SUM is still the right Excel function for a straightforward total. Use SUMIF or SUMIFS when you need conditions, SUBTOTAL when totals should respond to filters, and AGGREGATE when you need its specific options for handling errors or hidden rows. Excel’s AutoSum is a shortcut for inserting SUM, not a different calculation method.
Which Excel summing formula should you use?

When SUM is the best choice
For an ordinary total, SUM is clear and direct. It accepts ranges, individual cell references, and numbers supplied as arguments. For example, =SUM(A2:A6) adds the referenced cells.
Be aware that Excel can treat text and logical values differently depending on whether they are referenced or supplied directly as function arguments. A numeric-looking entry is not necessarily included in every situation; consult Microsoft’s SUM reference if a total does not match expectations.

When to use SUMIF or SUMIFS
SUMIF: one condition
Use SUMIF when a single criterion determines which values to add. Its arguments are the criteria range and criterion, followed by an optional sum range. If you omit the sum range, Excel sums the criteria range itself. See Microsoft’s SUMIF documentation for the syntax.

SUMIFS: multiple conditions
Use SUMIFS when values must satisfy more than one criterion. Its argument order differs from SUMIF: SUMIFS begins with the sum_range, followed by criteria-range and criterion pairs. Microsoft documents a maximum of 127 such pairs. Keep corresponding ranges aligned in shape so each criterion is evaluated against the intended summed value. Do not swap formulas by changing only the function name: SUMIF’s optional sum range is third, while SUMIFS puts its sum range first.

When to use SUBTOTAL for filtered lists
SUBTOTAL excludes rows removed by a filter. Its function number controls how it treats rows hidden manually: 9 includes them, while 109 excludes them. For example, use =SUBTOTAL(9,B2:B20) to include manually hidden rows, or =SUBTOTAL(109,B2:B20) to leave them out. Nested SUBTOTAL results within the referenced range are ignored, which helps avoid double counting. See Microsoft’s SUBTOTAL documentation.
When AGGREGATE is worth using
AGGREGATE supports SUM among its operations and offers options for ignoring error values or hidden rows. Use it when one of those behaviors is needed—not as a blanket replacement for SUM or SUBTOTAL. Microsoft describes AGGREGATE as designed for vertical ranges and distinguishes between its reference and array forms; see the AGGREGATE reference before choosing a form.

AutoSum is a shortcut, not a different function
AutoSum can quickly total an adjacent row or column by inserting a formula that uses SUM. The resulting formula remains visible and editable, so AutoSum changes how you enter the calculation, not which summing function Excel uses. Microsoft explains the workflow in its AutoSum instructions.
