To generate an image when an Airtable record is created, use an Airtable Automation to send that record’s prompt to an image-generation API, then save the result to an attachment field or a durable URL field. For a reliable workflow, track status and errors, protect API keys on the server side, and make retries idempotent so a repeat run does not create duplicate images.

Choose the right Airtable image-generation workflow

The right route depends on whether images should be created automatically or by an operator, and how much control you need over retries, secrets, and post-processing.

Airtable describes an automation as a trigger followed by one or more actions. Its automation documentation covers the model. The Run a script action can make outbound requests with fetch() in a server-side environment, unlike the client-side Scripting extension; see Airtable’s scripting and automation integration guidance. Run a script is not available on the Free plan.

Use the Scripting extension when a person should decide when generation happens. Airtable’s Scripting extension documentation describes it as an extension where a user runs JavaScript manually. Automations are available across Airtable plan types, with varying limits.

An external worker is appropriate when jobs need a queue, image conversion or resizing, provider-independent logic, or retries that you can control. The worker can call Airtable’s Web API to create, read, update, and delete records. A no-code platform such as Make, Zapier, or n8n may also connect Airtable to an image API, but check its current integration capabilities and commercial terms before relying on a specific action.

Prepare the Airtable table and fields

Create a table for the content or assets you want to generate. Keep inputs, workflow state, output, and failure details separate; this makes runs easier to review and safely repeat.

  • Prompt (long text): the subject and instructions for the image.
  • Style or template variables (text, single select, or structured fields): for example, brand style, aspect ratio, or campaign name.
  • Status (single select): use values such as queued, processing, complete, and failed.
  • Generated image (attachment): use this when the image should be attached to the Airtable record.
  • Generated image URL (URL or text): use this when another system needs a URL to the asset.
  • Error message (long text): store a useful, sanitized failure description.
  • Request ID (text): save the provider’s request identifier or your own stable job ID for traceability.

Do not use the same field for the input prompt and the returned image link. Separating them preserves the original request and makes it possible to diagnose why a result looks wrong.

Build an automatic record-triggered workflow

  1. Create an automation. In Airtable, open Automations, create an automation, and choose a record-created trigger or a record-updated trigger that watches the relevant input fields. If an update trigger can see its own output-field changes, configure its conditions so status changes and attachment updates do not launch another generation.
  2. Add a guard condition. Continue only when the prompt is present, the status is not already complete, and the record has not already been marked as processing for the same request. This avoids spending provider capacity on empty or duplicate requests.
  3. Mark the job as processing. Update the record’s status and record a request ID before making the external call. For stronger duplicate protection under concurrent triggers, use a stable job key in an external worker or other store that can enforce uniqueness.
  4. Add a Run a script action. Pass the record ID and needed prompt values into the script’s input configuration. Keep the image API key in a server-side secret or use an external worker; never expose a shared key in a client-side extension.
  5. Call the image service. Submit a structured prompt and any input image required by the provider. The OpenAI Images API reference documents image generation, edits, and variations, with responses that can contain image data or a URL. Follow the chosen provider’s current request and response schema.
  6. Make the image reachable and update the record. If the service returns image bytes, upload or host them in a way Airtable can access before writing the result to an attachment. If the service returns a URL, confirm that it remains reachable for the time Airtable needs to fetch it. Save the result, mark status complete, and retain the request ID.
  7. Handle failures explicitly. On a provider or upload error, save a sanitized error message and set status to failed. Retry only errors likely to be temporary, and limit attempts so a persistent bad prompt or invalid credential does not loop.

Airtable’s automation documentation describes triggers and actions. Its server-side script action can use fetch(), but ensure your script handles the response status and content type rather than treating every HTTP response as a valid image.

Store the image as an attachment or a URL

Choose storage based on how the image will be used. An Airtable attachment gives collaborators a file on the record; a URL field is convenient when downstream tools need a stable address and you control the hosting.

Use an attachment when the record should contain the asset

In an automation or through the Web API, set the attachment field using a URL Airtable can fetch, or use the appropriate upload flow for your integration. A temporary provider URL may expire before Airtable retrieves it, so confirm its lifetime and fetch behavior. For long-lived use, keep a copy in durable storage under your control and save an accessible URL as appropriate.

