More reliable Excel workbooks start with five practical changes: stop burying changeable inputs in formulas, deleting cells without checking dependencies, relying on unrestricted data entry, treating duplicate removal as harmless, and trusting formula indicators without checking the result. These are Microsoft-supported maintenance habits—not a claim about one author’s personal workflow. Menu labels and feature availability can vary by Excel version and platform.
1. Stop hiding changeable values inside formulas
A formula such as =A2*1.08 may calculate correctly, but the embedded 1.08 is easy to overlook when the rate changes. Put a changeable assumption in a clearly labeled cell instead—for example, enter a tax rate in B1 and use =A2*$B$1. The absolute reference keeps the formula pointed at B1 when copied down.
This makes the assumption visible and easier to update, and reduces the chance of mistyping it in multiple formulas. Microsoft recommends placing constants in individual cells when they may need to change, then referencing those cells in formulas. A literal that is inherently part of a formula’s definition may reasonably stay in the formula. Microsoft’s formula overview and its guidance on avoiding broken formulas explain the trade-off.
2. Stop making structural edits without checking formula dependencies
Deleting or overwriting a cell that a formula depends on can invalidate the reference and produce #REF!. Not every row or column deletion breaks formulas; the outcome depends on how the workbook refers to the affected cells. Before a substantial edit, consider which formulas depend on the area. Afterwards, inspect affected formulas and confirm that key outputs still make sense. Excel’s formula-auditing tools can help trace relationships where available.

A #REF! error signals an invalid reference, but the absence of that error does not prove that every dependent calculation remains appropriate. Microsoft describes common causes and recovery steps in its guide to correcting a #REF! error. Also check whether a formula cell was formatted as text, which can prevent an entered formula from calculating; formula argument separators can differ with locale settings. 3. Stop leaving repeated data entry unrestricted
When several people enter values into the same workbook, unrestricted cells invite inconsistent spellings, invalid dates, and values outside an expected range. Data validation can limit what a cell accepts—for example, to a list of approved categories or a permitted type or range. Use it for fields with a clear set of acceptable entries, and tell collaborators what the choices mean.

Validation is a guardrail, not a guarantee: Microsoft notes that copying or filling cells can bypass the usual validation messages. Review entries after importing, pasting, or filling data rather than assuming the rule caught every invalid value. For organized records, an Excel table can make column-based formulas easier to read through structured references such as Sales[Amount], rather than a less descriptive cell range. Table columns can also use data validation. Tables improve organization and reference clarity, but they do not validate every entry or prevent every formula mistake. 4. Stop treating duplicate removal as a reversible cleanup
Excel offers two different ways to handle duplicates. Filtering for unique values temporarily hides duplicate entries; removing duplicates permanently deletes them. If you are still deciding what counts as a duplicate, filter first and inspect the result. Before permanent removal, preserve a copy of the data.
The selected columns determine which rows Excel treats as duplicates. If you select only a customer name, for example, separate records for that customer may be treated as duplicates even when they represent different transactions. Choose columns that identify a genuinely repeated record, then check the rows before deleting anything. Microsoft distinguishes filtering from permanent removal in its duplicate-values guidance.

5. Stop treating a clean-looking formula as proof it is right
Excel can flag formula errors, inconsistent patterns among neighboring formulas, and ranges that may omit adjacent data. These indicators help direct attention; they are not a full audit. A formula can have valid syntax, show no error, and still encode the wrong business rule.
For important calculations, check both the formula and its output. Test representative inputs, including boundary cases where a threshold or rule changes, and compare the result with an independently worked expectation. If neighboring rows should follow the same pattern, inspect any exceptions rather than automatically copying the formula.
