OneDrive can open and print PDFs, add markup in its iOS app, scan new pages into a PDF on mobile, and—where available—recognize text in scanned PDFs. Microsoft’s reviewed guidance does not document built-in OneDrive steps to extract pages from an existing PDF, merge existing PDF files, password-protect a PDF, or compress one. For those jobs, use a separate PDF editor or converter that explicitly supports the operation you need.
OneDrive’s cloud encryption and sharing controls protect files in the service; they do not add a password to the PDF itself. The distinction matters if you plan to download or send the file.

Extract pages from an existing PDF
OneDrive’s browser PDF reader is for viewing and printing, not editing PDF contents. Microsoft’s reviewed documentation does not show a OneDrive command to extract, delete, or rearrange pages in an existing PDF. Open or download the file in a separate PDF editor with page-management features, extract the required pages, and save the result as a new PDF. Confirm the output before replacing or sharing the original.
Do not confuse extraction with scanning: the mobile scanner captures physical pages or images and creates a new PDF rather than pulling pages out of a file already in OneDrive.

Merge PDFs: existing files versus new scans
Merge existing PDF files
The reviewed OneDrive guidance does not document combining existing PDF files stored in your account. Use a separate PDF editor that explicitly supports merging existing PDFs. Before choosing one, check whether it can preserve page order, layout, form fields, and other content important to your files.
Combine newly scanned pages in the mobile app
OneDrive’s mobile scanning workflow can put multiple captured pages into one PDF. Microsoft’s published limits differ by platform and app version:

These are the limits stated on Microsoft’s support pages, not a guarantee that every current app version or account will show identical behavior. Check the current in-app workflow and support instructions if your version differs.

Microsoft describes OneDrive as protecting data in transit with TLS and encrypting each stored file at rest with a unique AES256 key. It also says personal OneDrive documents are not public by default and that users can manage sharing permissions. These are protections for files stored and shared through the service; they do not mean a downloaded PDF has a password set on it.

If the recipient must enter a password to open the PDF, use a separate tool with a PDF password-protection feature and verify the resulting file by opening it outside your OneDrive session. If your goal is to limit who can access a cloud copy, review its OneDrive sharing permissions instead. Organizational libraries can have customized features and settings.
Compressing a PDF
The reviewed OneDrive guidance does not document a built-in PDF compression control. Use a PDF editor or converter that explicitly offers compression. Compression may reduce image quality or change how content is represented, so inspect the resulting file—especially scanned pages, diagrams, signatures, and forms—before using it as the replacement.

If you still have the original Office document, Microsoft’s general PDF guidance suggests making edits in the source document when possible or using Word or a third-party conversion tool for PDF changes. The specific conversion guidance does not establish that every tool offers compression, so check its feature list before relying on it.

Microsoft points readers toward Word or third-party PDF tools for work beyond its reader, but the reviewed guidance does not compare current vendors, plans, or capabilities. Evaluate the tool against the operation you need rather than assuming that a general PDF editor handles everything.

- For extraction, look for page selection, extraction, and reordering.
- For merging, confirm that it combines existing PDF files, not only pages scanned in the app.
- For password protection, confirm it sets a password on the PDF itself.
- For compression, check whether it lets you control or review image quality and output size.
- Choose a browser, desktop, or mobile workflow that suits where the file is stored and how you work.
- Test the saved output for layout, forms, signatures, and readability before sharing or deleting the original.
OneDrive’s documented PDF features and limits can change as its apps and services are updated. The distinctions above reflect Microsoft Support guidance accessed October 7, 2026; they describe what those pages document, not every capability that may exist in other Microsoft products or account configurations.
