Microsoft 365 can cover everyday documents, email, meetings, file storage, scheduling, and some security needs in one business subscription. The right setup depends on which apps your team actually needs, whether employees require desktop software, and which services are included in the plan you choose. Microsoft describes these tools as ways to support business work; its product pages do not establish that buying them will independently make a business grow.

What Microsoft tools can a small business use?

Microsoft 365 business plans bring together productivity and communication apps, but the exact bundle varies by plan and market. Microsoft lists Word, Excel, PowerPoint, Outlook and Exchange, Teams, OneDrive, and SharePoint across its business-plan offerings. Check the specific plan page to confirm which apps and services are included, whether Teams is bundled, and whether the apps are desktop versions or limited to web and mobile use.   • Documents and analysis: Word, Excel, and PowerPoint support writing, spreadsheets, and presentations.
  • Email and collaboration: Outlook and Exchange cover business email; Teams supports meetings and team collaboration.
  • Files and shared work: OneDrive provides cloud storage, while SharePoint supports shared sites and documents.
  • Scheduling and workflow: Bookings can support appointment scheduling; Planner can organize tasks; Forms can collect responses; Loop supports collaborative work; and Clipchamp can be used for basic video creation. Their availability depends on the plan.

These are capabilities, not promised business outcomes. For example, a scheduling app can help manage appointments, but it does not by itself bring in customers or ensure that appointments are handled well.

How to choose a Microsoft 365 business plan

Start with the work your team must do, then verify the plan details rather than selecting by name alone. Microsoft’s current business-plan pages describe plans for organizations of up to 300 users; confirm eligibility with Microsoft if your business is near or above that limit.   1. Count users and check the plan boundary. Determine how many people need accounts now and whether the plan’s stated limit fits your expected team size.
  2. Decide whether desktop apps are necessary. If staff need locally installed Word, Excel, or PowerPoint, confirm desktop access for the exact plan. If web and mobile apps are sufficient, compare plans that provide those instead.
  3. Confirm email and meeting requirements. Verify that the selected plan includes the business email service and Teams features your organization needs; do not assume Teams is included in every plan or regional offer.
  4. Check storage and workflow apps. Look at the plan’s stated storage and whether it includes services such as Bookings, Planner, Forms, Loop, or Clipchamp.
  5. Assess security and device management. If you need tools to protect and manage employee devices or safeguard sensitive data, compare the security descriptions for the plans under consideration.

When Business Premium or Defender for Business may fit

Microsoft describes Business Premium as including device security and management, advanced threat protection, and tools to discover, classify, and protect sensitive data. Those capabilities may matter if your business needs more centralized control over employee devices or data than a basic productivity bundle provides. Microsoft also lists Defender for Business as a standalone service and as included in Business Premium on its US plan page. That page displayed Defender at $3 per user per month when paid yearly, when accessed in 2026. Is Microsoft Copilot worth adding?

Copilot is an additional purchase for eligible business subscriptions, so treat it as a separate decision from choosing the core Microsoft 365 plan. Microsoft describes Copilot features in Word, Excel, PowerPoint, Outlook, and Teams, with work-context capabilities intended to assist with business tasks. Whether it is useful depends on the work employees do, their eligibility, and the added cost—not simply on having Microsoft 365.

Microsoft’s pages have displayed different Copilot prices and offers. The US pricing page showed Copilot Business at $18 per user per month, paid yearly, as a promotional offer from $21 when accessed in 2026; offer eligibility and dates should be verified before purchase. Microsoft Adoption separately states $30 per user per month on its undated SMB page. These figures refer to different page presentations and should not be combined or assumed to be interchangeable. Microsoft also says Copilot Chat is available without an additional charge to users with an eligible Microsoft 365 subscription and a Microsoft Entra account. What to verify before you buy

  • Exact plan and app access: Confirm desktop versus web/mobile availability for each required app.
  • Included services: Check email, Teams, storage, scheduling, workflow apps, and any regional exclusions against the selected SKU.
  • Security scope: Verify which device-management, threat-protection, and data-protection features are included rather than inferring coverage from a plan name.
  • Copilot licensing: Confirm subscription eligibility, account requirements, capabilities, and incremental cost.
  • Price and billing: Use Microsoft’s plan page for your market and verify whether a displayed amount depends on annual billing or a limited promotion.
  • Scale: Check the stated user limit and ask Microsoft about options if your team is close to or exceeds it.
