The steps for viewing another person’s Outlook calendar depend on which Outlook you use and whether the calendar owner has shared it with you. Microsoft 365 work or school accounts can often find colleagues through the organization directory, while personal Outlook.com accounts normally require a sharing invitation first.

Viewing a calendar does not automatically let you edit it, see private appointments, or access additional calendars owned by that person.

Choose the Outlook version you are using

Outlook version How access normally works Important limitation

View someone’s calendar in new Outlook for Windows

These instructions apply to the current new Outlook app for Windows. They are most useful with a Microsoft 365 work or school account.

  1. Open Outlook and select Calendar in the navigation pane.
  2. Select Add calendar.
  3. Select Add from directory.
  4. Search for the person by name, then select that person.

The calendar is added using the sharing information available to your account. In many organizations, this means you can see when the person is busy but not the event title, location, or description. Finding someone in the directory does not bypass their permissions.

If the calendar does not appear in the list

New Outlook can hide shared and delegate calendars instead of placing them immediately in the main calendar list.

  1. In Calendar, select Show all.
  2. Find the person’s calendar under People’s calendars.
  3. Select the calendar to display it.
  4. To compare it with your calendar, select Split view in the ribbon.

Split view displays calendars side by side. Overlay or other display options may be available depending on the current Outlook interface and account configuration.

Open someone’s calendar in classic Outlook for Windows

Classic Outlook uses the Exchange shared-calendar command. An Exchange account is required for this desktop workflow; it is not the same as adding an arbitrary Outlook.com calendar.

  1. Select Calendar.
  2. On the ribbon, select the Home tab.
  3. In the Manage Calendars group, select Add Calendar.
  4. Select Open Shared Calendar.
  5. Enter the person’s name in the Name box, or select Name and choose the person from the address book.
  6. Select OK. If Outlook asks whether you want to send a sharing request, select Yes only if you want to email the owner.

The calendar appears beside the calendars already open. After the first access, you can normally open it again from the Folder Pane or the Other Calendars section.

Classic Outlook can open only the person’s default Calendar through this command. If the owner has created separate calendars, such as “Projects” or “Personal,” those calendars must be shared separately or published in a way your account can access.

Remove a calendar from classic Outlook

Removing a shared calendar from your view does not delete the owner’s calendar. In the Folder Pane, right-click the calendar under Other Calendars and select Delete Calendar.

View a calendar in Outlook on the web

For a Microsoft 365 work or school account, use the modern calendar interface as follows:

  1. Sign in to Outlook on the web and select Calendar.
  2. Select Add calendar.
  3. Select Add from directory.
  4. Search for and select the person.

If the owner has sent you a sharing invitation, open the message and select Accept at the bottom. The calendar is then added to your calendar list.

Some Outlook applications do not show an Accept button in the invitation. If that happens, open the invitation in Outlook on the web and accept it there. If no invitation arrives, ask the owner to share the calendar again from Outlook on the web.

Classic Outlook on the web interface

If your organization still presents the older Outlook on the web interface, use this route:

  1. Select the app launcher, then select Calendar.
  2. In the navigation pane, right-click Other calendars.
  3. Select Open calendar.
  4. For a colleague in your organization, enter the name under From directory and select Open.
  5. For an external published calendar, enter its URL under Internet calendar and select Open.

Opening an internal calendar directly shows the permissions granted to My organization. It does not provide more access than the owner has allowed. A calendar opened this way may also fail to appear in every Outlook client. Explicit sharing by the owner is the more reliable option when the calendar needs to be available across devices.

View someone’s calendar in Outlook.com

Outlook.com personal accounts include addresses ending in @outlook.com, @live.com, @hotmail.com, and @msn.com. This service uses a different sharing workflow from Microsoft 365 business accounts.

  1. Ask the calendar owner to send you a sharing invitation.
  2. Open the invitation in Outlook.com.
  3. Select Accept at the bottom of the message.
  4. Open Calendar and select the shared calendar in the left pane.

A personal Outlook.com user generally cannot add another person’s calendar directly from a company directory. The owner must share it first. A Gmail-only recipient may also be unable to accept a personal Outlook.com calendar invitation directly; Microsoft requires acceptance through a Microsoft account such as Outlook.com or an eligible Microsoft 365 account.

After adding the calendar, right-click it in the left pane to rename it, change its color, or remove it from your view.

What can you see on a shared calendar?

The permission level assigned by the owner determines what appears:

Permission What it allows you to see or do
Can view when I’m busy Shows availability, but hides event titles, locations, and other details.
Can view titles and locations Shows whether the owner is busy, plus the event title and location.
Can view all details Shows appointment details but does not allow changes.
Can edit Allows you to create, modify, and delete calendar items, subject to the account’s permissions.
Delegate Allows editing and handling meeting requests on the owner’s behalf. Delegate access is for work or school Microsoft 365 or Exchange Online accounts.

