If the employer or application portal names an accepted resume format, use it. If neither does, submit a clean, text-based PDF or DOCX; there is no universal file type that works best with every applicant tracking system (ATS). A text-based PDF can preserve your layout, while DOCX is a sound choice when the portal supports it or PDF text does not extract cleanly.
Choose the format the application accepts
Check the job posting and the upload screen before choosing a file. If either specifies a format, follow that instruction. University career services at UC Santa Barbara and the University of Connecticut both advise applicants to follow the employer or ATS requirements.
If the portal accepts both PDF and DOCX without favoring one, choose based on the document and the upload system: PDF can preserve the intended appearance, while DOCX is useful when the portal requests it or a PDF’s text cannot be read reliably. Guidance from Iowa State, UCSB and UConn supports both formats in the absence of a specific instruction. Their recommendations do not establish a universal winner across ATS products.

Make sure the PDF contains readable text
A PDF is not automatically ATS-readable just because it ends in .pdf. If it was made by scanning a printed page, it may contain an image rather than extractable text. UConn warns that text cannot be extracted from a scanned image PDF.

- Open the PDF and try to select a sentence with your cursor.
- Copy a section of text and paste it into a word processor or plain-text editor.
- Check that words appear in the right order and that spacing, characters and line breaks are understandable. UMSL recommends this copy-and-check approach: Resumes and Applicant Tracking Systems.
- If the result is missing or garbled text, export a fresh PDF from your document editor or upload the DOCX instead, if the portal accepts it.
Keep the resume easy to parse
Use a single-column layout, familiar section headings and a clear reading order. Avoid placing essential information in tables, text boxes, images or graphics; some ATS parsers may read these elements incorrectly. Guidance from Iowa State, UCSB, UConn and UT Austin supports keeping formatting straightforward.
An ATS may extract and categorize resume information and compare it with a job description, as UConn explains. That does not mean every system rejects a particular file type or handles every document the same way.

When no job posting is available
Without a posting, there is no job description to tailor the resume against. Keep a truthful, editable DOCX master and, if useful, export a text-based PDF from it for applications that accept PDF. For a specific employer or role, emphasize relevant experience without claiming keywords or qualifications you do not have. This is practical workflow advice, not a tested guarantee of better ATS results.

- The portal names accepted formats: Upload an accepted file and follow any specific instruction.
