OneNote for Mac stores notes in cloud-backed notebooks: each notebook contains sections, and each section contains pages. Sign in with a Microsoft account or a work or school account to open notebooks; creating a new notebook requires OneDrive. Once set up, you can organize notes on a flexible page canvas, search typed and recognized image text, and keep editing offline in a cached copy that syncs when you reconnect.
What OneNote on Mac is for
OneNote is a digital notebook for notes, research, plans, and information you want to collect and organize. Its basic hierarchy is notebook → section → page: a notebook holds a broad area, sections group related topics, and pages hold individual notes. Pages can expand as you add content, and you can add sections and pages as your needs change. The canvas is flexible: clicking a page lets you type, and you can place another note in a different area rather than being limited to one continuous text column. This works well for collecting related material on one page, though a consistent section and page structure makes a large notebook easier to navigate.

- Install and open OneNote for Mac. Available Mac editions covered by Microsoft include OneNote for Microsoft 365, OneNote 2024, and OneNote 2021; controls can change as the app is updated.
- Sign in with a Microsoft account or the organizational account supplied by your work or school. OneNote requires an account to use its Mac notebook workflow; a new notebook is created online, not as a local-only notebook.
- Create or open a notebook. Creating a new notebook requires a OneDrive account. Choose the account and storage location with care, especially if the notebook will be shared or you may need to export it later.
- Add a section, then create pages inside it for the notes you want to collect. The exact labels and placement of controls may vary by app version.
OneNote saves changes automatically as you work; there is no separate Save command to press. Microsoft Support describes this in Basic tasks in OneNote for Mac.

Choose a notebook structure you can maintain
Start with the smallest structure that separates information meaningfully. For example, one personal notebook might have sections for Home, Learning, and Projects, with an individual page for each plan, class, or project meeting. These are organizational suggestions, not requirements imposed by OneNote.
Use one notebook when
- You want a single place to search across related notes.
- The same people need access to most of its contents.
- The information has a common owner and storage account.
Use separate notebooks when
- Personal, work, or school material should remain distinct.
- Different collaborators need access to different groups of notes.
- Account ownership or export needs differ between projects.
Keep the distinction practical: a section is a category inside a notebook, while a separate notebook creates a stronger boundary for organization, sharing, and account context. Do not treat section passwords as a replacement for appropriate account access controls.

Capture, arrange, and find notes
Pages and templates
Click where you want to add text on a page. You can add another note elsewhere on the same canvas, and reorder pages by dragging them in the page list. Microsoft’s Mac creation guide says page templates are not currently supported on Mac, so do not rely on a template-based workflow when building a reusable note format.

Search text in pictures
OneNote for Mac can use optical character recognition (OCR) to extract text from inserted pictures, making that text searchable. Recognition is not necessarily immediate: Microsoft’s Mac FAQ says some results can take 24–48 hours, depending on image complexity, legibility, and the amount of text. A clean, readable image is more likely to yield useful results, but the FAQ does not promise recognition for every image. See Microsoft’s OneNote for Mac FAQ.

Password-protected sections and search
On Mac, password protection applies to sections—not directly to a single page or an entire notebook in one operation. If a protected section is locked, its contents are excluded from search until you unlock it. Microsoft Support says it cannot recover a forgotten section password, so store it securely before locking the section. Section protection should not be mistaken for a notebook-wide privacy control.
Sync, collaborate, and work offline
OneNote continually syncs notebook changes with OneDrive. When disconnected, the app can let you edit a locally cached copy and warns that it cannot sync at that time. When the connection returns, changes synchronize automatically; edits made by other authors become visible after sync.

If collaborators need your latest changes, reconnect and allow synchronization to finish before you close the app or rely on another device. Offline edits remain in the local cache until a connection allows them to sync, so do not assume other authors can see them while you are disconnected. Print, export, and recover notebook content
Printing on Mac
OneNote for Mac can print one or more pages within a section, but it does not provide a one-operation print of an entire notebook. If you need a paper copy of a large notebook, plan to select and print the relevant pages rather than expecting one notebook-wide print job. Details are in Microsoft’s OneNote for Mac printing guide.

Notebook export and import
Microsoft’s web notebook export route is limited to personal OneDrive accounts; it does not support notebooks stored in work or school OneDrive or SharePoint. Notebook import is deprecated. For large exports containing embedded files or media, Microsoft warns that the process can require several gigabytes of free disk space. Check Microsoft’s notebook export and import guidance before choosing a storage account based on portability.
Backups and deleted notes
Microsoft’s current OneNote platform recovery table lists Mac automatic and manual backups, a weekly default backup frequency, and retention of the two most recent backup copies. The same table lists 60-day retention for deleted notes. These are documented platform behaviors, not a guarantee that every user has verified a working backup; confirm the current settings and available recovery options in your version of OneNote before relying on them. When something does not work
- A notebook will not open or changes are not syncing: check your internet connection, confirm you signed in to the account that owns or has access to the notebook, and allow time for sync after reconnecting.
- Search misses a note: confirm you are searching the correct notebook and unlock any protected section that may contain the note. Text in a newly inserted image may not be searchable until OCR processing finishes.
- You cannot export a notebook: confirm it is stored in a personal OneDrive account. Microsoft’s web export route does not cover work or school OneDrive or SharePoint notebooks.
- An export fails or stalls: check available disk space, particularly for notebooks with embedded files or media; Microsoft says large exports can require several gigabytes.
- You cannot find a whole-notebook print option: select the needed pages within a section; Mac printing does not print the entire notebook in one operation.
Microsoft’s Mac FAQ notes that OneNote is frequently updated, so interface labels and feature availability can differ by edition and app version. The behaviors and limits described here reflect Microsoft documentation available on October 7, 2026.
