Modern business automation connects tasks, systems, documents, AI-enabled components, and people into processes that can run across departments. The added capability is orchestration: coordinating the sequence, data, decisions, exceptions, and handoffs across a workflow rather than automating one isolated action. Gartner uses Business Orchestration and Automation Technologies (BOAT) as a market category for this broader direction—not as a universal technical definition.
What modern business automation includes
Business automation is no longer just a synonym for software that repeats a task. In a coordinated process, one step can trigger another across applications, route work to an employee, collect or interpret a document, and use an AI component where appropriate. The practical goal is to manage a whole business process, including its exceptions and human decisions, rather than automate every step indiscriminately.
Gartner’s September 2026 BOAT materials frame the category around enterprise-wide automation that unifies process orchestration, connectivity, and agentic features. Gartner’s Peer Insights category description also groups capabilities drawn from business process automation, low-code application platforms, integration-platform-as-a-service, intelligent document processing, robotic process automation, collaborative workflow management, and document management. These descriptions explain a market category; they do not mean every platform includes every capability or that BOAT is a settled technical standard. Gartner’s 2026 BOAT Magic Quadrant abstract and Gartner Peer Insights’ category description provide that market framing.

What orchestration adds to task automation
A task bot might copy a value from one application to another. Orchestration manages the larger sequence: what event starts the process, which system or person acts next, what data must be available, how a decision changes the route, and what happens if a step fails or needs review. It can coordinate deterministic software steps alongside document handling, AI-assisted work, and human tasks.

This distinction matters because a process rarely consists only of predictable clicks. A request may be incomplete, a document may be difficult to interpret, a policy may require approval, or a connected system may be unavailable. A coordinated workflow needs explicit routes for those cases—not merely a successful path for routine transactions.
Gartner’s 15 September 2026 Critical Capabilities abstract reflects this breadth: it identifies multiagent coordination, process orchestration, embedded AI, deterministic workflow automation, enterprise connectivity, UI-based automation, security, trust and compliance, and platform operations and governance as evaluation areas. The abstract supports evaluating multiple dimensions, rather than treating one feature as a proxy for a platform’s fit.

How AI agents fit—and where control still matters
AI-enabled components can help with work that involves interpreting or generating information, while agents may be coordinated as part of a larger workflow. Their presence does not make the whole process reliable by itself. AI outputs can be uncertain, so a sound design distinguishes between steps that must follow defined rules and steps where a model may assist or propose an outcome.
- Keep deterministic controls for defined requirements. Use explicit rules for steps such as required-field checks, authorization gates, and routing conditions when the process depends on consistent outcomes.
- Set review thresholds for uncertain outputs. Decide what confidence, evidence, or risk level requires a person to verify an AI-assisted result before the workflow proceeds.
- Define exception and recovery paths. Specify what happens when information is missing, systems are unavailable, or an automated step fails. A workflow should make the next responsible action visible rather than silently stopping or advancing on an unsupported assumption.
- Preserve accountability. Assign owners for decisions, permissions, changes, and outcomes, even when parts of the process are automated.
For the narrower subject of robotic process automation (RPA), ITU-T Recommendation F.748.55 (March 2025) describes technical requirements and evaluation methods that cover development and testing, monitoring, permissions and risk management, workflow execution, human-RPA collaboration, concurrency, exception handling, analytics, and AI empowerment. How to evaluate a business orchestration platform
Start with the process you need to improve, then test whether the platform’s capabilities fit its actual systems, decisions, and exceptions. Gartner’s listed capabilities and ITU-T’s RPA evaluation scope inform the dimensions below; this is a practical evaluation framework, not a vendor scoring model. The reviewed material does not establish universal weightings or a single best platform.
- Process and case orchestration: Can it coordinate work across functions and systems, including long-running processes, human tasks, exceptions, and cases that do not follow one fixed path?
- Connectivity with your environment: How does it exchange data with the applications you already use? Where can it use a supported integration, and where would it depend on UI automation?
- Relevant automation modes: Does it provide the workflow design, RPA, document processing, AI/ML, or agent coordination your use case needs? Avoid paying complexity or governance costs for capabilities the process will not use.
- Determinism and decision controls: Can you specify which steps follow fixed rules, where AI can assist, when a person must review an output, and what fallback applies if a result is uncertain?
- Security and governance: Examine how permissions, sensitive data, auditability, compliance needs, and oversight of builders and running automations are handled.
- Operational visibility: Determine whether process owners can see progress, failures, exceptions, and relevant operational information well enough to intervene and improve the workflow.
- Deployment and interoperability fit: Check whether the platform fits your technical environment and process standards, and whether it can coexist with other workflow systems without creating brittle, bespoke connections.
Gartner’s Magic Quadrant and Critical Capabilities abstracts describe evaluations of 20 vendors, but the abstracts alone do not establish detailed feature-by-feature performance or prove that any named product is right for a particular organization. Gartner’s overview of its Magic Quadrant and Critical Capabilities research describes a defined evaluation approach; use full, current product documentation and a process-specific assessment when making a selection.

How to plan an implementation
The following sequence is a practical decision framework, not a universal implementation method validated by the cited sources. It helps make the process, data, and control requirements clear before a team commits to automation.
- Choose a measurable process. Identify a workflow with a clear owner and a meaningful problem to address, such as delays, repeated handoffs, or avoidable manual entry. Define how you will judge whether a change helped before choosing a platform.
- Map the current workflow and exceptions. Record how work starts, which systems and people handle it, where decisions occur, what information is needed, and how incomplete requests or failures are resolved. Do not design only for the routine case.
- Establish data and ownership requirements. Confirm which systems hold the required information, who can authorize its use, which teams own each decision, and whether the data is complete and suitable for the process.
- Match capabilities to the work. Select only the integration, orchestration, UI automation, document, AI, or low-code capabilities that address a defined need. Specify which steps must remain deterministic and where human review is required.
- Test the workflow, including failure paths. Check expected outcomes for normal cases as well as missing data, uncertain interpretations, denied access, and unavailable systems. Ensure the workflow routes exceptions to someone who can act.
- Monitor outcomes and adjust. Track the measures chosen at the outset alongside failures, exceptions, and the amount of human review needed. Update the process, controls, or automation when the evidence shows a mismatch.
Why adoption is often incremental—and what the evidence says
A Gartner survey offers a specific example of varied adoption, not an economy-wide rate. Among 140 senior supply-chain leaders surveyed in November 2025, 17% of organizations were pursuing immediate transformational process and workflow redesign, while 83% were applying AI incrementally or gradually scaling it into integrated processes. Gartner also identified data readiness, employee upskilling, fragmented vendors, partner-data quality, and process maturity as constraints. These figures apply to the surveyed supply-chain organizations and should not be generalized to all sectors or businesses. Gartner published the survey findings on 6 May 2026.
The practical implication is to fit the scope to the organization’s process and readiness. A narrow, well-owned workflow may be a more useful place to learn than a broad redesign when data, operating practices, or responsibilities are unclear. That is a decision principle, not a claim that every organization should adopt automation gradually.
Interoperability is still developing
Organizations that coordinate workflows across industrial operational technology and IT may face a specific interoperability challenge: workflow systems can require bespoke integrations to work together. On 19 March 2026, the International Society of Automation announced ISA113, a committee initiative to develop a vendor-neutral standard for distributed workflow-system integration, with a focus on interoperability between orchestrated and choreographed workflows. The announcement describes work to be developed; it is not evidence that a finished or widely adopted standard already exists. Read ISA’s ISA113 announcement.
