The quickest options are Instagram’s built-in caption controls: turn on Show Captions when publishing a Reel, or use the CC Captions sticker in a Story. For more control over styling, timing, branding, or placement, add text manually or create a video with burned-in captions in an editor such as CapCut, Adobe Express, Descript, VEED, or Kapwing.

There are two important types of captions. Closed captions are generated or toggled by a platform and may be editable or removable. Open captions, also called burned-in captions, are permanently rendered into the video. Open captions are useful when you need the text to appear predictably across Instagram placements, preserve branded styling, or remain visible when a video is viewed outside the original platform.

Choose the right caption method

Method Best for What you get
Instagram Reel captions Fast, ordinary spoken-content Reels Automatically generated captions in Instagram’s publishing flow
Instagram Story CC sticker Short Story videos Automatically generated captions that can be edited and styled
Instagram text tool Short phrases, emphasis, titles, or little speech Manually controlled text overlays
CapCut Mobile, desktop, or web editing with styled captions Open captions rendered into the exported video
External caption editor Branding, translation, collaboration, transcript editing, or subtitle files A captioned video and, depending on the service, SRT or VTT output

Instagram’s labels and controls can vary by account, device, language, app version, and feature rollout. If a control is missing, update Instagram first. If it still does not appear, use a pre-captioned video instead of assuming that your account is broken.

1. Turn on automatic captions for an Instagram Reel

Instagram’s native Reel workflow includes a Show Captions control under Advanced Settings. Instagram generates the text from the Reel’s audio, so this is usually the fastest choice when you want captions without editing the video in another app. The feature also helps viewers who watch without sound and viewers who need text to follow the dialogue. Instagram’s creator guidance demonstrates the control in the Reel publishing flow: Instagram’s official caption guidance.

Steps

  1. Open Instagram and tap the option to create a Reel.
  2. Record a video or select one from your camera roll.
  3. Continue to the Reel publishing screen.
  4. Open Advanced Settings.
  5. Turn on Show Captions.
  6. Preview the Reel, review the generated text if Instagram provides editing controls, and publish when it looks correct.

When this method works best

  • You need captions quickly and do not require a custom caption design.
  • The Reel contains clear, relatively clean speech.
  • You are comfortable with Instagram handling the caption display rather than permanently embedding the text in the file.

Limitations and fixes

Automatic speech recognition is not guaranteed to be accurate. Review names, product terms, numbers, slang, accents, and words spoken over music or background noise. The available language list and exact editing controls may differ between accounts.

If Show Captions is missing, update Instagram, reopen the app, and check the publishing screen again. The feature may not yet be available for your account, device, or language. For a caption design that must appear consistently, export a video with open captions using method 4 or 5.

2. Add captions to an Instagram Story with the CC Captions sticker

Stories have a dedicated CC Captions sticker. It converts speech in a Story video into text, then lets you correct the wording and adjust the caption layer before sharing. This is the most convenient native option for a short talking Story.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Steps

  1. Record a video in Stories or upload a video from your device.
  2. Tap the sticker icon at the top of the Story editor.
  3. Select CC Captions.
  4. Wait for Instagram to generate the speech-to-text captions.
  5. Tap the generated caption text to correct mistakes or select a different style, where available.
  6. Drag the caption layer to a suitable position and resize it if necessary.
  7. Share the Story.

Keep the text away from faces, important demonstrations, and the top and bottom areas where Story interface controls and account information can cover it. Captions that look fine in the editor can become difficult to read when the viewer’s interface is overlaid.

If the CC Captions sticker is unavailable

The sticker is not guaranteed to appear for every account or language. Update Instagram and check again, but do not delay a time-sensitive post while waiting for a rollout. You can create the captioned video in CapCut or another editor and upload the finished file as a Story.

3. Add captions manually with Instagram’s text tool

Instagram’s Aa text tool is the most controllable native fallback. It is particularly useful for a title, a few key phrases, a translation, emphasis, or a video with little spoken dialogue. It is not the most efficient choice for transcribing a long conversation because you must create and manage the text segments yourself.

Steps

  1. Start a Reel or Story and record or upload the video.
  2. Tap the Aa text tool.
  3. Type a short caption segment.
  4. Choose a readable font, color, alignment, and background or text effect.
  5. Use Instagram’s available timeline or text-layer controls to choose when the segment appears.
  6. Repeat for each phrase or caption segment.
  7. Preview the entire video before publishing.

Use short phrases rather than putting a full paragraph on screen. A viewer should be able to read the text comfortably before it disappears. Split long dialogue into logical segments, and do not place the text over a face, a product being demonstrated, or other information the viewer needs to see.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Instagram’s timing controls can differ across formats and app versions. If your editor does not offer precise timing, reserve manual text for short clips, headings, and highlighted phrases. For continuous dialogue, an external editor will usually be faster and more consistent.

4. Generate burned-in captions in CapCut

Use CapCut auto captions when you want to generate a transcript, correct it, style it, and export a video in which the captions are visibly embedded. CapCut’s help documentation calls the feature Auto Captions or Recognise Subtitles and documents it on Web, Desktop, and mobile.

Steps

  1. Import the video into CapCut.
  2. Open Captions and choose Auto Captions, or the equivalent Recognise Subtitles control in your version.
  3. Select the language spoken in the video.
  4. Generate the captions.
  5. Read through the transcript while listening to the audio.
  6. Correct names, jargon, punctuation, numbers, and words affected by accents or background noise.
  7. Adjust caption timing, line breaks, font, size, contrast, and position.
  8. Export the completed video and upload it to Instagram.

