How to Auto-Generate Instagram Carousels and Reels From Google Sheets

Use Google Sheets as a publishing queue, not as the place where Instagram posts are assembled. Each row should hold a stable post ID, schedule, format, caption inputs, slide or video fields, asset URLs, status, and the returned publish ID. A scheduler takes the next queued row, an AI step drafts copy, a renderer creates carousel images or a Reel video, and an Instagram publishing step writes the result back to the same row.

This design gives you traceability and safe retries. A carousel is published as several child images inside one parent carousel container; a Reel is published from one rendered video asset. The sections below show how to build both paths with Canva Bulk Create, Zapier, Make, n8n, or a custom sheet worker.

Design the Google Sheet as a content queue

Create one row per post. Do not use a row for each carousel slide; keeping all slide fields on the post row makes scheduling, retries, and duplicate prevention much simpler.

Only a scheduler should move a row from queued to processing. Set published only after the publishing response succeeds. If a run fails, leave the row in error with the message and a retry count rather than silently returning it to the queue.

Prepare assets and templates

Carousel template

1. Build a multipage square design and reserve one field for every dynamic element: title, body, source, call to action, and image.
2. Choose whether the sheet stores image URLs or whether an image service or webhook generates them. Keep the resulting URLs in the row so a retry does not create a different asset unexpectedly.
3. Connect each page in the template to its corresponding sheet field. Export one image per page after all fields are populated.

Canva Bulk Create is suited to this field-mapped approach. Canva documents imports from Canva Sheets, CSV, and XLSX, connections across multipage designs, and a selection capacity of up to 300 rows and 150 columns. Canva says Bulk Create is available on Pro, Teams, Business, Enterprise, Education, and Nonprofits plans; verify the current plan and limits in your Canva account before committing to a production workflow.

Reel template

A Reel needs one rendered video, not a list of still images. Store the script, hook, scene text, voiceover or music reference, and final video URL in the row. Your renderer can assemble those fields into a video, after which the publishing action sends that video as a Reel.

Choose the orchestration pattern

Zapier describes its documented workflow this way: “pulls a sheet row, generates slide content and images, creates carousel media, and marks the row as published.” That sequence is the model to reproduce regardless of which orchestrator you select.

Build the carousel workflow

1. Select the next row. Run on a schedule, find the earliest row whose status is queued and whose scheduled time has arrived, then immediately mark it processing.
2. Draft copy. Send caption_input and the slide fields to your AI step. Keep the original brief in the sheet so editors can review what generated text was based on.
3. Render pages. Pass the row fields to Canva Bulk Create or another renderer. Confirm that every expected page produced an image URL before starting Instagram publishing.
4. Create child media. Create one Instagram child media item for each image URL. Preserve the returned child identifiers in your run log.
5. Create and publish the parent. Create the carousel container from those children, then publish the parent. A carousel is not complete when only the child items exist.
6. Write back the result. Save the returned publish ID, publication timestamp, asset URLs, and published status in the original row. If any step fails, write the error and leave the row available for a controlled retry.

Use a deterministic key such as post_id in every automation run. Before creating media, check whether that row already has a publish ID. This prevents a timeout after publishing from causing a second carousel on the next attempt.

Build the Reel workflow

1. Filter for rows with format=reel and a due scheduled_at.
2. Generate or assemble the video from the script, hook, scene text, and audio references. Do not advance the row until the final video URL is reachable by the publishing service.
3. Use the Instagram for Business “Publish Video” action or a Meta Graph API implementation that creates a Reel.
4. Wait for the publishing response, then save the Reel publish ID and timestamp. Mark the row published only after that response succeeds.

Make documents a “create a reel post” action, and an n8n template demonstrates a more technical Graph API route. The exact permissions, media requirements, API scopes, and plan limits can change, so verify them in the account and tool you deploy.

A small Google Apps Script queue worker

If your renderer and publisher expose webhooks, this Apps Script gives you a reliable sheet-side dispatcher. It claims one due row, sends the row as JSON to your automation endpoint, and records success or failure. Set the AUTOMATION_WEBHOOK script property to the webhook supplied by Zapier, Make, n8n, or your own service.

Create a time-driven trigger for dispatchNextInstagramRow. The webhook should perform the renderer and Instagram steps, then update the row with the publish ID. The sent state above means “handed to the automation”; have that automation change it to published or error when the downstream result is known.

Instagram account and permission requirements

Zapier’s Instagram for Business integration requires an Instagram Business or Creator account linked to a Facebook Page. Publishing also requires permission to create content on the linked Page. Personal Instagram accounts are not supported by that integration. Confirm account permissions, API scopes, media rules, and plan limits during implementation because they can change.

Reliability, approvals, and cost controls

• Approval gate: add an approved column or a separate status before the scheduler can claim a row. This lets an editor review AI copy and rendered assets.
• Retries: retry only transient failures such as a renderer timeout. Do not retry an unknown publishing result until you check whether a publish ID was created.
• Deduplication: use post_id as the idempotency key and store every child and parent identifier returned by the publishing steps.
• Asset checks: verify that every image URL or video URL is reachable before creating Instagram media. A missing page should stop the row before partial publication.
• Scheduling: store timezone with the scheduled value and keep all comparisons in one consistent timezone.
• Cost review: count AI generations, rendering operations, automation tasks, and any storage or webhook usage. Partner availability and commercial terms should be checked against each vendor’s current plan page.

Troubleshooting common failures

The scheduler skips a row

Check that the status is exactly queued, the scheduled value parses as a date, and its timezone is not in the future relative to the scheduler. Also check whether a previous run left the row in processing.

Only some carousel images appear

Inspect the renderer output and confirm that every expected child image URL was created before the parent carousel request. A missing or inaccessible URL must be fixed and the incomplete attempt should not be marked published.

A Reel is rejected

Confirm that the asset is a rendered video URL, not a still-image list, and that your Instagram action or Graph API route is configured for Reel publishing. Recheck current media requirements and account permissions.

A timeout creates a duplicate

Look up the row’s publish ID and automation run history before retrying. If the publish response was lost after Instagram accepted the request, a blind retry can create a second post. Keep the original post_id and add a manual reconciliation step.

Yes. Keep a single queue and use a format field to route each row to the image-page branch or the video branch. Shared columns handle scheduling and status, while format-specific columns hold slide copy or Reel production inputs.

How should I handle a post that needs manual approval?

Add an approval state to the row and make the scheduler select only approved, due rows. Review the caption and rendered assets before changing that state.

What should I do when an automation run reports an unknown publishing result?
