A small-business VPS has no single reliable annual price: the real bill depends on the checkout term, renewal rate, backups, outbound traffic, taxes, add-ons, and who maintains the server. To estimate the cost after year one, total the actual first-year commitment and the renewal term separately, then add only the services and operating work your business needs.
Start with the price you will actually pay
A provider’s “per month” figure may be an average for a longer prepaid term rather than a month-to-month charge. Check the provider’s billing terms to see whether plans are paid upfront and whether the displayed monthly rate divides the total term price by the number of months. The displayed figure therefore is not, by itself, a first-year all-in total or a renewal quote. Confirm whether the service is self-managed and whether customers need IT knowledge before choosing a plan.
For any candidate plan, record the billing commitment, total due today, term length, and renewal rate and term from the order summary. Calculate the first-year total from the actual amount due for that period, not by multiplying an advertised monthly equivalent by 12 if the commitment is longer or shorter. Calculate year two from the confirmed renewal terms. If the renewal amount is not shown or confirmed, mark it unresolved rather than assuming the introductory rate continues.
Build a 12-month cost estimate
Use one defined workload and write down its region, resource level, expected traffic, backup policy, and support needs. A useful estimate separates recurring compute from optional or usage-based charges so that a low introductory rate does not disguise the eventual bill.

- Compute: Record the plan’s resources, billing term, total upfront payment, and any month-to-month equivalent. Use the actual term total for the first-year calculation.
- Renewal: Record the renewal price and its term separately. Calculate the second-year cash outlay from those terms; if they are not established at checkout, leave the year-two figure unresolved.
- Backups: Add the selected backup frequency, retention period, and storage billing. Do not assume backups are included just because the VPS plan includes storage.
- Outbound traffic: Estimate monthly data sent to the public internet, compare it with the plan’s included allowance, and price any excess at the provider’s current rate.
- Operations: Add a managed service, paid support, or administrator time if your business cannot maintain and recover the server itself.
- Other enabled services and tax: Include applicable tax and only the add-ons actually selected, such as extra storage, monitoring, a paid IP, load balancing, a managed database, email, or a domain.
Keep separate totals for the first 12 months and the renewal year. For each, show cash due, effective monthly cost, currency, and tax treatment. A precise number is useful only when its assumptions are visible.
Backups and bandwidth can change the bill
Backup frequency and storage
DigitalOcean lists weekly backups at 20% of a Droplet’s cost per month and daily backups at 30%. Its usage-based backup pricing starts at $0.01 per GiB-month. Those are different billing approaches: a percentage-based backup fee follows the Droplet price, while usage-based billing depends on stored data. Outbound transfer
DigitalOcean says Droplets include outbound transfer starting at 500 GiB per month, with public-internet egress overage listed at $0.01 per GiB. The included allowance can depend on the selected plan, so confirm that plan’s current amount before using the starting figure in a budget. Decide whether to pay for management or do the work
An unmanaged VPS can have a lower hosting charge while shifting routine and emergency work to the business. Someone must take responsibility for operating-system updates, firewall configuration, application-stack maintenance, access controls, monitoring, backups, and recovery. If that work is done by an employee or contractor, include the time or contract cost in the comparison; if no one can perform it reliably, the low server price may not represent a workable business cost.
Managed-cloud services can cost more while adding services such as provisioning, security patching, automated backups, staging, or app installation. Compare providers on the same basis
Price-per-resource is not enough when plans bundle different data protection, transfer allowances, or support. Normalize the following before treating two quotes as comparable:

- Included outbound transfer and the overage rate
- Backup frequency, retention, and billing method
- Initial term, amount due upfront, renewal rate, and renewal term
- Currency, tax treatment, and any enabled add-ons
- Support scope and response expectations
- How much setup, patching, security, monitoring, and recovery work falls to your team
A third-party guide published in August 2026 also identifies region, tax, currency, billing term, renewal rate, backups, transfer, IPv4, and add-ons as factors that can change a bill. What “after year one” should mean in your budget
Use the exact renewal price and renewal commitment, not the assumption that an introductory rate will continue. Pricing pages and promotions can change, and the final total also depends on location, currency, tax, plan limits, and selected services. Before paying, verify the order summary and provider terms for the chosen region and plan; then revisit the estimate if your traffic, backup needs, or management arrangement changes.
