A keyword can be plainly visible on your resume and still be absent from the text or fields an employer’s recruiting workflow searches. Resume parsing and keyword matching are separate steps: a parser may fail to extract or correctly map content, while an enabled matching feature may look for terms tied to configured job requirements. A “missing” label alone does not prove you lack the skill or that you were automatically rejected.
How resume parsing and keyword matching differ
An employer’s application system may convert your uploaded file to text, extract information into structured fields, and then make that information available for search, filters, or a matching feature. The exact steps and settings depend on the platform and employer.
Parsing is the extraction and field-mapping step. Workday describes resume parsing as populating fields and notes that results can vary with document format and word order. Greenhouse says a failed parse can leave the resume attached without filling candidate fields; a partial parse may require manual correction. Why a visible keyword can appear to be missing
The document text may not be readable to the parser
Text that looks normal on screen may actually be embedded in an image or arranged in a way that makes extraction unreliable. Greenhouse identifies image uploads, graphics, spaced-out letters, tables, text boxes, columns, and content in headers or footers as possible causes of parsing problems. These are documented risks, not proof that every system will fail on every such document.
Extracted text may land in the wrong field or order
A parser does more than recognize words: it also places information into fields. If the result puts a job title, date, or qualification in the wrong place—or misses it—the source document can look complete while the structured record is not. Workday notes that both format and word order can affect results, and Greenhouse advises checking parsed candidate fields when a parse is incomplete.

The employer’s matching feature may use a narrower signal
A matching feature can be configured around specific job requirements rather than treating every visible word as an equivalent match. Greenhouse’s Talent Matching, for example, can show exact and similar term highlights in its own configured workflow. That does not establish universal exact-phrase matching across ATS products.

Check spelling and use accurate, relevant terminology in a sentence that explains what you did. Roche’s candidate FAQ recommends putting keywords in context and checking spelling. That is Roche’s guidance; it does not mean every system requires an exact text string. (Roche: Resume Parsing FAQ)

How to check what the application can read
- Check whether the words are selectable. Open the submitted file and try to select or search for a keyword. If the resume is a scan or the words are part of an image, the parser may not receive them as ordinary text.
- Move essential information into the document body. Keep contact details, qualifications, and important keywords out of headers, footers, text boxes, graphics, and complex columns where possible.
- Make the structure easy to interpret. Use clear section headings, consistent formatting, complete job titles, and correct spelling. Include relevant terms truthfully in the experience or skills context where they apply.
- Review application fields after upload. If the form populates fields from your resume, inspect those entries before submitting. Correct omissions or errors where the application allows it. Workday describes recruiter review of parsed data, and Greenhouse notes that partial parsing can require manual correction.
- Keep a clean, readable application copy. A straightforward document is easier to inspect and less dependent on layout tricks. Do not assume that choosing PDF or DOCX alone guarantees correct parsing: documented results can vary with format and word order.
What a “missing keyword” notice does—and does not—tell you
It can indicate a document extraction problem, a field-mapping issue, or a particular employer’s matching configuration. It does not, by itself, identify which occurred. The notice also does not establish that you lack the qualification or that an ATS automatically rejected your application.
The vendor materials cited here do not establish a universal ATS scoring formula, keyword-density threshold, or automatic rejection rule. Nor can a general resume checker predict the settings or outcome for a specific employer’s workflow. If the application provides no parsed fields or explanation, the employer’s setup may not be visible to you.
