Choose a background image that supports the page’s purpose, looks genuinely connected to your school community, and leaves a dependable area for readable text. Test the real composition at desktop and mobile widths, keep the visual subject away from headings and navigation, verify WCAG contrast where text actually appears, and confirm the school has permission to publish the image.
Start with the page’s job, not the image
A homepage hero, admissions page, news header, and athletics page need different visual evidence. Write the page’s primary message first, then select an image that reinforces it without competing with the message.
Match the scene to the audience and purpose
- Homepage: Show a recognizable aspect of the school—an entrance, campus feature, classroom activity, or community event—while preserving an uncluttered area for the school name and navigation.
- Admissions: Choose a welcoming, specific scene that helps a prospective family understand the school’s environment.
- Academic or program page: Show the relevant activity, equipment, or learning context rather than a generic “students studying” photograph.
- News or announcements: Use a restrained image so headlines and dates remain the visual priority.
Natural, specific scenes usually feel more credible than interchangeable stock photography. Do not identify students in a published image unless the school has the required permission under its local policy.
Evaluate every candidate with four checks

Make a safe space for live text
Plan the image around the content overlay. If the headline sits on the left, look for calm negative space on the left and place the main subject on the right; reverse that arrangement when the layout demands it. Keep important faces, logos, signs, and architectural details away from areas likely to be covered by navigation, breadcrumbs, or buttons.

Keep headings and calls to action as HTML text. W3C guidance recommends using text to convey information rather than an image of text when the technology can achieve the presentation. Live text can resize, reflow, be translated, and be customized by users; words baked into a JPEG cannot.
Contrast is a pass/fail requirement
Under WCAG 2.1 Success Criterion 1.4.3, normal text needs a contrast ratio of at least 4.5:1 against its background, while large-scale text needs at least 3:1, subject to the criterion’s exceptions. Check the contrast at the actual locations of every line of text. A photograph can pass in one area and fail a few pixels away.
Background images that do not provide sufficient foreground contrast are a documented common failure (F83). Thin or unusual font strokes can also be difficult to read even when a nominal ratio passes.
Use a treatment that remains robust
- Choose a quieter crop or a photograph with naturally open space.
- Add a solid text panel when the image is visually busy.
- Use a gradient behind the text when a panel would obscure too much of the scene.
- Change the text color only when the resulting combination still passes at every point.
- Recheck after adding hover states, a longer translated heading, or a different font weight.
Do not rely on a dark overlay by habit: its opacity, the image beneath it, and the text color together determine the actual result.

Test responsive crops in the real layout
A hero that looks balanced at a wide desktop ratio may remove the subject on a phone. Preview the page, not just the source file, at the viewport sizes your visitors use. Resize the browser, use device emulation, and inspect both portrait and landscape orientations.
- Place the candidate in the production hero component with the real heading, navigation, buttons, and font styles.
- Check a wide desktop viewport and record where the browser crops the image.
- Check a narrow mobile viewport; verify that the subject remains visible and that text does not cover a face, sign, or key object.
- Check intermediate tablet widths, where a breakpoint can change both the crop and text position.
- Repeat with the longest realistic heading and with browser text zoom. If the composition fails, choose another image or provide a separate mobile crop.
Composition guidance such as keeping the focal point away from copy is practical design advice, not a universal numeric standard. Let the actual responsive rendering decide whether a candidate works.
Confirm rights, attribution, and student consent
Use an image the school owns or is licensed to publish. Save the license, invoice, source URL, permitted uses, expiration terms, and any required credit with the project records. A stock license that permits print use may not permit a public website, and a license for one organization may not cover a district-wide site.
For student photographs, follow the district and local rules that apply to the school. NYC Public Schools’ website guidance, for example, says a current consent form is needed for each year an image is online and notes that some Creative Commons images require website citation. Treat that as NYC-specific guidance, not a universal rule. Confirm the policy for your jurisdiction before publishing.

Questions to resolve before launch
- Who took or supplied the photograph?
- Does the license cover web publication, editing, cropping, and accessibility overlays?
- Is attribution required, and where will it appear?
- Are every identifiable student and staff member covered by the required release?
- Is consent still valid for the period the image will remain online?
- Can the school remove or replace the image if permission changes?
Prepare the file without sacrificing clarity
Export an appropriately sized image for the largest rendered area and compress it so the background does not delay the page. The available guidance does not establish one universal file-size or dimension threshold; the right value depends on the layout, device mix, and image format. Compare the visual result at normal display size rather than judging compression from a zoomed-in source.
- Keep the original, licensed asset separately from the web derivative.
- Use a descriptive alternative or adjacent text when the image conveys information; use an empty alternative for purely decorative backgrounds according to the site’s accessibility pattern.
- Do not hide essential instructions, dates, or contact details in the image.
- Check the image with the site’s content management system, which may crop or recompress it automatically.
A repeatable selection workflow
- Define the message: Write the one sentence the page must communicate and identify where the heading, controls, and focal point will sit.
- Collect candidates: Gather school-owned, commissioned, or properly licensed images that fit the audience and page.
- Mark safe areas: On a copy of the layout, draw the desktop and mobile text zones and likely navigation coverage.
- Run the four checks: Score relevance, readability, crop resilience, and rights for each candidate. Reject an image that fails a requirement rather than trying to rescue it with decoration.
- Build the real component: Add the image, live text, buttons, overlays, and responsive rules in the staging site.
- Verify contrast: Test normal and large text at every rendered text position, including the darkest and lightest portions of the photograph.
- Review permissions: Attach the license, attribution, and consent records to the publishing ticket.
- Approve and monitor: Have a communications or accessibility reviewer inspect the final desktop and mobile screenshots before release.
Common failure modes and fixes
The headline disappears into the photograph
Cause: The image contains high-detail or high-contrast texture beneath the letters. Fix: Move the copy to open space, select a calmer crop, add a sufficiently contrasting solid panel or gradient, and retest the actual text color and font.
The subject is cut off on phones
Cause: A desktop-oriented aspect ratio is being center-cropped at a narrow breakpoint. Fix: Reposition the focal point, define a mobile-specific crop, or replace the image with one that has safer margins.
The image looks authentic but cannot be published
Cause: Missing license records, expired stock terms, or absent student consent. Fix: Pause publication, obtain documented permission, or choose an asset with clear rights. Do not assume that a publicly visible social-media image is free to reuse.

The overlay works in a mockup but fails after launch
Cause: The CMS changed the crop, a web font loaded differently, translated text became longer, or a browser zoom setting altered the layout. Fix: Test the production component and realistic content, not a flattened design image, at each breakpoint.
The background distracts from announcements
Cause: Too much detail or motion competes with the page’s primary task. Fix: Use a simpler image, reduce visual treatment, or reserve the photograph for a secondary section rather than the announcement area.
