If File Explorer shows “Availability status: Available on this device” for a OneDrive file, OneDrive has usually not failed. The label describes the file’s local availability: its contents are downloaded and the file can be opened without an Internet connection.
The green checkmark means the file is available locally. A green circle with a white checkmark means Always keep on this device. A blue cloud means the file is online-only. A genuine synchronization problem is more likely when you see a red circle with a white cross, a paused-sync icon, or an error in the OneDrive activity center.
What “Available on this device” means
OneDrive Files On-Demand gives each file an availability state:

Therefore, do not try to “fix” the Available on this device status merely because it appears in File Explorer. If the file opens, changes sync, and there is no red error icon, the status is working as designed.

Make a file permanently available offline
If your concern is that the file should remain downloaded rather than being reclaimed to save disk space, mark it as always available:
- Open File Explorer with Windows + E.
- Open the file’s OneDrive folder, such as
C:UsersYourNameOneDrive. - Right-click the file or folder.
- Select Always keep on this device.
- Wait until the icon changes to a green circle with a white checkmark.
Marking a folder this way also downloads new files added to that folder. You can mark an individual file as always available even when its parent folder remains online-only.

Force OneDrive to download the file again
If a file is showing as locally available but will not open, or its local copy appears stale, change its state before downloading it again. Microsoft’s documented sequence is:
- Right-click the affected file or folder in File Explorer.
- Select Free up space. This removes the local contents and changes the item to online-only; it does not delete the file from OneDrive.
- Wait for the icon to change to the blue cloud.
- Right-click the item again and select Always keep on this device.
- Wait for the download to finish before opening or editing it.
Use a stable Internet connection and check that the PC has enough free disk space. You can still access the file from OneDrive.com or the OneDrive mobile apps after selecting Free up space.

Check whether OneDrive is actually reporting an error
Select the OneDrive cloud icon in the Windows notification area. If it is hidden, select the small up-arrow near the clock first. The icon and activity center identify problems that the File Explorer availability label does not.
- Gray cloud with a line through it: OneDrive is not signed in or setup has not completed. Open Start, search for OneDrive, and launch the desktop app.
- Pause symbol: synchronization is paused. Select the OneDrive icon and choose Resume syncing.
- Yellow warning triangle or brown exclamation mark: the account needs attention. Select the icon and follow the displayed warning.
- Red circle with a white cross: the file or folder cannot sync. Select the OneDrive icon to see the associated error details.
Also check your Microsoft cloud storage quota. When the account is over its storage limit, new files cannot be uploaded, edited, or synchronized.

The current Windows 11 settings path is:
- Select the OneDrive cloud icon in the notification area.
- Select OneDrive Help and Settings.
- Select Settings.
- Open Sync and back up.
- Expand Advanced settings.
- Review the Files On-Demand control.
Microsoft’s newer interface presents two relevant choices:
- Free up disk space: the recommended space-saving behavior. Cloud files stay online-only until you open them or select Always keep on this device. Files created on the PC remain available offline by default.
- Download all files: downloads the entire OneDrive folder. This is functionally equivalent to marking the complete OneDrive folder as Always keep on this device.
Older guides may tell you to “disable Files On-Demand.” That is not the current wording Microsoft uses for this workflow. If you want the whole OneDrive tree stored locally, use Download all files where that option is available.
If the Files On-Demand controls are missing, the latest client may not yet have rolled out to the device, or Windows Information Protection (WIP) may be enabled. Files On-Demand is not supported when WIP is enabled. Microsoft also notes that some third-party antivirus products may not be compatible with Files On-Demand.

