The most useful dynamic screenshot is a short, clickable sequence of focused UI states. Record one action per step, place a hotspot on the control the reader must use, add a brief instruction, and provide a text-only fallback. Use screenshot steps for discrete states such as menus and dialogs; add video steps when scrolling, typing, dragging, or cursor movement matters. You can record a live product with a browser extension, assemble uploaded images from a safe staging environment, or automate repeatable captures with a headless browser.
What “dynamic screenshot” means in help documentation
A dynamic screenshot demonstration is more than a static image. It is an interactive player or sequence in which a reader advances through product states, clicks hotspots, reads callouts, or watches short motion between screenshots. The underlying assets can be screenshots, video, slides, or mockups.
Keep the definition practical: each frame should answer one decision. A reader should be able to see where to click, why that click matters, and what changed afterward. Do not make the player the only explanation; include equivalent text and alt text so keyboard users, screen-reader users, blocked scripts, and search engines can follow the procedure.
Plan the demonstration before recording
- Define the outcome. Write the smallest task the reader must complete, such as “create an API key” or “turn on dark mode.”
- List the decisions. Convert the task into actions: open a menu, choose a tab, enter a value, save, and verify. Remove exploratory clicks and unrelated screens.
- Choose the capture mode. Use screenshot steps for stable states and video for continuous motion. Scrolling, typing, dragging and cursor travel are easier to understand as video.
- Prepare safe data. Use a staging account where possible. Replace customer names, account numbers, tokens, email addresses and other personal data with fictional values before publication.
- Set a maintenance owner. Record the product version or date in your internal notes and decide who will re-record the sequence after UI changes.

Method 1: Record a clickable walkthrough with a browser extension

- Open the product in a clean, prepared account. Close unrelated tabs and disable notifications that could appear in the capture.
- Start the recorder’s guided screenshot or demo mode.
- Perform only the planned task. Pause briefly after each important state so the control and resulting change are unambiguous.
- Stop recording and inspect the generated steps. Delete navigation that does not teach the task, and split a crowded step when it contains two decisions.
- Edit each step to contain one action-oriented instruction, such as “Select Billing, then choose Invoices.” Keep terminology identical to the product UI.
- Add hotspots, arrows, callouts, zoom or pan where the target is not obvious. Use one visual emphasis at a time; several competing highlights slow comprehension.
- Redact sensitive information. Chameleon documents a Redact option; blur overlays are also available in Stepshots. Check every frame at full size before publishing.
- Publish the player or embed it in the help page. Keep a text procedure immediately below or beside it.
When to switch from screenshots to video
A screenshot captures a state, not the path between states. Add a video step when the reader must observe a long scroll, text entry, drag-and-drop gesture, cursor movement or timing-sensitive interaction. Keep videos short and let the screenshot before and after carry the instructional labels.
Method 2: Assemble a demo from existing assets
Recording production data is often unsafe or impossible. - Capture or export each state at the same viewport size and scale.

- Preview the complete sequence on desktop and a narrow viewport before embedding.
Consistent dimensions prevent visible jumps between steps. If a mockup differs from production, label it as a preview so readers do not mistake placeholder controls for current UI.

Headless recording and repeatable capture
Stepshots documents browser-extension and headless CLI recording, an overlay editor, embeddable players and analytics such as step completion and per-step duration. A scripted flow is useful when a release pipeline must regenerate the same tutorial. Use stable selectors, wait for a distinctive element before each capture, and fail the job when the expected state is absent instead of silently publishing a wrong image.

- Consistent language: Use the same color, icon and terminology throughout the sequence.
- Accessible alternative: Add descriptive alt text and a numbered text-only procedure. Do not put essential words only inside an image.
- Privacy check: Blur or redact secrets before the asset enters a shared library; do not rely on a viewer overlay as your only protection.
Embed and maintain the published demo

Troubleshooting dynamic screenshot demos
The hotspot is not aligned
The asset was likely captured at a different viewport, browser zoom or device scale. Re-record all steps at one viewport, or place the hotspot after the final crop rather than before it.
The click produces the wrong state
A menu may be animated, a request may still be loading, or a selector may match more than one element. Add a wait for a distinctive selector or network idle, use a more specific target, and verify the resulting text before publishing.
The demo exposes private data
Stop publication, remove the asset from shared storage, and recapture with synthetic data. Apply a deliberate redaction or blur overlay and inspect thumbnails as well as the full-size frame.
The embed is blank or slow
Check that scripts and iframes are permitted by the page’s content-security policy, then test without an extension or corporate proxy that blocks the player. Prefer compressed images for static steps, reserve video for motion that cannot be explained by two screenshots, and provide the text fallback.

The UI changed after release
Treat the sequence as versioned documentation. Search for changed labels and selectors, rerun the shortest path first, then review every hotspot and instruction rather than assuming only one frame is affected.
Quality checklist before publishing
- The sequence completes one clearly stated task.
- Every step contains one decision and one instruction.
- Screenshot steps show states; video steps show necessary motion.
- Hotspots, callouts and terminology are consistent.
- Secrets and personal data are removed.
- Alt text and a text-only procedure cover the same task.
- The player works on the supported browsers, keyboard navigation and a slow connection.
- The owner and a review trigger are recorded.
Frequently Asked Questions
Should every help article contain an interactive demo?
No. Use one when seeing the control and sequence reduces uncertainty. A short static procedure is usually better for a single, obvious setting or a frequently changing interface.
Can I combine uploaded screenshots with recorded steps?
Yes. Build the sequence from both sources when a live account cannot show every state; keep viewport size, terminology and annotation styles consistent.
What should I do when a product has multiple UI layouts?
Create separate paths only when the layout changes the action. Label each path by edition, role or device, and avoid forcing one hotspot to cover incompatible interfaces.
