For a high-quality screenshot, capture the smallest area that still gives the viewer enough context, then check the saved image at the size it will be seen. Built-in tools on Windows, iPhone, and Android are usually all you need. A screenshot records what the display shows; enlarging it later cannot restore detail that was not captured.
What makes a screenshot high quality?
A useful screenshot is legible, relevant, and understandable without making the reader guess where to look. A technically large image can still be poor if it includes unrelated notifications, hides the important control, or crops away the interface context that explains what the image shows.
- Match the capture area to the purpose. Use a region for one control, a window for an application view, or the whole screen when the surrounding interface matters.
- Keep enough context. Include a title, menu, or nearby control when it helps someone identify the step. Remove unrelated content rather than cropping so tightly that the image becomes ambiguous.
- Inspect before sharing. Open the saved screenshot and check that text and controls are readable at the intended display size.
- Annotate only to clarify. A restrained arrow or highlight can guide attention; it should not cover the words or control being explained.
There is no universal pixel dimension, DPI, or file-size target for every screenshot. Follow the requirements of the destination—such as a documentation system or support form—if it specifies them.
Take a screenshot in Windows
In Windows, Microsoft’s Snipping Tool offers rectangular, window, full-screen, and freeform captures. The documented shortcut Windows logo key + Shift + S opens the capture overlay.

- Close menus, notifications, and other content that would distract from the subject.
- Press Windows logo key + Shift + S.
- Choose the capture mode that fits the task: a rectangle for a specific area, a window for one application, or full screen when the wider desktop is relevant. Use freeform only when an irregular boundary is genuinely useful.
- Select or outline the content to capture. Avoid cutting off labels, dialog edges, or other context needed to understand the image.
- Open the resulting capture in Snipping Tool, make any necessary crop or annotation, and save it.
- Open the saved file and inspect it at the size it will be displayed. Retake it if important text is hard to read or unrelated content remains.
Snipping Tool also has a “Perfect screenshot” framing feature, but Microsoft limits it to Windows 11 Copilot+ PCs. It is not a general feature available on every Windows 11 computer.
Take and refine a screenshot on iPhone
Apple’s iPhone User Guide documents taking screenshots, reviewing them in Photos, cropping, and using Markup. The exact capture controls depend on the iPhone model, so use the model-specific instructions in Apple’s guide if you are unsure which buttons to press.
- Arrange the screen as you want it to appear. Dismiss unrelated alerts and make sure the relevant app content is visible.
- Use the screenshot method for your iPhone model, following Apple’s iPhone guide if the button combination is unfamiliar.
- Review the capture and open it in Photos if you need to crop or use Markup.
- Crop away irrelevant edges while retaining enough interface context to make the image clear.
- If you add a mark or callout, position it beside the important content rather than over text or a control.
- Check the result in Photos before sharing or inserting it into a document.
Apple documents capture behavior and format settings, including SDR and HDR options. An HDR setting does not guarantee that every viewer will see a visibly better image: Apple notes that HDR screenshots appear in SDR on standard displays. Choose settings for the display and destination that matter to you, and verify the shared result when appearance is important.

Take a screenshot on Android
Android screenshot controls and menus can differ by device and manufacturer. Google’s Android Help explains how to take and find screenshots, but a button combination that works on one model may not be the right instruction for another. If the controls below do not match your phone, follow the manufacturer’s instructions for your specific model.

- Use the screenshot control documented for your device. Check Google’s Android Help or the manufacturer’s instructions if you do not know the method.
- Locate the capture using the device’s documented screenshot workflow, then review it before sharing.
- Crop or annotate only if doing so makes the image easier to understand. Keep any labels or callouts away from the content they identify.
- Check that the saved image is legible and includes the context a reader needs.
Choose a format and preserve readable detail
For documentation images, Google’s developer style guidance recommends PNG unless there is a good reason to choose another format, and recommends keeping screenshot style consistent within a documentation set. That is a sensible documentation default, not a claim that PNG is the best format for every platform or use.
If the destination specifies a format, dimensions, or upload limit, follow those requirements first. Otherwise, use the built-in saved format and avoid unnecessary conversions that could make text or interface edges less clear. Keep screenshots within a set consistent—for example, use similar framing and annotation conventions—so readers can compare steps without visual distractions.

A screenshot’s pixel dimensions depend on the display area captured. Enlarging a small screenshot does not recreate screen detail that was never recorded. If text is too small in the capture, retake it with a more useful framing or make the relevant content easier to read on the device before capturing; do not treat post-capture enlargement as added resolution.
Crop and annotate without losing the explanation
Start with a crop that removes irrelevant surroundings but retains cues that orient the reader, such as an app title or adjacent menu. Mozilla’s contributor guidance describes annotation markers as a way to direct attention to important interface areas. Use a marker when it makes the step easier to follow, not simply to decorate the image.

- Put arrows, circles, or highlights beside the target when possible; do not obscure the label or button being discussed.
- Use a consistent visual convention across a tutorial, such as the same highlight color and marker style.
- Keep original captures if you may need to revise the crop or annotation later.
- After editing, inspect the final saved version rather than assuming the preview and exported image are identical.
Troubleshooting a screenshot that looks wrong
The screenshot contains a notification or open menu
Dismiss the alert or close the menu, then capture again. If the menu is essential to the instruction, include enough surrounding interface to show what it belongs to.

The important control is cut off
Retake the image with a slightly wider region or capture the whole application window. A tight crop is useful only when the remaining image still explains where the subject appears.
Text is blurry or too small
Check the saved file at its intended display size. Retake with more of the relevant interface visible or adjust the content on screen before capture. Enlarging the saved image will not restore missing detail.
The annotation hides the interface
Edit the capture again or retake it. Move the marker beside the target and keep it clear of text and controls. If the mark is not needed to guide the reader, remove it.

The screenshot looks different on another display
Display capabilities affect how some captures appear. In particular, Apple says HDR screenshots appear in SDR on standard displays. Check the result on the kind of display or destination that matters rather than assuming HDR will improve every viewer’s experience.
The Android instructions do not match the phone
Controls vary across Android devices. Consult the phone manufacturer’s instructions for that model instead of assuming a single button method applies to all Android phones.
