There is no single best CRM app. For most small businesses, HubSpot is the strongest free starting point; Pipedrive is better for a focused visual sales pipeline; Zoho CRM offers an unusually broad feature set for the money; and Salesforce Sales Cloud is the better choice for complex enterprise processes. For calling-heavy outbound teams, Close is often a more natural fit than a general-purpose CRM.

The word apps also matters. If salespeople work in the field, an iOS or Android download is not enough: they need to know whether records can be viewed and edited without a signal, what synchronizes later, and how conflicts are handled. This guide compares both the CRM products and their mobile capabilities, along with the costs, limitations, and workflows that determine whether a system will actually be used.

These are use-case recommendations, not an objective ranking. A five-person outbound team may be happier with Close or Pipedrive than HubSpot, while a company that needs custom objects and strict governance may outgrow all three.

What a CRM app actually does

Customer relationship management software stores and organizes information about prospects, customers, companies, conversations, sales opportunities, and follow-up work. A typical CRM lets a team:

  • Store people, companies, leads, and account relationships.
  • Move opportunities through a sales pipeline.
  • Schedule calls, meetings, tasks, and reminders.
  • Log email, phone, SMS, and other customer interactions.
  • Automate lead assignment, follow-up, notifications, and record updates.
  • Forecast revenue and report on conversion, activity, and pipeline health.
  • Share customer history with marketing, service, finance, or project teams.
  • Access and update records from a phone or tablet.

That means a CRM is not automatically the right tool for every customer-facing operation. A field-service business may need dispatching, route optimization, recurring jobs, estimates, invoices, inventory, and technician scheduling more than it needs a conventional opportunity pipeline. A support department may need ticketing, SLAs, a knowledge base, and a customer portal. Start by defining the work, not by comparing feature-count lists. The Microsoft CRM overview, HubSpot’s CRM explanation, and Salesforce’s definition provide useful background, but vendor definitions should not substitute for testing the workflow your team actually performs.

1. HubSpot: best overall starting point for small businesses and inbound teams

HubSpot’s general CRM is free with no expiration and includes core contact and deal management. It also offers iOS and Android apps and connects to more than 2,000 business applications. Its broader platform covers sales, marketing, service, content, data, payments, and AI, so it is a strong choice when customer information needs to follow a prospect from marketing through sales and support.

Pricing: The general free CRM is distinct from the separately listed Sales Hub tiers. The Sales Hub page shows a Free tier at $0 per month for up to two users, Starter at $7 per seat per month billed annually or $20 monthly, Professional from $90 per seat per month annually, and Enterprise from $150 per seat per month annually. Professional has a listed one-time onboarding fee of $1,500, while Enterprise lists $3,500. HubSpot also lists separately metered HubSpot Credits at $9 per 1,000 credits when paid annually. Best for: Startups, small businesses starting at no cost, inbound marketing, content-led acquisition, and teams that want sales, marketing, and service data in one ecosystem.

Main limitation: The HubSpot mobile app requires an internet or data connection to create, edit, or view records, according to its mobile record documentation. It is therefore a weaker choice for genuinely disconnected field work. Costs can also rise quickly once automation, marketing contacts, service tools, AI, phone use, or multiple Hubs are added. A team that only needs a small sales pipeline may pay for much more platform breadth than it uses.

2. Pipedrive: best for a clear visual sales pipeline

Pipedrive is built around leads, deals, activities, contacts, follow-ups, forecasting, and sales workflows. Its interface and operating model suit teams that want every opportunity to have a visible stage, next activity, owner, and expected value. Current plans include email synchronization, automations, lead routing, customization, AI-powered reporting, and integrations with more than 500 apps.

Pricing: Lite is $14 per seat per month billed annually, Growth is $39, Premium is $59, and Ultimate is $79. There is no permanent free plan, although the public offer is a 14-day free trial. LeadBooster, Projects, Campaigns, Web Visitors, and Smart Docs are separate add-ons or plan-dependent products.

Mobile advantage: Pipedrive explicitly supports offline work in its iOS and Android apps. Users can move deals, add notes and activities, and make changes without an internet connection; the app synchronizes when connectivity returns. Pipedrive currently lists Android 11 or later and iOS 18 or later as minimum versions in its offline mobile documentation.

Best for: B2B sales teams, consultants, agencies, sales-led service businesses, and field sellers who need to update a pipeline after a meeting.

Main limitation: Pipedrive is primarily a sales CRM. Marketing, service, project, document, and lead-generation capabilities may need separate plans or add-ons. Older comparison pages may show obsolete prices—for example, some coverage lists a $10 starting price, while the current official page lists Lite at $14 with annual billing.

