Short answer: Airtable is the best database-first form builder for most teams, while Baserow is the strongest open-source and self-hosted alternative. Choose Jotform if you want an all-in-one form and submission workspace, Fillout if your form must connect to Airtable or SQL, and Cognito Forms for calculations and lookup-driven workflows. Formstack and Zoho Forms are better suited to enterprise or ecosystem-based processes, while Typeform, Google Forms, and Microsoft Forms prioritize respondent experience or spreadsheet workflows over relational database capabilities.

The phrase form builder with a database needs qualification. Airtable and Baserow put a structured database at the center and use forms as data-entry interfaces. Jotform and Formstack retain submissions in their own table or entry systems. Fillout and Zoho Forms are primarily form and workflow layers that can send data to other databases, CRMs, and business applications. Google Forms and Microsoft Forms commonly use Google Sheets or Excel as the destination. Typeform stores responses and integrates with spreadsheets, but it is not a full relational database builder.

A form can collect structured answers without providing a useful database. The important question is what happens after a respondent clicks Submit.

  • Submission table or entry store: The platform keeps responses in an internal table with search, filtering, exports, views, and workflow tools. Jotform, Cognito Forms, and Formstack fit this category.
  • Connected database front end: The form is the input layer, while records live in Airtable, SQL, a CRM, a spreadsheet, or another application. Fillout and Zoho Forms are especially relevant here.
  • Spreadsheet destination: The form writes rows to Google Sheets or Excel. This can work very well for small teams, but spreadsheets do not automatically provide relational constraints, dependable record identity, or database-style permission models.
  • Response-management layer: The product makes collecting and reviewing answers attractive and convenient, then exports or synchronizes them elsewhere. Typeform is a strong example.

Before choosing, decide whether you need an append-only response log or a system of record. A registration survey may only need new rows. An inventory, CRM, application, or service-request system may need relationships, deduplication, record updates, auditability, and controlled access.

1. Airtable: best database-first form builder

Airtable forms are attached to an Airtable base, so a submission creates a record in the underlying table rather than disappearing into a separate response inbox. That makes Airtable the clearest choice when the form is simply the public or internal intake surface for a database the team already uses.

Airtable’s current form experience supports publishing, sharing, and embedding. Once responses are in the base, the team can organize them using Airtable’s wider table and view features, then use the same records for project tracking, CRM work, inventory, requests, applications, or internal operations.

The important limitation is respondent experience. Airtable’s own documentation points users toward third-party form builders when they need capabilities such as save-and-resume, multi-page or branching respondent flows, or form-based updates to existing records. Native Airtable forms should therefore be viewed as a strong database input interface, not automatically as a replacement for a specialized public-facing form tool.

Choose Airtable when: the database is the center of the workflow, several people need to collaborate on the records, and you value quick configuration over building a separate backend.

Watch for: advanced form UX, editing existing records, plan-specific limits, permissions, and the difference between what a respondent can submit and what an internal user can manage after submission.

2. Baserow: best open-source and self-hosted alternative

Baserow Form view is generated from an existing Baserow table. Each submission immediately creates a new row with the table’s typed fields, which gives the form a direct relationship with the database schema.

Baserow is particularly compelling when you want database-native behavior without being tied exclusively to a hosted SaaS deployment. Its documented capabilities include linked tables, lookup fields, rollups, API access, permissions, and self-hosting options. Those features make it better suited than a spreadsheet for structured internal tools, directories, inventories, and workflows where related records matter.

Self-hosting changes the ownership and administration model. You may gain more control over deployment and data location, but you also take responsibility for infrastructure, updates, backups, authentication, monitoring, and recovery. Hosted and self-hosted editions may not have identical features or limits, so verify the specific deployment and plan before committing.

Choose Baserow when: open-source availability, self-hosting, relational fields, and direct control of the underlying data model matter more than a large catalog of consumer-facing form features.

Watch for: deployment maintenance if self-hosting, feature differences between editions, permissions design, and the current limits on forms, rows, API usage, and collaboration.

