Document understanding is the use of AI to interpret a document’s text, layout, and relationships—not just to recognize its words. It can identify which value belongs to a label, how table cells align, and how headings organize a page, then turn that information into structured data for search or other software.
How is document understanding different from OCR?
Optical character recognition (OCR) converts text in a scan or image into machine-readable characters. That is useful, but a text transcript alone may not preserve where each word appeared or how it related to other content.
For example, OCR might recognize “Invoice number” and “A-1048” without identifying that the number is the value for that label. In a table, it may capture the words but lose which column heading applies to a particular cell. Document understanding combines recognized text with spatial and structural cues to represent those relationships.
Document understanding may include OCR, but it goes further by interpreting the document’s organization and extracting information according to a task.

How does document understanding work?
Implementations differ, but a typical workflow moves from an input file to structured information that another system can use.
- Ingest the document. The input may be a digital PDF or an image or scan. OCR detects text; some services also assess image readability or correct page skew.
- Analyze the layout. The system finds regions and elements such as titles, headings, paragraphs, tables, figures, headers, footers, and selection marks. It may also determine reading order and represent relationships between regions.
- Classify or split the file, if needed. A system can identify document types or separate a combined file into individual documents before extraction.
- Extract the requested information. Depending on the task, the output may include key-value pairs, table contents, document categories, or fields defined for a particular workflow.
- Pass results to another system. Structured output can feed a database, search index, document library, or retrieval-augmented generation (RAG) pipeline. Some layout parsers also preserve heading context when preparing content in chunks for retrieval.
What information can AI read beyond the text?
Layout supplies meaning that can disappear in a plain text dump. A label’s position can indicate which value it describes; column headers and cell alignment define a table; headings establish which section a paragraph belongs to. Multiple columns, footnotes, figures, and checkboxes can also affect how page content should be interpreted.

Systems can represent this information in different ways. One approach combines OCR with layout analysis and extraction models. Another incorporates visual or spatial information into language-model processing. For example, the 2024 DocLLM paper describes a model that uses text semantics together with OCR-derived bounding boxes. These approaches are not interchangeable guarantees of accuracy; the suitable method depends on the documents and the information a workflow needs.

Common document examples in official service documentation include forms, invoices, receipts, passports, driver IDs, contracts, correspondence, and reports. Depending on the service, tasks can include:

Capabilities vary by service and task. A system that handles one document type well should not be assumed to support every type or layout equally well.
How should you evaluate a document-understanding system?
Compare systems against the documents and workflow you actually have, rather than relying on a general accuracy claim. Useful evaluation criteria include:

- Input constraints: accepted file formats, image quality requirements, page limits, and file-size limits.
- Layout handling: whether the system detects reading order, headings, tables, selection marks, and document hierarchy.
- Extraction options: whether it offers OCR only, generic key-value or table extraction, custom fields, or document classification.
- Document variability: how well it handles your forms and layouts, including examples that differ from those used during development or training.
- Integration and output: whether results can be used in the databases, search systems, document libraries, or workflows you rely on.
- Feature maturity: whether the specific model or processor is generally available, in preview, or at release-candidate status. Check current documentation before building around a feature whose status may change.
Use representative samples, including difficult scans, varied layouts, and tables. Check extracted fields against the original pages, paying particular attention to whether each value is assigned to the right label or table cell. The result should be judged on the errors that matter to the intended workflow, not only on whether the text was recognized.

What are the limitations?
Complex layouts, bespoke typesetting, poor image quality, and document templates unlike those seen during development can make extraction difficult. Accuracy, reliability, contextual understanding, and generalization to unfamiliar domains remain challenges identified in document-understanding research.

Vendor input rules also matter: a file can fall outside a service’s supported format, image-quality, page-count, or size limits. Check the chosen service’s current requirements before processing documents at scale.
Structured output is not automatically correct just because an AI produced it. For important workflows, define how errors will be detected and corrected, and include human review where a wrong value could cause harm or costly downstream work.
What do published results tell us?
The DocLLM authors reported that their model outperformed state-of-the-art LLM baselines on 14 of 16 datasets across the tasks they evaluated, and generalized to 4 of 5 previously unseen datasets. These are results from that paper’s benchmarks, not a general accuracy rate or a guarantee for a new production domain.
