and mobile checkout: no unintended product or price exposure.
Repeat the matrix after updates to WooCommerce, the B2B extension, the theme or any payment and shipping plugin. Keep a record of the intended result for each group so a future administrator can diagnose a rule conflict.

11. Launch and maintain the B2B store
- Publish the approved groups, prices, tax rules and checkout restrictions from staging.
- Invite a small set of business buyers to verify real registration and ordering scenarios.
- Monitor failed payments, quote requests, shipping exceptions and account approvals during the first orders.
- Review role assignments when customers change legal entities, locations or negotiated terms.
- Apply updates in staging first and retest the role-and-geography matrix before production deployment.
