Choose an email deliverability or warmup service by checking three things: whether it verifies sender authentication and alignment, whether its reports show useful delivery evidence, and whether it can test and pace the sending setup you will actually use. A warmup score or timeline is not proof that messages will reach the inbox.
1. Does it check authentication and alignment?
Before warming a custom domain, confirm that SPF, DKIM, and DMARC are correctly configured for your sending setup. A useful service should show which records it checked and explain any alignment issue—not just report a single pass/fail result.
Requirements depend on the recipient provider and sending volume. Google’s Gmail sender guidelines say all senders to personal Gmail accounts must use SPF or DKIM. Senders who exceed 5,000 messages per day to Gmail accounts must use SPF, DKIM, and DMARC. Google also recommends setting up all three methods more broadly, including for third-party senders; those senders should be included in the domain’s SPF record.

Google’s guidance also covers requirements such as TLS, valid forward and reverse DNS, and keeping the spam rate reported in Postmaster Tools below 0.3%. That spam-rate figure is Google’s stated requirement for mail to Gmail, not a universal threshold for every recipient provider.

Yahoo’s Sender Hub best practices are separate. Yahoo says enforcement of its sender standards began in February 2024 and includes having a valid DMARC policy and aligning the From domain with SPF or DKIM. Check the live provider guidance for your intended recipients rather than treating one provider’s rules as universal.
Questions to ask the service
- Does it inspect SPF, DKIM, and DMARC records for the domain you will send from?
- Does it explain From-domain alignment and identify the specific record or configuration that needs attention?
- Can it account for the recipient providers and sending volume relevant to your campaign?
- Does it distinguish its own checks from the requirements published by Gmail, Yahoo, or another recipient provider?
2. Do its reports show evidence, not just a warmup score?
Look for reports that identify what the service actually tested. Depending on the product, that may include authentication, reputation indicators, blacklist status, content checks, or placement-oriented testing. MailReach, for example, documents checks covering authentication, content, blacklist hits, and placement-oriented results; Mailwarm describes monitoring and infrastructure checks. These feature descriptions tell you what vendors say they offer, not whether a service will improve inbox placement.

Prefer a result that names the test, the configuration used, and the issue found over a generalized score with no explanation. Ask whether a placement test uses the same domain, IP, and sending service as your production mail. A test against a different configuration may not reflect how your actual messages are handled.

What to look for in a report
- A clear list of checks performed and the domain or sending configuration tested.
- Specific authentication, reputation, blacklist, or placement findings where the service claims to provide them.
- An explanation of what a finding means and what action it supports.
- A clear distinction between observed results, vendor estimates, and guaranteed outcomes. The available provider and vendor guidance does not establish that any service can guarantee inbox placement.
3. Does it fit your production setup and explain its warmup pace?
Check that the service supports your actual mailbox provider and sending infrastructure. Test with the domain, IP, and email service you plan to use in production; otherwise, a result may not describe the setup that will send your campaign.
Ask how the service sets its sending ramp and what factors can change it. Mailwarm describes two to four weeks as a typical warmup duration, depending on factors such as domain age, sending volume, and engagement. Smartlead’s SmartAssistant help content gives a different example: four to six weeks before heavy sending, in a case where an account had been warming for six days. These are vendor statements, not an industry-wide benchmark or a promise of deliverability.

- Confirm compatibility with your mailbox provider and sending infrastructure.
- Verify that tests use your production domain and, where relevant, the production IP and sending service.
- Ask how pacing is determined and what conditions can change the schedule.
- Check whether the provider describes warmup timelines as estimates rather than guaranteed results.
How to compare services side by side
Use the same questions for each candidate so you can compare what it actually checks rather than relying on feature names or a headline score.

What to do before starting a warmup
- Check recipient-provider rules. Review current Gmail and Yahoo guidance for the recipients and sending volume you expect.
- Set up authentication. Configure SPF, DKIM, and DMARC as appropriate, and ensure third-party senders are accounted for in SPF.
- Choose a service based on verifiable checks. Confirm the exact tests, supported infrastructure, and whether results will reflect your production configuration.
- Monitor more than opens. Use provider-recommended tools and the service’s specific diagnostics; do not infer spam classification from open rate alone.
- Treat the ramp as adjustable guidance. Follow a measured pace, but do not treat a vendor’s stated number of weeks as proof that a domain is ready for heavy sending.
