To edit a screenshot saved as a PDF, first try selecting the text. If you can select it, open the file in a PDF editor and use its text-editing controls. If you cannot, the page is probably a flat image: run OCR (text recognition) first, review what it recognized, and then edit. OCR can make text searchable and editable, but it does not guarantee exact lettering or preserve the original layout.
First check whether the PDF contains text or just an image
A screenshot placed in a PDF often looks like a document even when the whole page is a single image. That distinction determines what you can change. Text in a PDF may be selectable as characters; text in an image is only pixels until OCR attempts to recognize it.
- Open the PDF in a PDF editor or viewer.
- Use the text-selection cursor and drag across a word in the screenshot.
- If you can select individual characters or words, proceed to direct editing. If selecting grabs the entire page as one object—or no text can be selected—use OCR before attempting text-level changes.
Selection is a useful first check, not a guarantee that every part of the page is editable. A PDF can contain both selectable text and image regions, and one page may behave differently from another. If only some text can be selected, treat the remaining image-based content separately.
Edit text that is already selectable
In Adobe Acrobat, open the PDF and choose Edit. Adobe’s editing controls can add, replace, format, or delete text, and can also edit images and other objects. The exact appearance of an edit depends partly on the PDF’s structure and whether the relevant font is available or embedded; a visually identical result is not guaranteed.

- Open the PDF and select Edit.
- Click the text or object you need to change. If the text is selectable but the editor cannot edit it as expected, check whether the document is restricted or signed before trying another approach.
- Make the smallest practical change. Replacing a short label is generally easier to review than rebuilding a complex text block.
- Save a separate copy, then inspect the entire page—not only the edited area—for spacing changes, missing characters, or moved objects.
Editing controls differ among PDF applications. A tool that lets you highlight, draw on, or comment on a PDF may only add annotations; that is not the same as changing the underlying text or image. If the only available controls are markup tools, find an editor with PDF content-editing features rather than assuming an annotation is a permanent text replacement.
Use OCR when the screenshot is image-based
OCR, or optical character recognition, attempts to turn letters in an image into recognized text. In Acrobat, Adobe documents automatic OCR when editing a PDF generated from a scan, as well as a Scan & OCR workflow that makes recognized text searchable and editable. A screenshot saved as a PDF can also be image-based, but its exact behavior depends on how the PDF was created and the tool being used.
- Open the PDF in an editor that offers OCR or a Recognize text feature.
- Run text recognition on the page or document. In Acrobat, use the relevant OCR or Scan & OCR controls; labels and placement can vary by version.
- Check the recognized text against the visible screenshot before editing it. Correct recognition errors first, especially in names, numbers, punctuation, and short labels.
- Use the editor’s PDF editing controls to make the intended change.
- Save a copy and inspect the complete page at normal viewing size and at a closer zoom.
OCR is an interpretation, not a perfect recovery of the original document. Blurry or low-resolution screenshots are more difficult to recognize. Improving the image quality before recognition can help, but OCR may still miss characters or confuse similar-looking ones. It can also change spacing or split words in ways that are not obvious until you review the result.
What to inspect after recognition
- Compare every edited word, number, and symbol with the visible screenshot.
- Look for missing spaces, unexpected line breaks, substituted characters, and text that has shifted from its original position.
- Inspect tables, graphs, and other dense or complex elements carefully. Their layout may not survive recognition and editing cleanly.
- Check image regions too. OCR recognizes lettering; it does not recreate the source document or guarantee that diagrams and visual styling remain editable as their original components.
Choose the right method for the change

Keep the original and check the finished PDF
Before changing anything, preserve the original file. Use Save As or another separate filename so you can compare the result or return to the untouched screenshot. After saving, reopen the edited copy and check the complete page. Look for clipped text, changed spacing, missing characters, unexpected object movement, and differences between the edited area and its surroundings.

Why editing may be unavailable
If the editor will not let you make changes, the file may have security restrictions or a signature that prevents editing. Check the document’s security or permissions information and the editor’s message before trying workarounds. A digital signature can lock a document; changing the signed content may invalidate the signature. Do not treat an inability to edit as proof that OCR is needed—the restriction may apply even when text is selectable.

If a PDF was produced from an Office document and the requested change is substantial, Microsoft’s support guidance recommends going back to the original Office file and making a new PDF. That preserves access to the source layout instead of trying to rebuild it from a screenshot or PDF objects. If you do not have the source file, you may need to work with the PDF, but the result can require more manual layout repair.
Troubleshooting common problems
“I can’t select text in my PDF screenshot”
The page may be a flat image. Run OCR or Recognize text in an editor that supports it, then verify the recognized text before changing it. If the page remains unselectable, check that OCR completed and that the document is not restricted.

Compare the recognized text with the image and correct it manually. Blurry or low-resolution screenshots can lead to recognition errors; if possible, start from a clearer image. Pay special attention to numbers, punctuation, and characters that look alike.
The replacement text changes the spacing or appearance
PDF editing depends on the document’s structure and font availability. A replacement may not fit the original space or reproduce its exact look. Review the whole page, try a smaller change, and consider editing the original Office document if it exists and the change is extensive.
The editor only lets me draw, highlight, or add comments
You may be using markup tools rather than content-editing controls. Look for a PDF editor’s text or object editing feature. If you only need to visibly call something out, annotation may be sufficient; if you need to change the screenshot itself, an overlay may not achieve that.
The PDF says it is signed or protected
Check the document’s restrictions and signature status. Security settings or a signature may prevent editing. Avoid changing a signed file if preserving its signature matters; obtain an editable source or an authorized unrestricted copy instead.

The result looks right in the editor but wrong after saving
Reopen the saved copy and inspect it independently. Check line breaks, characters, spacing, object placement, and complex visual regions. Keep the untouched original so you can compare pages and redo the work if the saved result has shifted.

Can I edit a screenshot in a PDF without OCR?
Yes, if the text is already selectable and your PDF editor supports editing its content. OCR is for image-based text that has not been recognized as text.
Does OCR restore the original webpage or document?
No. OCR attempts to recognize lettering in the image; it does not recover the original source file or guarantee the original layout.
Will editing a signed PDF preserve its signature?
Changing a signed document can invalidate its signature. If signature validity matters, use an authorized editable source or ask for an appropriate copy.
