When Microsoft Teams will not upload a file, the cause is usually one of five things: the file is being sent to a location where you only have read access, Teams is using the wrong Microsoft 365 account, OneDrive for Business is unavailable, the filename violates SharePoint rules, or the Teams/OneDrive cache is stuck.

Start with the quick checks below, then follow the section that matches the error you see. The fix is different for a channel upload, a chat upload, and a file being added from the Teams mobile app.

First, check where Teams is trying to save the file

Teams does not store every upload in one central Teams location. The destination depends on the conversation:

This distinction explains why a file can upload in a chat but fail in a channel, or work in one team but not another.

Use the correct upload path

Teams on the desktop or web

  1. Open the channel post or chat where you want to send the file.
  2. In the compose box, select Actions and apps.
  3. Select Attach file, then choose the file from your computer or a connected storage location.
  4. Add a message if needed and select Send.

You can also drag a file from File Explorer or Finder directly into the message box. If the attachment control is missing, reload Teams, try Teams on the web, and check whether your organization has restricted file sharing.

Teams on Android or iPhone

  1. Open the chat or channel.
  2. Tap Attach below the message box.
  3. Choose the file from the device or an available cloud-storage service.
  4. Send the message after the attachment finishes processing.

To put a file into OneDrive from the Teams mobile app rather than attach it to a conversation, select More → Files → OneDrive → Add → Files. Select the file and tap Open.

1. Check the file name and path

Teams uploads channel and chat files to SharePoint or OneDrive, so their naming restrictions apply. Rename the file before trying again if it contains any of these characters:

" * : < > ? /  |

Leading or trailing spaces are also invalid. Some organizations additionally block # and %.

Do not use these reserved names or patterns:

  • .lock
  • CON, PRN, AUX, or NUL
  • COM0 through COM9
  • LPT0 through LPT9
  • _vti_, including filenames containing that string anywhere
  • desktop.ini
  • Names beginning with ~$

The combined decoded folder path and filename cannot exceed 400 characters. A deeply nested channel folder can therefore fail even when the filename itself looks normal. Try a short name such as project-plan.docx and move the file closer to the root of the folder.

Temporary .TMP files do not sync to OneDrive. Windows desktop.ini and macOS .ds_store files normally do not sync either.

2. Check the file size and preview behavior

The current individual-file limit for Microsoft Teams Files, SharePoint document libraries, and OneDrive folders is 250 GB. The old claim that Teams has a 2 GB upload limit is not correct for current Microsoft 365 storage.

For a file that is several gigabytes, Microsoft recommends using the OneDrive sync app instead of uploading through a browser. A large file may also appear to stall because of network instability, VPN inspection, or browser timeouts.

A file can upload successfully without receiving a preview. Images and PDFs larger than 100 MB can be stored but will not receive thumbnails or PDF previews. Check the file in the channel’s shared area or the chat’s shared files before assuming the upload failed.

3. Fix a permissions error

If Teams says “Permissions needed”, you probably have read-only access to the destination SharePoint library. Uploading requires edit access; Microsoft identifies Contribute or higher as the needed permission level for non-read-only synchronization.

What to ask a team owner or SharePoint administrator to check

  1. Open the channel’s Shared area and choose In library to open the associated SharePoint library.
  2. Check whether your account has Contribute, Edit, or a higher permission level.
  3. Check whether the library requires users to check out files.
  4. Check for required validation columns, draft-item restrictions, or content approval.
  5. Confirm that the specific folder has not broken inheritance and become read-only.

A library can show files normally while still blocking uploads. If the problem affects only one channel, its SharePoint permissions or library settings are more likely than your Teams installation.

4. Resolve an account mismatch

OneDrive upload failures often happen when OneDrive is signed in with one work or school account while Teams, Word, or another Microsoft 365 app is using a different account. A personal Microsoft account in the mix can cause the same problem.

For the error “UPLOAD BLOCKED: We couldn’t verify you have the necessary permissions to upload the file”, use this Windows procedure:

  1. Select the OneDrive cloud icon in the notification area.
  2. Select Help & Settings → Settings → Account, and note the signed-in account.
  3. Open the affected Microsoft 365 app and select File → Account.
  4. Under Connected Services, select Remove for accounts other than the account used by OneDrive.
  5. In OneDrive, select Help & Settings → Pause syncing, then choose 2 hours, 8 hours, or 24 hours.
  6. Select Help & Settings → Quit OneDrive.
  7. Close Microsoft 365 apps, restart OneDrive, reopen the app, and retry the upload.

If that does not work, sign out of every account in the affected app: select File → Account, then choose Sign out under User Information. Next, open Windows Credential Manager → Windows Credentials. Under Generic Credentials, remove entries related to OneDrive, MicrosoftOffice16, and MicrosoftOffice15. Restart Windows and sign in again with the same Microsoft 365 account in Teams, OneDrive, and Office.

5. Fix chat uploads that use OneDrive

Chat attachments are stored in the sender’s OneDrive for Business. If a chat shows one of these messages, the problem is usually with the user’s OneDrive site rather than the chat itself:

  • “The file [FileName] didn’t upload.”
  • “The file [FileName] is locked.”
  • “The file [FileName] didn’t upload. Your OneDrive isn’t available.”
  • “This item might not exist or is no longer available.”

