The best Airtable alternative depends on what you use Airtable for. For a database you can self-host, compare Baserow and NocoDB. For documents alongside structured information, consider Notion. For project tracking, look at ClickUp or monday.com. For a lightweight spreadsheet, Google Sheets may be enough. These tools do not all reproduce Airtable’s linked-record and relational behavior, so choose by workflow—not by a feature checklist alone.

How to estimate the real cost
Do not compare a “free” label or per-user price in isolation. Count who needs edit access, who can be read-only, how many records and attachments you hold, and whether automations or forms are essential. Airtable’s current pricing page says Team is $20 per user per month billed annually and Business is $45 per user per month billed annually. It charges for editors with edit permissions on at least one base; read-only collaborators, form submissions, and share links are not charged. Airtable also says that when a plan limit is reached, users can keep using bases but cannot add records or attachments until upgrading, while automation and API use are capped at the applicable plan limit. Migration checklist: protect the data model
A CSV export can preserve field values while losing the relationships and behavior that made the base useful. Treat migration as a small data-model project, not simply a file import.