CapCut documents manual correction and caption re-segmentation, which are useful when a caption breaks at an unnatural point or stays on screen too long. Keep lines short, use strong contrast, and leave space for Instagram’s interface.

CapCut troubleshooting

Caption generation can be affected by background noise, poor recording quality, the wrong language selection, missing or muted audio, internet problems, or outdated software. Check that the clip actually contains audible speech, choose the correct spoken language, update CapCut, and try generating the captions again. If the transcript remains unreliable, edit it manually or use another editor.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

CapCut Web and Desktop can also import SRT or TXT caption files. The cited CapCut help documentation says direct subtitle-file import is not supported in the mobile app as of 2026, and advanced features may vary by platform, region, and app version. An SRT or TXT file is not itself a captioned Instagram video: export a video with the text rendered into the picture when you need the captions to appear on Instagram.

5. Use an external captioning editor before uploading

An external editor is worthwhile when you need branded typography, a repeatable style, translation, collaboration, transcript-based editing, or a choice between burned-in captions and a subtitle file. For Instagram, export a video with captions visibly embedded when guaranteed on-screen display is the priority. SRT and VTT files are useful on services that accept attachable subtitle tracks, but they should not be treated as universally interchangeable with an Instagram video upload.

Adobe Express

Adobe Express caption generator can generate captions from a video, then let you edit the transcript and customize the font, color, background, and position before exporting. Adobe’s documentation dated April 8, 2026 describes opening a video project, selecting Open Captions, choosing the spoken language and media source, generating the captions, and exporting the result as an MP4. Check the current interface and plan limits before relying on a particular option.

Descript

Descript’s subtitle editor is a strong fit when you are repurposing a longer recording or want to edit through a transcript. Descript documents AI subtitle generation and translation in more than 20 languages, along with embedded open captions and downloadable SRT or VTT files. Choose embedded captions for a video intended to show the text directly in Instagram; choose a subtitle-file export only when you have a separate workflow that supports it.

VEED

VEED’s Instagram transcription tool provides an online workflow: upload the video, select the spoken language, generate auto-subtitles, edit the transcript, and export either a captioned video or a subtitle file. It can be useful when you do not want to install desktop software. Confirm the current export restrictions and available features for your account before completing a large project.

Kapwing

Kapwing’s subtitle generator is designed for Instagram-oriented transcription and social-video editing. Upload the video, generate editable text, correct the transcript, style the subtitles, and export the captioned version. It is especially relevant for teams or creators who want an editable transcript and additional social-video production tools.

How to make captions readable on Instagram

  1. Proofread every generated caption. Speech recognition can misinterpret names, technical words, numbers, dialects, and overlapping speech.
  2. Use brief, natural lines. Break captions at sensible phrases rather than in the middle of a name or thought.
  3. Protect the safe areas. Keep text away from Instagram’s controls, usernames, buttons, and other overlays. The exact obstruction depends on whether the video is displayed as a Reel, Story, feed post, or in another surface.
  4. Do not cover visual information. Move captions away from faces, demonstrations, products, signs, and important text already in the video.
  5. Use contrast. White text over busy footage is difficult to read. Add a background, outline, shadow, or contrasting panel, and check that it remains legible on a small phone screen.
  6. Check timing. Captions should appear with the speech and remain visible long enough to read. Avoid rapid flashing or stacking too many words at once.
  7. Review the exported file. Watch the final video on a phone before publishing. An export can change positioning, line breaks, or contrast compared with the desktop preview.
  8. Keep accessibility broader than captions. Captions represent dialogue and relevant sounds, but they do not automatically communicate everything shown visually. Describe important visual information through narration and use Instagram’s available accessibility fields where relevant.

Captions versus subtitles

In accessibility terminology, captions generally represent spoken dialogue plus relevant sounds, such as a doorbell or music cue. Subtitles usually focus on dialogue, often translated into another language. In everyday creator tools the terms overlap, and many apps label an automatically generated transcript as either captions or subtitles. The practical decision for Instagram is whether you need readable text in the video, a translation, or both.

Which method should you use?

  • Use Reel Show Captions when you want the fastest native workflow for a Reel.
  • Use the Story CC Captions sticker for a short talking Story when the sticker is available.
  • Use Instagram’s Aa tool for a few manually controlled phrases, titles, or emphasis.
  • Use CapCut when you want auto-generated, editable, styled captions across mobile, desktop, or web and need a captioned export.
  • Use Adobe Express, Descript, VEED, or Kapwing when you need browser-based editing, transcript workflows, translation, collaboration, or subtitle-file options.

None of these methods makes captions perfectly accurate, and captions alone do not guarantee better reach, ranking, or watch time. Their dependable benefits are comprehension, accessibility, and more predictable viewing when sound is unavailable.

Can I upload an SRT file directly to Instagram with a video?

An SRT or VTT file should not be treated as a universally supported substitute for captions in an Instagram upload. For predictable on-screen captions, export the video with the text visibly burned into the image. Subtitle files are more useful on platforms that support attachable subtitle tracks.

Are Instagram’s automatic captions accurate?

They can contain errors, especially with names, jargon, numbers, accents, overlapping speech, music, and background noise. Always compare the generated text with the audio before publishing.

Should I use captions or subtitles?

Use captions when you want dialogue and relevant sounds represented for accessibility. Use subtitles when the main goal is translating dialogue. Many creator apps use the terms interchangeably, so check whether the tool can generate and style the type of text you need.

The Bottom Line

For a quick Reel or Story, start with Instagram’s Show Captions control or CC Captions sticker. For dependable placement, branded design, or more accurate editing, create open captions in CapCut or another caption editor, proofread them, keep them inside the visible safe areas, and inspect the final export on a phone before posting.
