In Dynamics 365, importing a goods received note (GRN) means recording and posting a purchase order product receipt—not simply inserting inbound data into a table. The receipt records goods against purchase order lines and moves them toward invoice processing. Microsoft documents the receiving workflow, but not one universal X++ code sequence for every environment, so the integration must be matched to the system’s version, entities, warehouse setup, and inbound data contract.

What a GRN import creates in Dynamics 365

Microsoft calls the transaction a product receipt. It records that ordered products have been received so the purchase order (PO) lines can be processed for invoicing. A GRN file or message is therefore input to a business posting; it is not itself the posted receipt. See Microsoft Learn’s Product receipt against purchase orders.

The posted receipt also carries the supplier’s packing-slip or product-receipt identifier. Retaining that value links the external GRN to the purchase transaction and supports checking the supplier’s packing slip against the goods received. The resulting receipt journal is where you verify the recorded quantities and dates; Microsoft’s task guide is Record the receipt of goods on the purchase order.

Choose the receiving path before designing the import

The right path depends on how the PO is received and where the authoritative quantity comes from. Product receipt can use ordered, receive-now, or registered quantities. In warehouse-managed flows, registration may be required before posting; registered goods are not necessarily posted as received.

Receiving situation What to establish Why it matters
Direct PO receipt Whether the import should use ordered or receive-now quantities, and how PO lines map to the GRN. The selected quantity basis determines what the receipt posts.
Warehouse registration or inbound load Whether goods must be registered, associated with a load, or handled through warehouse steps before receipt posting. Load-originated and PO-originated posting can select different quantities. Consult Microsoft’s Warehouse handling of inbound loads.

Product receipt posting requires a confirmed PO. The exact steps also depend on configured handling such as quality, batch or serial tracking, and license plates; verify the target environment rather than treating the two routes as interchangeable.

Plan the X++ integration without assuming a universal API

Microsoft describes data entities as business-level abstractions for integration and data movement. Data Management Framework (DMF) supports source, staging, and target phases, while public entities may be exposed through OData V4. Those platform capabilities do not establish that a particular product-receipt entity or X++ posting method exists in every environment. Review the target version’s available entities and configuration before selecting the mechanism. See Data entities overview and Data management and integration by using data entities overview.

Use this implementation sequence as a design checklist, then map each step to a supported mechanism in the target system:

  1. Identify the PO and lines. Resolve each inbound GRN line to the intended purchase order line, and validate the expected legal entity and vendor before processing.
  2. Map the receipt data. Define the source keys and mappings for item or line, unit, quantity, receipt date, and supplier packing-slip identifier. Reconcile units and line references rather than assuming the inbound file uses the same identifiers as the PO.
  3. Determine the receiving route. Decide whether the receipt is direct against the PO or must pass through warehouse registration, load processing, or other configured controls. Confirm which quantity basis is appropriate.
  4. Select an available integration pattern. Check the target environment for supported public entities and configuration. Use OData when the required public entity and operational pattern are supported; consider DMF when a staged import flow fits. Neither choice guarantees that product-receipt posting is exposed through that route.
  5. Post through the application’s supported process. Do not treat direct table writes as a substitute for receipt posting. The business transaction must pass application validation and create a receipt that can be reviewed in the journal.
  6. Verify the result. Reconcile the posted receipt journal’s reference, quantities, and dates to the inbound GRN, and check the PO’s resulting status before marking the integration record complete.

The exact X++ classes, methods, entity names, and sequence cannot be specified reliably without the target application version and configuration. A code sample that guesses them may compile poorly or bypass controls that the receiving process depends on.

Make retries, duplicates, and corrections safe

Use the external GRN or packing-slip identifier as part of the integration’s duplicate-detection and reconciliation design, alongside the identity of the posted receipt. Define what happens when the same inbound message is delivered again or when a receipt fails partway through; do not assume an import retry is automatically harmless.

After posting, correction options are constrained. Microsoft documents that a receipt correction can reduce the received quantity; an increase requires a new receipt. Cancelling a receipt creates a separate reversal transaction. Build exception handling around those outcomes instead of editing posted receipt data as though it were an unposted import row. Check the accounting trail after posting

A product receipt participates in the inventory accounting trail, so validation should include the posted business record and its financial effect where applicable. Inventory posting profiles govern how inventory transactions are reflected in the general ledger; see Microsoft Learn’s Inventory posting profiles. This accounting configuration does not define the X++ import API, but it is relevant when checking whether the receipt behaves as expected in the target company.