Use a durable URL when other systems need access

Store a public or appropriately authorized URL if later steps, websites, or recipients need to retrieve the image. Airtable warns that attachment URLs inserted into automation email bodies expire; for persistent inline images in email, Airtable recommends a publicly hosted URL. See Airtable’s email-action documentation. A public URL is accessible to anyone who obtains it, so do not use it for private assets without access controls.

Make the automation idempotent and observable

An automation may run more than once because of repeated edits, retries, or overlapping triggers. Design it so the same logical request does not produce multiple unintended images.

  • Write a stable request ID and set status to processing before the provider call.
  • Skip records already completed for the current prompt and style inputs. If those inputs change, treat that as a new request deliberately.
  • Record the Airtable record ID, provider request ID, start time, and outcome in a log or fields suitable for troubleshooting.
  • Use explicit timeouts and classify failures: retry transient network or service errors; correct invalid credentials, malformed requests, and invalid inputs before trying again.
  • Count each triggered attempt in your capacity planning, not just successful images.

For workers processing multiple records, use a queue and a uniqueness check around the request ID. This is safer than assuming an Airtable trigger will execute exactly once.

Understand Airtable run limits and total cost

Airtable’s published plan figures for 2026 list the following monthly automation-run allowances. Airtable counts a trigger invocation as a run, including failed and successful attempts; an image-provider failure can therefore still consume an Airtable run. Confirm your workspace’s current plan and usage display before setting production volume.

Those are automation runs, not guaranteed completed images. Retries, duplicate triggers, and failures all affect the run total. The Run a script action is not available on Free, even though Automations themselves are available on all plan types with differing limits. Track Airtable runs and the image provider’s usage separately: every triggered attempt can consume Airtable capacity even when the external request fails. Your per-image cost depends on the image provider, output settings, retries, and any hosting or orchestration service; no single per-image total applies to every setup.

Use Airtable AI for prompt preparation, not as the image file step

Airtable’s AI field and its Generate with AI automation actions are documented for text and structured data. They can help prepare a prompt, caption, metadata, or structured instructions, but the cited Airtable documentation does not establish that those actions directly return an image attachment. For the image itself, connect an image-generation API unless current Airtable documentation confirms a native image-file action.

Keep credentials and record updates secure

  • Store provider keys in automation secrets or on an external server. Do not place shared credentials in a client-side Scripting extension visible to editors.
  • Validate prompts and any user-supplied URLs or image inputs before sending them to a provider.
  • Limit updates to the intended Airtable record and expected output fields; do not trust a record ID supplied without validation.
  • Do not write secrets or sensitive prompt data into broadly visible error fields or logs.
  • Use access controls appropriate to the image. A publicly hosted URL should be treated as public to anyone who can obtain it.

Troubleshoot common failures

The automation does not run

Check that the automation is enabled, the trigger condition matches the record’s actual state, and the triggering field update is included in the watched conditions. If the workflow updates a field that retriggers itself, tighten the conditions or add a status guard.

Run a script is unavailable

The Run a script action is not available on Airtable’s Free plan. Use a paid plan that includes it, or move the API call to an external worker that uses Airtable’s Web API.

The API request fails or returns a non-image response

Check the provider’s current endpoint, authentication, required parameters, and response format. Handle non-success HTTP statuses and provider error bodies before reading image data. Also check whether an input prompt or image exceeds the provider’s supported constraints.

The attachment is empty or does not appear

Confirm the output field is an attachment field, the returned URL is reachable by Airtable, and the file is available long enough for Airtable to fetch it. If the provider returns image bytes rather than a fetchable URL, add an upload or hosting step compatible with your integration.

The same record creates multiple images

Look for a record-updated trigger reacting to the automation’s own status or attachment changes. Add conditions that require a new request, set processing before calling the provider, and check the request ID or completed state before retrying.

Images or email links stop working later

Check whether the URL was temporary. Airtable attachment URLs used in automation email bodies expire; use durable public hosting for persistent inline email images, with suitable privacy controls for the content.

Monthly runs are used faster than expected

Inspect failed as well as successful invocations, duplicate triggers, and retries. Airtable counts trigger invocations as runs. Add guards and track provider usage separately so failures do not go unnoticed.
