Choose a payment processor by matching it to how your customers pay, then compare the full cost and terms for that same business scenario. The right fit depends on your sales channels, average transaction size, payout needs, integrations, and how much help you need with security and disputes—not on one advertised rate.
Start with how customers will pay
Map the payment flows you use now and expect to add over the next year. A shop taking cards at a counter has different needs from an online seller sending invoices; many small businesses need both.
- In person, including contactless or mobile payments
- Online checkout through an ecommerce store
- Invoices or payment links
- Keyed transactions through a virtual terminal
- A combination of in-person and online channels
Stripe’s small-business guide identifies omnichannel coverage as a possible deciding factor for retail, hospitality, and service businesses. Square describes payment links, invoices, virtual-terminal payments, and Tap to Pay among its options. These are provider-specific examples; confirm that each feature is available with the plan and setup you are considering. Compare the full cost for your transaction mix
Estimate processing costs using your average ticket, monthly transaction count, sales channels, and payment methods. Percentage fees and fixed per-transaction fees affect small and large purchases differently, so a single advertised rate cannot show what you will actually pay.

Include any charges that apply to your specific plan or quote: monthly or subscription fees, gateway or statement fees, minimums, hardware, chargebacks, PCI-related charges, and transfer fees. Square’s merchant-services page lists US examples of 2.9% plus $0.30 for online card transactions, 3.5% plus $0.15 for manually keyed transactions, and ACH bank transfers for invoices at 1% with a $1 minimum. These are Square’s published examples, not market averages; verify current pricing, plan, eligibility, and geography with the provider. Square says custom pricing may be available to businesses processing more than $250,000 per year, with eligibility depending on factors such as processing volume, average ticket, and seller history. Treat that as a provider statement, not a guaranteed threshold or offer; ask for a written quote. Stripe also lists possible monthly, PCI-compliance, and chargeback fees. For a useful comparison, estimate costs for a low-volume month, a typical month, and a busy month. Use the same transaction mix and assumptions for every provider on your shortlist, and include any hardware purchase or other one-time expense separately from recurring fees.
Check contract terms and account fees
Before signing, read the agreement and identify how long it lasts, how cancellation works, and whether ending service early triggers a charge. Check for minimum processing requirements, rate-adjustment rights, equipment leases or purchase commitments, and ancillary charges such as authorization, batch, return, gateway, statement, PCI, or chargeback fees.

Ask the provider to put quoted rates, waived fees, and any promised terms in writing. Square states that it does not require a long-term contract; that provider-specific claim does not establish the terms offered by other processors. Square’s merchant-services page.
Match payment methods, hardware, and integrations
Confirm that the processor accepts the card brands, digital wallets, and alternative payment methods your customers use. If you take payments in person, verify that the provider supports the reader or terminal you plan to buy and that the device works with your chosen plan and payment methods. A generic reader is not necessarily compatible with every processor.

Online sellers should check whether checkout connects to their store, invoicing, and accounting workflows, and how refunds and disputes are handled. If your business sells through more than one channel, look at whether reporting brings those sales together in a useful way. Square lists some payment options that do not require separate hardware, including invoices, payment links, virtual-terminal payments, and Tap to Pay on supported phones; availability and terms are specific to its offering and can change. Look beyond the advertised processing rate: compare the normal settlement schedule, payout methods, conditions that can delay funds, and any fee for faster access. Make sure the timing works for payroll, inventory, bills, and refunds rather than assuming every transaction will be available immediately.

Square says instant and same-day transfers require a linked bank account or debit card and cost a fee per transfer. Check the current eligibility, timing, and fee for the specific account before relying on faster transfers. Square’s merchant-services page.

Ask which security features and fraud controls are included, which settings you can manage, how the provider notifies you about disputes, and what evidence you can submit when appealing a chargeback. Find out which chargeback costs or liabilities remain yours.
Using a processor may reduce how much card data your business handles directly, but that alone does not establish that you have no compliance responsibilities. Square’s payment terms say businesses handling card information must comply with card-brand rules and PCI DSS; Stripe’s small-business guide also identifies PCI DSS as a selection consideration. Compare providers against one business scenario so that differences in pricing and features are meaningful. Include:
- Estimated cost at low, typical, and busy-month volume using your average ticket and channel mix
- Required channels, payment methods, integrations, reporting, and compatible in-person hardware
- Normal payout timing, transfer methods, holds or reserves, and faster-transfer charges
- Contract duration, cancellation terms, rate changes, minimums, and additional account fees
- Security controls, PCI support, fraud tools, dispute handling, and access to customer support
- Eligibility for your location and industry, plus support for growth or multiple locations
Square, Stripe, and PayPal publish different products and fee structures, and PayPal says its rates can vary by checkout option and payment method. Provider-published information can help establish what each company says it offers, but it is not an independent performance ranking. No single processor is best for every small business; compare current quotes and terms against your own payment workflow. Square, Stripe, and PayPal.
