ChatGPT is the most flexible choice if you regularly summarize different kinds of material. It can work with PDFs, Word documents, presentations, spreadsheets, text files, and pasted passages. You can ask for a plain-language overview, compare two documents, extract references, or turn a report into action items.
How to summarize a file with ChatGPT
- Open a chat at ChatGPT.
- Open the tools menu and choose Add photos or files.
- Upload the document.
- Give it a specific instruction instead of only writing “summarize this.”
A useful prompt is:

The practical limits are substantial: a file can be up to 512 MB, text and document files are capped at 2 million tokens, spreadsheets are limited to approximately 50 MB, and images to 20 MB. Upload allowances vary by account; the documented general limit is up to 80 files every three hours, while free users are limited to three uploads per day, with possible reductions during busy periods.
There is one major PDF trap. On non-Enterprise plans, document processing is primarily text-based. A chart, scanned page, diagram, or screenshot embedded in a PDF, Word file, or presentation may be discarded rather than analyzed. If the important information is visual, provide the image separately or use a workflow with visual PDF retrieval.
2. Gemini Notebook: best for source-grounded research
Google renamed NotebookLM to Gemini Notebook on July 16, 2026. It is the strongest option when you want the summary to stay tied to a defined collection of sources rather than freely combine information from the web.
Open Gemini Notebook, or Notebooks in Gemini, select Add in the sources panel, and import or discover your material. You can ask a question-specific summary in chat, or open a source in the left-side viewer and use its automatically generated summary in Source Guide.

Gemini Notebook can accept PDFs, DOCX, TXT, Markdown, CSV, PPTX, Google Docs, Slides, Sheets, images, audio, ePub files, web URLs, and public YouTube URLs. Each source can contain up to 500,000 words or 200 MB, and free users can include up to 50 sources.
Its key advantage is grounding: Notebook answers are based exclusively on the sources in that notebook. This differs from the regular Gemini app, which can use web search and other tools. If you move the same material into a different Gemini workflow, do not assume the answer will have identical evidence.
Import limitations matter:
- YouTube imports the transcript, not the video. The video must be public and have captions.
- Videos uploaded less than 72 hours earlier may not be available.
- Web imports contain page text but not images, embedded videos, nested pages, or paywalled content.
- Google Drive comments and footnotes are not imported.
- Audio is transcribed during import, so poor recordings can produce poor summaries.
3. Perplexity: best for current web research

Enterprise users have a Choose sources menu in Internal Knowledge Search. Its options are Web, Org Files, Web + Org Files, and None. The older Focus control has been replaced in this workflow.
Enterprise internal repositories support XLSX, PPTX, DOCX, PDF, and CSV files up to 50 MB each. PNG and JPEG files can be attached directly to a query but are not supported in the internal repository.
4. Claude: best for reusable document projects
Claude is useful when summarization is part of an ongoing project rather than a one-off task. You can place reference files and instructions in a Project, then use that shared knowledge across multiple chats.
- Hover over the left side of the Claude account interface.
- Select Projects, then + New Project.
- Open the project and click the + button in the project knowledge area.
- Upload the files.
- Select Set project instructions, add your formatting rules, and click Save instructions.
Project knowledge is shared across chats only when documents are added to the project knowledge base. A conversation in one chat does not automatically become context in another. Projects are available on paid Claude plans, and paid plans can automatically use retrieval when project knowledge approaches the context limit.
For long documents, request a structured result:
Create an executive summary with these sections: key claims, evidence, unresolved questions, risks, and page or section references. Separate statements made by the source from your own interpretation.

TLDR This is convenient when you do not need a full chatbot workspace. On its homepage, choose Upload file, Add URL, or Add text. For a file, select or drop it into the uploader and click SUMMARIZE THIS.
It accepts PDF, DOC, and DOCX files up to 25 MB, and also extracts metadata such as the title, author, date, related images, and estimated reading time. Browser extensions are available for one-click webpage summaries.
The free plan advertises unlimited basic key-sentence summaries but only 10 advanced AI summaries as a one-time allowance. Paid plans increase the monthly advanced-summary allocation.

You can customize the focus, format, length, grouping, emojis, and insight-cluster titles. That makes it more useful than a generic paragraph when you want to jump directly to a particular section of a lecture, interview, tutorial, or podcast.
