For most people who check the same mailbox on multiple devices, IMAP is the better starting point. It is designed to work with server mailboxes, so folders and message state can be available across clients. POP3 may suit a primarily single-client workflow where you intentionally retrieve mail locally—but check the mail app’s settings and your provider’s behavior before relying on it.
What is the difference between IMAP and POP3?
Both are protocols for retrieving email from a mail server, but they model the mailbox differently. IMAP lets a client access and manipulate messages and mailboxes on the server. POP3 provides a more limited maildrop retrieval model: a client lists and retrieves messages from a server mailbox, without IMAP-style remote folders and shared message-state management.

The current base specification identified for IMAP is RFC 9051, which obsoletes RFC 3501. POP3 is specified in RFC 1939. Sending mail uses a submission protocol, such as the one specified in RFC 6409.
Should you use IMAP or POP3?
Choose IMAP for the same mailbox on several devices
Start with IMAP if you use a phone, computer, and webmail for one account and want folders and read or unread status to be available across them. IMAP’s server-mailbox model is built for remote access and synchronization. Individual providers and apps can still differ in what they support and how they present mailbox state.

Consider POP3 for a deliberate local, single-client workflow
POP3 may fit if you primarily use one mail app and specifically want to retrieve messages for local handling. Before configuring it, check whether the app leaves copies on the server, removes them, or applies another behavior. Those outcomes are not guaranteed by choosing POP3 alone.
Use a separate backup for recovery
Neither protocol by itself is a backup plan. IMAP can make mailbox state available across clients, but synchronization is not an independent copy: changes may propagate, and IMAP does not guarantee retention or protection from account deletion or provider failure. Use a separate export or backup strategy if you need a recovery copy.

Does POP3 delete emails from the server?
Not necessarily. In the POP3 standard, a client’s DELE command marks a message for deletion during the session; the server removes marked messages when the client issues QUIT and the session enters the UPDATE state. If the session ends without entering UPDATE, the server must not remove those messages. This protocol rule does not tell you what a particular app does by default or whether it leaves server copies. Check both the mail app’s POP settings and the provider’s instructions.
How do offline access and synchronization differ?
RFC 9051 explicitly describes an offline IMAP client resynchronizing with the server. As the RFC puts it, “IMAP4rev2 also provides the capability for an offline client to resynchronize with the server.” That does not mean every message is automatically available offline: the app’s caching or download settings affect what is stored on the device. POP3 retrieves messages from a maildrop, but it does not provide IMAP’s model for reconciling remote folders and shared message state.

What about security and setup?
Protocol choice alone does not make a connection secure. RFC 9051 identifies TCP port 143 as IMAP’s cleartext port and port 993 for implicit TLS, and warns that IMAP transactions—including email data—are sent in the clear unless a protection mechanism is used. TLS protects the connection between the client and server; it is not the same as end-to-end encryption.
Before setting up either protocol, use the provider’s current instructions for server names, ports, encryption mode, authentication requirements, and protocol availability for your account and region. Do not assume a port number or protocol is supported just because a mail app offers it.

Quick decision guide
- Phone, computer, and webmail with aligned folders and read state: Start with IMAP.
- Offline work followed by synchronization: Start with IMAP, and confirm the app caches the mail you need.
- One main client and intentional local retrieval: POP3 may fit; verify server-copy and deletion settings first.
- An independent recovery copy: Set up a separate backup or export; neither protocol supplies one by itself.
- Uncertain account support or settings: Check the provider’s current documentation before configuring the client.
