What counts as a backup?
A backup is a separate, recoverable copy of files you care about—not simply the original files stored on your computer. If a document exists only on your laptop, it is not backed up. CISA recommends saving local files to an external drive or a vetted cloud service: How to Protect the Data that is Stored on Your Devices.
A file backup may not include every application, operating-system setting, or other part of your computer. Decide which files and folders you need to recover, such as personal documents, photos, and work in progress, then confirm what your chosen method actually copies.
Choose where to keep your backup

Set up a backup routine
- List what matters. Identify the files and folders you would need after losing your device, including changing work and personal records. Check whether the chosen backup method includes them.
- Choose one or more destinations. Use an external drive, a cloud service, or both. To follow 3-2-1, keep a separate offsite copy as well as a local backup.
- Set a cadence. Use automatic backups where practical, or schedule them yourself. Choose an interval based on how much recent work you could afford to lose; the right schedule depends on how often your files change.
- Protect access and data. Encrypt sensitive backups and removable media where appropriate. Use strong account protection for online services, and keep recovery credentials somewhere safe and accessible if you need to restore.
- Disconnect and store removable drives. Connect an external drive for the backup, then disconnect it when the job is done. Keep it in a safe place separate from the computer.
- Test recovery. Restore a sample file or folder and open it. For important data, check regularly that backups are available and intact, and that you know how to retrieve them.

Which backup option should you use on Windows?
There is no single Windows backup choice for every need. Microsoft’s current guidance describes the available Windows options and helps you choose based on what you want to preserve and whether you prefer a cloud, external, or network destination: Choose a backup solution in Windows. Windows 10 stopped receiving free software updates, technical assistance, and security fixes after October 14, 2025, according to Microsoft. If you still use it, factor that support status into your broader device-security plans; a backup helps recover files but does not replace security updates.