3. Zoho CRM: best value and customization balance

Zoho CRM combines contacts, leads, deals, workflows, reports, forecasting, automation, AI, customer journeys, territory management, custom functions, portals, and inventory-related features. It becomes particularly attractive when a business already uses Zoho Books, Zoho Desk, Zoho Campaigns, Zoho Forms, Zoho Bookings, Zoho Field Service, or Zoho Analytics.

Pricing: Zoho has a free edition for up to three users, including core CRM functions, workflows, reports, and a mobile app. Its official page is region- and currency-sensitive; the public page returned an INR view during research. Secondary 2026 coverage commonly lists paid plans beginning around $14 per user per month billed annually, with higher tiers often shown around $23, $40, and $52. Treat those secondary figures as provisional and use the currency selector on the official pricing page before budgeting.

Mobile advantage: Zoho provides native iPhone, iPad, and Android apps. Its mobile documentation describes locally stored records that can be used offline and synchronized after reconnection. 4. Bigin by Zoho: best simple, low-cost CRM for very small teams

Bigin is designed for small businesses that have outgrown spreadsheets but do not need a full enterprise CRM. It focuses on pipelines, contacts, activities, automation, forms, phone features, business-card scanning, and simple mobile workflows. It can also provide a migration path toward Zoho CRM when a business becomes more complex.

Pricing: The free plan supports one user and 500 records. Express costs $7 per user per month annually or $9 monthly; Premier costs $12 annually or $15 monthly; Bigin 360 costs $18 annually or $21 monthly. Best for: Solopreneurs, small local businesses, and teams moving from spreadsheets to a low-friction pipeline.

Main limitation: The free plan’s one-user and 500-record limits are substantial. Record limits count data across modules, so check exactly what will count before importing a spreadsheet. Bigin is also less suitable for complex enterprise permissions, sophisticated analytics, custom objects, or large-scale sales operations.

5. Salesforce Sales Cloud: best for enterprise customization and governance

Salesforce Sales Cloud is the strongest candidate when a business needs complex data models, custom objects, detailed permissions, advanced automation, large integration requirements, mobile customization, auditability, and a platform shared across departments. Its sales capabilities include accounts, contacts, leads, opportunities, forecasting, analytics, AI, and Agentforce-related features.

Pricing: The public Sales Cloud page lists Starter Suite at $25 per user per month, Pro Suite at $100 billed annually, Enterprise at $175 billed annually, Unlimited at $350 billed annually, and Agentforce 1 Sales at $550 billed annually. These are Sales Cloud prices, not necessarily the complete implementation budget. Add-ons, implementation partners, integrations, data products, support, telephony, additional Salesforce clouds, and administration can materially increase total cost.

Mobile advantage: Salesforce has a dedicated mobile sales workspace. Depending on the edition and configuration, Mobile App Plus and Mobile Builder can support offline-first experiences. Salesforce’s offline mobile documentation states that users can create, edit, and delete records offline, then synchronize and receive conflict notifications after reconnecting.

Best for: Mid-market and enterprise organizations with complex sales processes, multiple departments, custom objects, governed data, and CRM administrators or implementation partners.

Main limitation: Salesforce can be excessive for a small team with one straightforward pipeline. Its advertised per-user price should never be mistaken for total cost of ownership.

6. Copper: best for Google Workspace-centric teams

Copper is closely integrated with Gmail, Google Calendar, Google Drive, and Google Workspace workflows. It supports contacts, pipelines, projects, tasks, reports, email tracking, automation, and third-party integrations. Higher tiers add capabilities such as multi-currency.

Pricing: Basic is $23 per seat per month billed annually, Professional is $59, and Business is $99. Copper lists contact limits of 2,500 on Basic, 15,000 on Professional, and unlimited on Business. A free trial is available without a credit card. Check the current Copper pricing page rather than relying on older comparison articles.

Best for: Agencies, consultancies, and other teams that live in Gmail and want CRM records near their email, calendar, and Drive activity. It is also useful for project-oriented businesses that need client and project pipelines.

7. monday CRM: best for flexible no-code workflows

monday CRM combines CRM records with customizable boards, columns, dashboards, automations, quotes, invoices, communication timelines, email sequences, mobile apps, and workspaces. It suits teams that want CRM information to resemble a flexible operational workspace rather than a conventional sales database.

Pricing: The current annual-billing page shows approximately $12 per seat per month for Basic, $17 for Standard, and $28 for Pro; Ultimate is contact sales. Plans start at three users. There is a 14-day trial, but no ongoing free version of monday CRM. Monthly billing is available without the annual discount.