Common administrator-side causes

  • The default library was renamed: Teams expects the default OneDrive document library to be named Documents. A Microsoft 365 administrator can run the OneDrive Library Rename diagnostic, enter the user’s UPN, select Run Tests, authorize the rename if a different name is found, and select Update Settings.
  • The OneDrive site is locked: A site locked as ReadOnly or NoAccess must be unlocked by an administrator.
  • The user was deleted and recreated: Recreating a user with the same UPN can leave the OneDrive site tied to the old user ID. Microsoft’s documented resolution is to delete the recreated user and restore the original user, which should be handled by an administrator.
  • Missing MySite host access: The user must be able to access the MySite host. A SharePoint administrator can restore the default permission with SharePoint Online Management Shell:
Connect-SPOService -Url https://contoso-admin.sharepoint.com/
Add-SPOUser -Site https://contoso-my.sharepoint.com -LoginName "Everyone Except External Users" -Group Visitors

Replace the example tenant URLs with your organization’s URLs. Do not run this command unless you administer the tenant.

6. Fix “You don’t have access to this file” in a chat

If you can see a shared chat file but cannot open it, the OneDrive site may have Limited-access user permission lockdown mode enabled. Microsoft recommends not enabling this feature on OneDrive sites because it can interfere with Teams file sharing.

If you administer the affected OneDrive site:

  1. Sign in to the OneDrive site.
  2. Select the Settings icon → OneDrive Settings → More Settings.
  3. Under Features and storage, select Site Collection Features.
  4. Find Limited-access user permission lockdown mode.
  5. Select Deactivate.

7. Clear the Teams cache

Cache corruption can leave the attach button, upload status, or file list stuck. Quit Teams completely before clearing anything. The first launch afterward may take longer because Teams rebuilds its cache.

New Teams on Windows: reset the app

  1. Open Windows Settings → Apps → Installed apps.
  2. Search for Microsoft Teams.
  3. Select the More options (…) button for New Microsoft Teams.
  4. Select Advanced options → Reset.
  5. Start Teams and test the upload.

Resetting deletes app data, including personalization settings.

New Teams on Windows: delete the cache files

  1. Quit Teams.
  2. Press Windows logo key + R.
  3. Enter this path and select OK:
%userprofile%appdatalocalPackagesMSTeams_8wekyb3d8bbweLocalCacheMicrosoftMSTeams
  1. Delete all files and folders in that directory.
  2. Restart Teams and try again.

Classic Teams on Windows

  1. Quit Teams.
  2. Press Windows logo key + R.
  3. Enter:
%appdata%MicrosoftTeams
  1. Select OK, delete everything in the folder, and restart Teams.

Do not use the classic path for New Teams; New Teams uses the package cache path or the Windows app reset option.

Teams on macOS

Quit Teams with Command (⌘)-Q, open Applications → Utilities → Terminal, and run the command for your Teams edition.

For Classic Teams:

rm -r ~/Library/Application Support/Microsoft/Teams

For New Teams, run each command separately:

rm -rf ~/Library/Group Containers/UBF8T346G9.com.microsoft.teams
rm -rf ~/Library/Containers/com.microsoft.teams2

Restart Teams after the commands finish.

8. Reduce a stalled upload or sync queue

If the status remains at “Processing 0KB of xMB”, the issue may be the number of items rather than the file you selected. OneDrive recommends no more than 300,000 items for optimum sync performance. Large numbers of new files can also keep the client at “Processing changes.”

The OneDrive website allows copying up to 2,500 files at one time. Upload or copy large batches in smaller groups, and avoid synchronizing an entire large library when you need only one folder.

Microsoft has also started rolling out support for syncing up to 1,000,000 items as a Windows public preview with hardware, operating-system, and Insider-client requirements. Treat that as a specialized preview rather than a general fix for a stalled Teams upload.

9. Check restricted file types and security blocks

Some file types require Add and Customize permission in OneDrive for work or school. These include:

.aspx  .master  .xap  .swf  .jar  .asmx  .ascx  .xsf  .htc

If the file is infected, the OneDrive sync app may stop syncing it and the OneDrive web interface marks it with a red warning symbol. Contact your organization’s security or Microsoft 365 administrator rather than trying to bypass the block.

Fast diagnosis checklist

What is the maximum file size in Microsoft Teams?

Are Teams chat files stored in Teams?

Why can I upload to a chat but not to a channel?

The two destinations use different storage and permissions. Chat files use the sender’s OneDrive for Business, while channel files use SharePoint. Your account may have Contribute or Edit access in one location but read-only access in the other.

Can Microsoft Teams upload files from personal OneDrive?

Microsoft’s current documentation says Teams cannot connect to personal OneDrive. Teams connects to the OneDrive for Business account associated with your work or school Microsoft 365 account.

Why does my Teams file have no thumbnail or PDF preview?

Images and PDFs larger than 100 MB can upload but do not receive thumbnails or PDF previews. Check the shared file location or OneDrive rather than using the missing preview as evidence that the upload failed.

Will clearing the Teams cache delete my files?

First rename the file with a short, permitted name and confirm it is below the 250 GB limit. If the failure is in a channel, have an owner check SharePoint permissions and library rules. If it is in a chat, investigate the sender’s OneDrive for Business account and site. For desktop-only failures, sign out mismatched accounts, clear the cache for the correct Teams edition, and retry from Teams on the web. Tenant-level problems such as a locked OneDrive site, a renamed Documents library, or a damaged user-ID relationship require a Microsoft 365 administrator.
