Freshservice is the easiest recommendation for a small IT team that wants recognizable ITSM features without a particularly steep learning curve. Its interface is clear, and the platform covers ITIL-oriented workflows, asset, change, and project management, reporting, and employee-facing ticket intake.
Current intake options include email, support portals, Slack, Microsoft Teams, mobile apps, and other channels. Freshworks also advertises more than 1,000 ready-to-install Marketplace integrations and an ecosystem of more than 1,200 enterprise apps, giving Freshservice a practical advantage when it must fit into an existing software stack.

HappyFox Service Desk: best for beginners
HappyFox Service Desk is a good starting point for a department that needs dependable ticket handling more than a highly elaborate ITSM implementation. Ticket and knowledge-base interfaces are simple, and the product’s automation tools are understandable to non-specialists.
Its Canned Actions can insert a prepared response while changing ticket properties in the same operation. Smart Rules can route tickets and set priority levels automatically. Those features are useful for repetitive requests such as password resets, onboarding tasks, VPN problems, and equipment approvals.
HappyFox also provides custom reporting, asset management, and an AI add-on. The trade-off is cost: it is more expensive than several competitors, and premium AI requires a separate paid add-on. A two-year commitment may reduce the effective price, so compare the total cost of monthly, annual, and multiyear offers rather than judging only the advertised monthly number.
Choose HappyFox when the people configuring the service are not dedicated ITSM administrators and a short path from setup to usable ticket queues is more important than maximum workflow sophistication.
ManageEngine ServiceDesk Plus: best for IT professionals
ManageEngine ServiceDesk Plus suits technically experienced teams that want extensive controls, reports, and integration with a broader IT-management environment. It includes workflow building, asset tracking, reporting, and integrations with ManageEngine and Zoho products. Its Zia AI bot can provide prompts inside the workflow-building experience.
The interface is comparatively spartan and less approachable than Freshservice or HappyFox. That is not necessarily a disadvantage for an administrator who values configuration depth, but new technicians and department managers may need more onboarding.

Vivantio: best for larger small and midsize businesses
Vivantio is aimed at SMBs whose internal support operation is growing beyond a basic ticket queue. It offers flexible ITIL-oriented workflows, reporting, asset management, and knowledge management, with flat pricing that can be easier to forecast than per-feature packaging.
Its appeal is the ability to model more involved service processes without making the platform solely about incident tickets. That can help when IT supports multiple departments, has formal approval stages, or needs consistent reporting across several service teams.
Vivantio’s main shortcomings are support and mobile access. The tested configuration had no live chat or chatbot support and no dedicated smartphone apps. 1. Define the users and the service boundary
These products are intended mainly for internal employees, not external customers. Count technicians, approvers, occasional agents, and employees who submit requests separately. A plan priced per agent can become expensive when every occasional collaborator requires a paid seat.
2. Map your required intake channels
At minimum, verify email-to-ticket, an employee portal, ticket forms, notifications, and search. If employees work in Slack or Teams, test whether the integration creates a complete ticket, preserves replies, supports approvals, and displays status updates. Do not accept “integration available” as proof that the workflow fits your organization.
3. Test the complete ticket lifecycle
- Submit an incident from each major channel.
- Check automatic categorization, priority, assignment, and SLA calculation.
- Associate the ticket with an employee, device, service, or knowledge article.
- Escalate and reassign it.
- Require an approval or create a change request if your process needs one.
- Resolve, reopen, search, and report on the ticket.
This exposes failures that a feature checklist misses, such as rules that work only on email tickets, reports that omit reassigned tickets, or mobile apps that cannot perform important triage actions.
4. Price the automation and AI you will actually use
Compare the full annual cost, not just the base seat price:
- Agent seats and occasional users
- AI copilots, virtual agents, and usage charges
- Asset or discovery modules
- Premium integrations
- Sandbox, reporting, audit, and custom-role features
- Implementation, migration, and support services

5. Check process maturity and reporting
If you need incident, problem, change, request, approval, and service-catalog processes, prioritize an ITSM-oriented product such as HaloITSM, Freshservice, ManageEngine, Vivantio, or Zendesk. If you need only a shared queue and canned replies, Spiceworks may be enough. Remember that ITIL is a framework of practices, not a guarantee that a product is “ITIL compliant” in every implementation.
