Windows 11 offers three useful but different ways to protect against data loss: Windows Backup with OneDrive syncs selected folders and settings to the cloud; File History keeps versions of personal files on an external or network drive; and System Protection creates restore points for Windows system changes. For better coverage, use a file backup as well as restore points, and prepare a Recovery Drive if you may need to start recovery when Windows will not boot.

Which Windows 11 backup method protects what you need?

These options are not substitutes for one another. System Protection does not back up personal documents or photos. OneDrive syncing is useful for cloud access, while File History gives you local or network-stored file versions. A Recovery Drive is a separate bootable recovery aid; it does not contain your personal files.

1. Use Windows Backup with OneDrive for selected folders and settings

Windows Backup can sync selected folders to OneDrive and save some Windows preferences. It is useful when you want files available after signing in to OneDrive on another PC. The feature requires an internet connection and enough cloud storage for the folders you choose.

Set up Windows Backup

  1. Open Start, search for Windows Backup, and open the app.
  2. Choose which available folders to sync, such as Desktop, Documents, Pictures, Videos, or Music.
  3. Choose whether to save the Windows settings and preferences offered by the app, then follow its prompts to finish setup.
  4. On another device, sign in to the same eligible Microsoft account and OneDrive to access the synced content.

Microsoft’s consumer Windows Backup instructions describe setup with a personal Microsoft account and say work or school accounts do not work in this app flow. Account eligibility can depend on your edition or organization, so check with your administrator if you use a managed PC. Microsoft Support’s Windows Backup guidance states that a free Microsoft account includes 5 GB of OneDrive storage; the page does not provide a publication date, so confirm the current allowance and available options before relying on it.

Syncing is not the same as keeping an independent offline copy. If your priority is file-version recovery or protection when you cannot access the internet, set up File History as well.

2. Set up File History on an external or network drive

File History automatically backs up files in libraries such as Documents, Pictures, Videos, and Music. You can add folders to a library to include them. An external hard drive or portable SSD is a practical destination, and a configured network location is another option. Buying a drive alone does not enable backup: you must set up File History and make sure its destination is available for backups.

Turn on File History

  1. Connect the external drive, or configure the network location you intend to use.
  2. Open Control Panel > System and Security > Save backup copies of your files with File History.
  3. Select the destination if prompted, then choose Turn on.
  4. To include a folder outside the usual libraries, add it to a library and confirm the backup destination remains available.

Microsoft’s backup and restore overview describes external or network drives as useful options for people with large or many files and for those without internet access.

Restore an earlier version of a file

  1. Open the folder where the file was stored.
  2. Right-click the file or folder and choose Restore previous versions.
  3. Select the snapshot you want to inspect.
  4. Use the restore option to put it back, or restore it to a different location if you want to compare it without replacing your current work.

Restoring over the current copy can replace it, and Microsoft says that replacement cannot be undone. Choose another location when you are unsure which version you need. Microsoft’s File History instructions explain setup and file restoration.

3. Enable System Protection for restore points

System Protection creates restore points containing snapshots of system files, installed applications, the Windows Registry, and settings. Use them to roll back a troublesome driver, application, or configuration change—not to recover a deleted photo or document. Microsoft says System Protection is not enabled by default.

Enable protection and create a restore point

  1. Open Start, search for Create a restore point, and open the System Properties result.
  2. On the System Protection tab, select the system drive and choose Configure.
  3. Turn on system protection, set the disk-space limit for restore points, and apply the change.
  4. Before a major change, return to the System Protection tab, select Create, and follow the prompts to make a restore point.

Microsoft’s System Protection guidance covers restore-point settings. Restore points consume disk space, so the space limit affects how many can be retained.

What to prepare before a Windows recovery

Recovery actions have different effects. System Restore rolls back system files and settings without affecting personal files. Microsoft’s recovery guidance says Point-in-time restore requires Windows 11 version 24H2 or later and retains restore points for up to three days; that feature rolls back changes made after the selected point. These version and retention details may change.

Other options, including Reset this PC and reinstalling Windows from installation media, can remove apps, settings, or files depending on the option chosen. Before starting recovery, back up personal files and make sure you can access your BitLocker recovery key. Microsoft warns in its Recovery options guidance: “Before you start: Some recovery options can result in data loss.”

Prepare a Recovery Drive if Windows may not start

A Recovery Drive is a bootable USB option to prepare while the PC is working. Creating it erases the USB drive, and it does not include personal files. Follow Microsoft’s current instructions for your device’s required USB capacity rather than assuming one size applies to every PC. Keep a separate file backup on OneDrive or another drive.

If a file is missing and you have no backup

Windows File Recovery is a command-line app available from the Microsoft Store that can attempt to recover deleted files from local storage. It is a last resort, not a backup method: Microsoft advises minimizing or avoiding use of the affected device to improve recovery chances, and the utility does not support cloud storage or network shares. A practical protection plan for a Windows 11 PC

  • Use Windows Backup with OneDrive if you want selected folders and settings available through your Microsoft account.
  • Use File History on a separate external or network destination when you need earlier versions of personal files.
  • Enable System Protection so a restore point is available before risky software, driver, or settings changes.
  • Prepare a Recovery Drive for boot or recovery needs, remembering that it is not a personal-file backup.

Cloud storage and a separate external backup cover different access and hardware failure scenarios. Restore points and a Recovery Drive add system-recovery options, but neither replaces copies of personal files.