Confirm that you are using the desktop sync client
Windows 11 can contain two similarly named OneDrive applications:

- Microsoft OneDrive: the website-distributed desktop application that backs up and synchronizes files.
- OneDrive by Microsoft Corporation: the Microsoft Store app, primarily used to view OneDrive. It does not back up or sync files.
To identify them, open Start → Settings → Apps and search for OneDrive. To see the desktop client version, select the cloud icon, then OneDrive Help and Settings → Settings → About.
If you only have the Store app, install the desktop sync client from Microsoft’s OneDrive download page.
Wait when OneDrive says “Processing changes”
A long Processing changes message is not automatically a reason to reset OneDrive. Microsoft lists several legitimate causes:
- You recently signed in to OneDrive.
- Windows or OneDrive was recently updated.
- Many files are in the synchronization queue.
- A large file, ZIP archive, or long video is being processed.
- Outlook PST or OST files are in the OneDrive folder.
- A file is open in another application.
- A temporary or hidden file is blocking the queue.
Select the OneDrive cloud icon to inspect files currently open, syncing, or recently synced. Close applications that are using OneDrive files, and give a recent sign-in or update time to complete its synchronization.

Review selected folders
A folder may appear absent locally because it was excluded from synchronization, not because it was deleted. To review the selection:
- Select the OneDrive cloud icon.
- Select OneDrive Help and Settings → Settings.
- Open the Account tab.
- Select Choose folders.
- Enable the folders you want available on this PC, then select OK.
Unchecking a folder removes it from the computer but leaves it online in OneDrive. Depending on the account and configuration, protected folders such as Documents, Desktop, Pictures, and Personal Vault may not be available for exclusion.
Reset the OneDrive desktop client
Reset OneDrive when the client is clearly stuck, availability commands are not working, or the local sync state appears corrupted. A reset does not delete your files or cloud data. It disconnects the sync connections, rebuilds local OneDrive state, and performs a full synchronization.
- Press Windows + R.
- Enter this command and select OK:
%localappdata%MicrosoftOneDriveonedrive.exe /reset - If Windows says it cannot find the file, run:
C:Program FilesMicrosoft OneDriveonedrive.exe /reset - If that also fails, try:
C:Program Files (x86)Microsoft OneDriveonedrive.exe /reset - After the reset, select Start, search for OneDrive, and open the desktop app.
Resetting may take time because OneDrive performs a full sync afterward. If you previously used selective folder synchronization, configure Account → Choose folders again after synchronization completes for both personal and work or school accounts.

Reinstall OneDrive as a last resort
If resetting does not restore the client or the desktop application is damaged:

- Select Start and type Programs.
- Select Add or remove programs.
- Find Microsoft OneDrive and select Uninstall.
- Download and install the desktop client from the official OneDrive website.
- Sign in and select the OneDrive folder location when prompted.
Uninstalling does not delete files stored in the cloud. The local OneDrive folder stops syncing, and your files remain available after signing in at OneDrive.com. Reinstallation resets OneDrive settings and performs a full sync, so previously selected folder exclusions must be configured again after synchronization finishes.
When to contact Microsoft support
Contact Microsoft support or your organization’s administrator when the red sync error persists after checking the activity center, the account is over quota, WIP policies prevent Files On-Demand, or a work or school account repeatedly requests sign-in. Before doing so, note the exact filename, the OneDrive icon shown, the account type, and the message displayed when you select the cloud icon.

FAQ
Is “Available on this device” an error in OneDrive?
No. It means the file has been downloaded and can be opened offline. A red circle with a white cross or an error shown from the OneDrive cloud icon indicates a real synchronization problem.
How do I keep a OneDrive file on my Windows 11 PC?
In File Explorer, right-click the file or folder and select “Always keep on this device.” Wait for the green circle with a white checkmark.
Does “Free up space” delete a OneDrive file?
No. It removes the local copy while keeping the item in OneDrive. You can download it again by selecting “Always keep on this device.”
Why can’t I see Files On-Demand settings?
The latest OneDrive version may not have rolled out to the device, or Windows Information Protection may be enabled. WIP does not support Files On-Demand. Some third-party antivirus software can also interfere with it.
Will resetting OneDrive delete my files?

Use Always keep on this device when you need reliable offline access, use Free up space followed by Always keep on this device to rehydrate a problematic file, and troubleshoot the OneDrive cloud icon for actual sync errors. Reset or reinstall the desktop sync client only after checking account status, storage, selected folders, and the Files On-Demand settings.