Private appointments remain protected. “Can view all details” does not normally reveal the title, location, or description of a private item. The viewer may see only that time is occupied. Additional private-item access requires the owner to configure the appropriate delegate or private-event permission.

Schedule an event on someone else’s calendar

You need Can edit or Delegate permission. Merely being able to view the calendar is not enough.

In Outlook on the web:

  1. Open Calendar.
  2. Select New event, or double-click a time slot.
  3. In Save to calendar, select the other person’s calendar.
  4. Enter the event information.
  5. Add attendees if this is a meeting, then send the meeting request.

The Save to calendar list includes only calendars that are both added to your calendar list and available to you with editor or delegate permission.

To add an appointment rather than a meeting, select the person’s calendar in Save to calendar and do not add attendees. Outlook saves the item without sending a meeting invitation.

Once a meeting invitation has been sent, you cannot change the calendar on which it was scheduled. A delegate can also respond to meeting requests for the owner and choose whether to send a notification to the organizer.

Use an ICS or published calendar

An owner may provide a published HTML or ICS link instead of granting account-level access.

  • ICS subscription: Can receive updates, but the refresh interval depends on the calendar and email provider. It is not guaranteed to update immediately.

ICS calendars are read-only. Granting edit permission elsewhere does not make an ICS subscription editable. If a correct Internet calendar URL shows no information, remove it and add it again after changing http to https, where the provider supports HTTPS.

Fix common Outlook calendar access problems

“This calendar can’t be shared”

Check that the address is valid and belongs to an individual user. A Microsoft 365 Group or an external address that is not permitted by the organization can produce this error.

Share Calendar is missing or greyed out

Your Microsoft 365 administrator may have blocked calendar sharing or restricted it to people inside the organization. This is an administrator-policy issue, not usually an Outlook installation problem.

The calendar shows only free/busy information

The owner has probably granted the default organization-level permission. Ask the owner to share the calendar with a higher permission, such as Can view titles and locations or Can view all details.

The shared calendar is not visible

In new Outlook, select Show all and check People’s calendars. In other versions, look under Other Calendars. If the calendar was opened directly in the older web interface, ask the owner to send an explicit sharing invitation.

Permission changes have not appeared

Changes made through Outlook on the web, Outlook for iOS, Outlook for Android, or Outlook for Mac normally resynchronize quickly. Changes made through some other applications can take several hours to propagate.

The calendar disappeared or stopped updating

If an owner removes an internal user’s permission, Outlook can remove the calendar from that user’s list. For an external recipient, an existing copy may remain visible but stop synchronizing.

Cross-company access is read-only

Shared calendars across Microsoft 365 organizations are read-only. In classic Outlook, New Meeting with All may not automatically detect the owners of those calendars; add the required people manually to the invitation.

FAQ

Can I view someone’s Outlook calendar without permission?

You cannot bypass the owner’s permissions. A directory search may show the default organization-level information, often free/busy status, but titles, locations, full details, and editing require higher permission.

Why can’t I see the shared calendar in new Outlook?

Select Calendar, choose Show all, and look under People’s calendars. New Outlook can hide shared and delegate calendars until Show all is selected.

How do I request access to someone’s calendar?

Classic Outlook for Windows can offer to create a sharing-request email when access is denied. In Outlook on the web, ask the owner to share the calendar; Microsoft does not provide the same direct permission-request workflow there.

Does “Can view all details” show private appointments?

Normally, no. Private items remain protected and usually show only as busy. The owner must grant the appropriate delegate or private-event access for additional private-item visibility.

Can I edit a calendar that I can view?

No. The owner must grant Can edit or Delegate permission. The calendar must also be added to your calendar list before it appears in Outlook on the web’s Save to calendar menu.

What is the difference between an ICS calendar and a shared Outlook calendar?

An ICS calendar is read-only. Importing it creates a static copy, while subscribing can receive updates according to the provider’s refresh schedule. A shared Outlook calendar can provide permissions such as viewing, editing, or delegation.

The Bottom Line

For a Microsoft 365 work or school account, start with Calendar > Add calendar > Add from directory in new Outlook or Outlook on the web. In classic Outlook, use Home > Add Calendar > Open Shared Calendar. For a personal Outlook.com account, wait for the owner’s invitation and select Accept.

If you see only free/busy blocks, that is the permission level—not an Outlook display failure. Ask the owner for more access, and remember that viewing permission never automatically includes editing or access to private appointments.
