To remove personal information from a Word document, save a separate copy, run Word’s Document Inspector, remove only the categories you intend to discard, resolve any tracked changes, then inspect and review the cleaned copy again. The inspector can find common metadata and hidden review material, but it cannot catch every way content may be concealed.

Make a separate copy before removing anything

Open the document and save a new copy for cleanup. Microsoft recommends working on a copy because information removed by Document Inspector may not be recoverable through Undo. Keep the original in case you later need material that was deleted. Microsoft’s Document Inspector guidance explains this precaution.

Inspect the copy with Document Inspector

  1. In Word, open File > Info > Check for Issues > Inspect Document.
  2. Select the categories you want Word to check, then choose Inspect.
  3. Review the findings category by category before choosing whether to remove anything.

Microsoft documents this route for listed desktop releases including Word for Microsoft 365 and Word 2021. Menus and controls may differ on other platforms or in managed configurations, so this exact path is not established for every web, Mac, mobile, or enterprise build. Know what Word can find

Word’s inspection groups cover more than the text visible on the page. Depending on the document, findings may include:

  • Comments, tracked-change revision marks, versions, and ink annotations: review material that may disclose discussion or earlier edits.
  • Document properties and personal information: details such as author, subject, title, last-saved-by information, and creation date, along with other contextual properties.
  • Headers, footers, and watermarks: material outside the main body text.
  • Formatted hidden text: text using Word’s hidden-font effect.
  • Custom XML data and invisible content: embedded or non-obvious content detected by the relevant inspection categories.

Other contextual details can include e-mail headers, routing slips, send-for-review information, document-server or document-management properties, policy and content-type information, data-binding links, username, or template name. Microsoft lists these inspection categories and examples.

Remove only material you intend to discard

Use Remove All only for a category whose contents you are willing to remove. A finding is not automatically unwanted: comments or tracked edits may be part of a collaboration record you need to preserve. If preserving review history matters, do not remove that category without first deciding how the history should be retained.

For properties and personal information, remove the category if you do not want those details attached to the shared copy. Also check headers, footers, and watermarks for identifying or confidential material. Document Inspector’s categories are distinct, so removing one does not mean every other kind of content has been reviewed or removed.

Accept or reject tracked changes to erase existing revisions

Turning Track Changes off prevents new edits from being marked; it does not delete existing revisions. Hiding markup also leaves it in the document. To remove revision history permanently, review the edits and accept or reject them. Do not accept or reject changes blindly if you need the history or have not verified the final wording.

Microsoft’s Track Changes guidance states, “Hiding changes doesn’t remove them from the document,” and describes accepting or rejecting edits.

Reinspect and check for content the inspector may miss

Run Document Inspector again on the cleaned copy and review any remaining findings. Then read the document itself, including visible text, headers, footers, comments, and the final presentation. This manual check matters because the inspector does not detect every concealment method: Word’s hidden-text check does not find text hidden by other formatting, such as white text on a white background, and its invisible-content check does not find objects covered by other objects. A clean inspection is not proof that no sensitive information remains. Microsoft documents these limitations.

Share the cleaned copy, not the original

Once the second inspection and manual review are complete, share the cleaned copy. Retain the original separately if you may need to recover removed comments, revisions, properties, or other material.
