Free accounting software can be a sensible fit for a solo operator or small business with straightforward books—but only if its limits, recordkeeping tools, and paid add-ons match the work you actually do. Before choosing a plan, check transaction volume, bookkeeping complexity, bank reconciliation, reports, source-document retention, accountant access, support, and the cost of features you need.
When can free accounting software work?
A free plan can cover the essentials when you have a relatively simple business, a manageable number of transactions, and a reliable way to record and verify each transaction. Invoicing alone is not enough: a useful accounting workflow also needs to track income and expenses, keep supporting records, and produce reports you can use.
There is no universal threshold for how large a business can be before free software stops working. Eligibility rules and feature limits are vendor-specific. For example, Zoho Books’ US pricing page lists a Free Plan for businesses whose revenue for the financial year does not exceed $50,000, with annual limits of 1,000 invoices and 1,000 expenses. These are Zoho’s listed US plan terms, not general accounting rules, and they may change. Check Zoho Books’ current US pricing and limits.

The IRS says single-entry bookkeeping may be practical for a small business starting out, while double-entry bookkeeping can provide built-in checks and balances. The right method depends on the business and its reporting needs; small businesses do not all have identical requirements. Confirm that the software supports the method and reports your business needs. See IRS Publication 583, “Starting a Business and Keeping Records”.

What might a free plan leave out?
“Free” may cover basic accounting while charging for conveniences or related services. Wave describes its free Starter plan as including basic accounting and invoicing, while online payments, automatic receipt scanning, and payroll are paid features. Its Pro plan adds receipt scanning and automatic bank transaction import and categorization. Check Wave’s current plan details before relying on a feature or comparing costs.
Separate software subscription costs from charges for payment processing. A feature may be included in a plan while the transaction service it enables still has a cost. Availability and terms can vary by region, so verify the current details for your location.

Look beyond the invoice screen
Zoho’s US free-plan page describes expense tracking, imported bank statements and reconciliation, and more than 50 financial reports. That report count is the vendor’s feature description, not evidence of business outcomes; confirm that the current plan includes the specific reports and workflow you need. Write down your requirements before comparing products. The questions below help expose limits that a headline “free” label can hide.

- Complexity: How many entities, employees or contractors, currencies, or inventory items do you manage? Do you need single-entry or double-entry functionality?
- Volume and eligibility: Forecast annual invoices and expenses, then compare them with the vendor’s current transaction caps and revenue rules.
- Workflow: Check whether the plan supports expense capture, bank statement import or feeds, reconciliation, invoicing, reporting, payment acceptance, and access for your accountant.
- Cost boundary: Identify whether payroll, automatic bank imports, receipt scanning, or payment processing are included, paid add-ons, or separately charged services. Verify current terms rather than assuming the subscription price covers every cost.
- Records and portability: Confirm that you can retain supporting documents, attach them to transactions if needed, and export records in a usable form.
- Support and upgrade path: Check what support is available and what happens when your business exceeds a plan limit or needs a paid feature.
Will the software support your records?
Using accounting software does not transfer responsibility for keeping adequate books. The IRS says computerized records must be sufficient and legible to support and verify tax-return entries, reconcile with books and returns, and identify underlying source documents. It also recommends recording expenses as they occur and checking that bank statements, books, and account records agree. Publication 583 states, “You should reconcile your checking account each month.” Read IRS Publication 583 for its recordkeeping guidance.
Before committing, test the intended workflow with representative transactions and reports. Check that totals reconcile and that you can retrieve the records supporting them. This is a practical check to perform on the plan you are considering, not a claim that any particular product has passed independent testing.

These examples show why it is safer to compare eligibility, included features, caps, and upgrade triggers than to declare one plan universally best. The cited pages establish vendor descriptions, not an independent head-to-head assessment.
When should you move to a paid plan?
Consider upgrading when a hard limit is close, a necessary workflow is missing, or manual workarounds make it difficult to keep accurate and retrievable records. The trigger might be transaction volume, accountant access, automated bank imports, receipt capture, payroll, or a report your business relies on. Price the specific paid feature and any related service charges before deciding whether to upgrade or move to another system.

If you switch, plan for the records you must retain and confirm that you can export the information and supporting documents you need. Do not wait until a plan limit interrupts routine bookkeeping to find out what can be moved.