Mobile and offline: monday lists iOS and Android apps and advertises access to and updates of data while offline on applicable plans. Verify the exact offline behavior for the boards, automations, attachments, and fields your team uses.

Best for: Teams with nonstandard processes, businesses combining CRM with project or operations work, and managers who want visual dashboards and no-code customization.

Main limitation: The three-user minimum makes it a poor fit for a solo operator. Because it is highly configurable, teams need governance to prevent inconsistent fields, duplicate boards, and workflows that no longer reflect the sales process.

8. Close: best for outbound calling, email, and SMS

Close puts calling, email, SMS, workflows, forms, pipeline management, call recording, and AI sales assistance in one sales-focused platform. It is a strong candidate for inside-sales teams that spend much of the day prospecting and communicating rather than managing broad marketing, service, or back-office operations.

Pricing: With annual billing, Solo is $9 per user per month and is limited to one user; Essentials is $35, Growth is $99, and Scale is $139. Monthly prices are $19, $49, $109, and $149, respectively. Calling, SMS, and AI are usage-sensitive. Close lists premium phone numbers at $19 per month per line and Call Assistant at $50 per month per organization plus $0.02 per minute. Best for: Outbound sales teams, lead-generation agencies, and organizations needing native calling, SMS, email, call recording, and sales workflows.

Main limitation: The seat price is not the whole bill. Test call quality, deliverability, recording rules, consent requirements, and actual phone, SMS, and AI usage before committing.

9. Freshsales: best value for built-in communication and mobile field features

Freshsales includes contact lifecycle stages, chat, email, phone, templates, custom fields, workflows, contact scoring, deal insights, sales sequences, territory management, custom modules, sandboxes, and audit logs depending on the plan. It is especially attractive for teams already using Freshdesk or another Freshworks product.

Pricing: Growth is $9 per user per month billed annually, Pro is $39, and Enterprise is $59. Freshworks advertises a fully loaded 21-day trial. Add-ons include branded documents at $19 per user per month and Freddy AI Agent at $49 per 100 sessions. The official pricing page should take precedence over secondary articles that inconsistently describe Freshsales’ free-plan availability.

Mobile advantage: Freshsales supports iOS and Android apps, Google Maps integration, check-ins, voice notes, Gmail and Outlook integration, and mobile offline mode. Its features page provides the current capability list.

10. Insightly: best for CRM plus project management

Insightly combines lead and contact management with project management, reporting, dashboards, workflow automation, lead routing, AI Copilot, products, pricebooks, quotes, sandboxes, and audit logging at higher tiers.

Pricing: Plus costs $29 per user per month billed annually, Professional costs $49, and Enterprise costs $99. Plus includes lead and contact management, project management, advanced reports, and prebuilt dashboards. Professional adds lead routing, workflow automation, and AI Copilot. Enterprise adds sandboxes, products, pricebooks, quotes, and comprehensive audit logging.

Best for: Professional-services firms, agencies, and project-driven businesses that need opportunities to flow into delivery work.

Main limitation: It is more expensive than simple SMB CRMs, and marketing, service, and integration products can be priced separately. Choose it for the connection between selling and delivering work—not merely because it has a CRM module.

Best CRM apps for mobile teams

Do not give every CRM the same mobile score simply because each has an app-store listing. The meaningful questions are whether a rep can complete the necessary workflow on a phone, whether the app works without connectivity, and whether synchronization is predictable when the device reconnects.

Use this airplane-mode test

  1. Open an existing contact while connected, then enable airplane mode.
  2. Add a note and log a call or meeting.
  3. Move a deal to another stage.
  4. Create a follow-up task.
  5. Add a new contact and, if relevant, attach a photograph or document.
  6. Reconnect to the internet.
  7. Confirm that every change synchronizes, ownership remains correct, and duplicate or conflict behavior is understandable.

A salesperson who can open an app but cannot complete this sequence offline does not have a reliable mobile CRM for weak-connectivity work.

How CRM pricing really works

The advertised entry price is only one line in the budget. Calculate the total configuration using:

5. Confirm that you can leave

Before signing, ask the vendor to demonstrate exports for contacts, companies, deals, activities, notes, attachments, email history, custom fields, and relationships. Also check API access, rate limits, account deletion, retention rules, and whether exported data remains usable outside the platform. A CRM that is easy to enter but difficult to exit creates avoidable switching risk.

Verify the relevant business associate agreement or data-processing agreement, data residency, encryption, audit logs, field-level permissions, retention and deletion controls, subprocessors, call-recording consent, SMS consent, geography, edition, and contract terms.
