To make a screenshot fit an upload or storage limit, do two separate jobs: resize it to smaller pixel dimensions while preserving its aspect ratio, then export it in an appropriate format and adjust compression only as far as readability allows. Keep the original, inspect the saved copy at normal viewing size, and reduce dimensions before aggressively lowering lossy quality. Windows users can use PowerToys Image Resizer; Mac users can use Preview.
Resize versus compress: what changes
Resizing changes the image’s width and height in pixels. Resampling creates new image data to produce those dimensions. Compression changes how that data is encoded for storage; it can reduce file size without changing dimensions, although lossy compression can soften text and interface edges. A screenshot that is too large in both dimensions and file size usually needs both operations.
- Use proportional resizing when the complete screenshot must remain visible and undistorted.
- Use cropping only when removing unneeded areas is acceptable.
- Use lossy quality controls carefully around small text, icons, and one-pixel lines.
- Save to a new filename or folder so the original remains available.
There is no universal “best” quality value. File size depends on pixel dimensions, image content, format, metadata, and encoder settings, so check the actual exported file.
Choose dimensions before a file-size target
Preserve the aspect ratio
Enter a target width or height and let the other dimension be calculated proportionally. If you enter both dimensions independently, the screenshot may stretch. A proportional fit contains the whole image; a fill operation can crop; a stretch operation changes the shape of every element.

Use a practical target
For a form that specifies a maximum width, use that pixel width rather than repeatedly lowering quality. For messaging or email, reduce dimensions until text is still readable at the recipient’s normal viewing size. For documentation, keep enough pixels that labels remain legible when the image is viewed at 100 percent.
Resize screenshots on Windows with PowerToys
Microsoft describes Image Resizer as a Windows shell extension for bulk image-resizing. It is useful for one screenshot or a selected group of files in File Explorer.
- Install Microsoft PowerToys from Microsoft’s current distribution channel.
- Open File Explorer and select one or more screenshot files.
- Right-click the selection and choose Resize with Image Resizer.
- Choose a preset or enter a custom width and height.
- Select Fit when the entire screenshot must be retained without cropping. Choose Fill only when cropping is acceptable, and avoid Stretch unless distortion is intentional.
- Leave one dimension blank when you want the other calculated proportionally, then create the resized copies in a new location or with a new name.
PowerToys also documents a command-line interface with explicit width and height options. Its available controls include JPEG --quality, --remove-metadata, and --shrink-only. Because command syntax and flags can vary by installed release, verify the options shown by your current PowerToys documentation before putting a script into production. Use a separate output directory when automating so source screenshots are not overwritten.
Batch resizing guidance
- Select all files that need the same treatment and process them together.
- Use Fit for mixed aspect ratios when no cropping is allowed.
- Use shrink-only in an automated workflow when smaller files must never be enlarged.
- Remove metadata only when you do not need it; metadata-removal controls do not replace visual inspection.

- Open the screenshot in Preview.
- Choose Tools > Adjust Size.
- Enter a width, height, or percentage.
- Keep Scale proportionally selected unless you deliberately want distortion.
- Save the result as a copy, then check its pixel dimensions and file size.
To reduce file size through Preview’s resampling route, open Tools > Adjust Size, select Resample image, and lower the Resolution value. Preview displays the resulting size. This changes image data, so inspect small text before replacing the original.
Resize several screenshots together
Open the images in one Preview window, select the files in the sidebar, and choose Tools > Adjust Size. Apply a proportional width, height, or percentage to the selection. This is convenient when a set of screenshots must share dimensions, but check each result because screenshots can have different aspect ratios and content density.
Pick a format and compression level
PNG
PNG is often a good starting point for screenshots with sharp text, flat colors, or transparency. It can remain large when the image contains many colors or photographic content. If a PNG meets the destination’s limit, changing format is unnecessary.
JPEG
JPEG can produce smaller files, but it is lossy. Lower quality can create halos around text and fuzzy one-pixel rules. Compare the exported file at normal viewing size instead of relying on a quality number alone. PowerToys exposes a JPEG quality option for command-line workflows.

WebP and AVIF
Paint.NET’s format documentation lists WebP and AVIF among supported formats, along with PNG, JPEG, TIFF, and others. Browser or service compatibility should decide whether you use them. Google states that WebP images are about 30% smaller than PNG and JPEG at equivalent visual quality; that is a format-level comparison, not a guaranteed saving for every screenshot.
Transparency and metadata
If the screenshot needs a transparent background, keep a format that supports transparency. If metadata is unnecessary and your workflow offers an explicit removal option, removing it can reduce overhead and limit incidental information, but it will not compensate for oversized pixel dimensions.
A reliable resize-and-compress workflow
- Keep the source. Duplicate the original before editing.
- Identify the constraint. Note the required maximum dimensions, maximum bytes, accepted formats, and whether transparency is required.
- Resize proportionally. Set the constrained dimension and calculate the other automatically.
- Export to a suitable format. Start with the format that preserves the screenshot’s text and transparency needs.
- Lower lossy quality only if needed. Make small changes and save a new copy each time.
- Check the actual file. Confirm dimensions, byte size, and legibility at normal viewing size.
- Test the destination. Upload the saved copy to the actual form, document, or message service; some services impose their own limits or recompress images.

The screenshot is distorted
One dimension was probably forced instead of calculated. Re-run the resize with proportional scaling enabled. In PowerToys, use Fit rather than Stretch; in Preview, select Scale proportionally.
The result is still too large
Check the actual dimensions and byte size, then reduce pixel dimensions before lowering lossy quality further. Try a more efficient format only if the destination accepts it. A large, detailed screenshot may not shrink enough through encoding alone.
Text became blurry or developed halos
The image was likely resampled too far or saved with aggressive JPEG compression. Return to the original, use larger dimensions, and raise quality or choose a less-lossy format. Inspect at 100 percent rather than judging only from a thumbnail.

Parts of the page are missing
A fill-style resize may have cropped the image, or the source capture did not include lazy-loaded content. Use proportional Fit for editing. For a new web capture, wait for the required selector or network idle and enable full-page capture with lazy images loaded.
The upload rejects the file
Confirm the required extension, maximum bytes, pixel limits, and transparency rules. Export a new copy rather than renaming the extension, then verify the resulting file opens normally.
A batch produces inconsistent results
Mixed aspect ratios and different source dimensions can produce different output sizes. Use a proportional rule, review each image, and use Fill only when a consistent canvas and acceptable cropping are more important than preserving the complete screenshot.

Should I resize or compress first?
Resize first when pixel dimensions are larger than necessary. Then adjust encoding or quality to meet the remaining byte limit while checking legibility.
Can I guarantee a specific file size?
No. The result depends on dimensions, content, format, metadata, and encoder behavior. Iterate and check the saved file rather than trusting a promised percentage reduction.
Is WebP always smaller than PNG?
No. Google’s approximately 30% comparison is an attributed equivalent-quality estimate, not a guarantee for an individual screenshot or encoder setting.
Will removing metadata make a major difference?
It may remove some overhead, but dimensions and image content usually matter more. Treat metadata removal as an optional cleanup step, not the primary compression method.