3. Jotform: best all-in-one form and submission workspace

Jotform Tables automatically receives submissions from connected forms and presents them in a spreadsheet-style workspace. Teams can search, filter, calculate, import, export, collaborate, and view information as tables, cards, calendars, or reports.

This is a good fit for organizations that want payments, signatures, approvals, notifications, document-related workflows, or polished forms without first designing a database schema. The form builder and submission-management layer are part of the same product, so a team can move from collection to review without wiring together several services.

Jotform Tables is best described as a submission database or spreadsheet-style database. It is not the same kind of relational database platform as Airtable or Baserow. If your main requirement is a table of responses with operational views, it may be exactly what you need. If you need a normalized data model with linked entities, complex relationships, or database-style application architecture, compare it more carefully with the first two options.

Choose Jotform when: you need a broad all-purpose form builder and a ready-made place for staff to work with submissions.

Watch for: whether the table features cover your relational needs, current submission and storage limits, and plan gates for payments, signatures, integrations, and collaboration.

4. Fillout: best for forms connected to existing databases

Fillout Airtable forms are useful when you like the data model in Airtable but want a more capable or customized intake experience. Fillout documents integrations with Airtable, Notion, SmartSuite, Monday.com, ClickUp, Google Sheets, Firebase, MongoDB, PostgreSQL, MySQL, SAP, and Excel Online.

That breadth makes Fillout less of a standalone database and more of a front end for data that already lives somewhere else. It can be a practical choice for intake forms that need to write to an existing table, collect information for an SQL-backed process, or send the same operational data into an established business system.

Do not assume that every destination supports identical behavior. Create, update, lookup, authentication, field-type mapping, error handling, and record matching can differ between Airtable, SQL, spreadsheets, and other integrations. Check the integration-specific documentation and the plan required for the exact workflow rather than relying on the general integration list.

Choose Fillout when: the destination database already exists and the form needs to act as a sophisticated data-entry layer.

Watch for: integration-specific limitations, credentials and authentication, duplicate-record handling, update-versus-create behavior, and plan requirements for the destination you actually use.

5. Cognito Forms: best for calculations, entries, and lookup-driven workflows

Cognito Forms manages completed submissions as entries. Its documented entry tools include filtering, saved entry views, bulk actions, sharing, import, and export. That gives staff a practical operational layer instead of leaving every response in a raw inbox.

Cognito is particularly well suited to forms that calculate prices, collect applications, handle orders, or use reference data. Its lookup functionality can use entry data for scenarios such as inventory, pricing, location, and user information. For example, a form can collect an order while referring to a maintained set of products or prices rather than asking staff to retype every value.

It is still important to distinguish an entry store from a general-purpose relational database. Cognito’s strengths are structured form logic and operational processing; it is not necessarily the best destination for a large, interconnected data model that needs broad database views and application-style relationships.

Choose Cognito Forms when: calculations, conditional form behavior, lookups, and repeatable business processes are more important than building a general collaborative database.

Watch for: plan-dependent entry limits, imports, permissions, advanced workflows, and any regulated-data requirement. Verify the current plan and contractual terms before treating a feature as included.

6. Formstack: best for enterprise form data management

Formstack Forms stores captured submissions in the form’s database and provides a submission table for viewing and managing the data. Its documented data-management tools include importing CSV data, exporting to CSV, Excel, Word, or PDF, and scheduling exports.

That combination is valuable for organizations that need controlled data collection alongside document generation, approvals, and formal operational processes. Formstack also publishes security-oriented materials for business and regulated workflows, but security or compliance should never be inferred from the product name alone.

Whether Formstack is appropriate for sensitive information depends on the specific product, plan, contract, configuration, data region, retention policy, integrations, and organizational controls. Treat compliance as a procurement and implementation question, not as a blanket property of every Formstack account.

Choose Formstack when: enterprise data handling, export control, document workflows, approvals, and administrative governance are central requirements.

Watch for: enterprise pricing, sales-led configuration, the exact security terms that apply to your account, data residency, retention, user permissions, and whether your required export or integration is included.

7. Zoho Forms: best for businesses already using Zoho

Zoho Forms is best understood as a form-and-workflow layer for the wider Zoho ecosystem. It can route submissions to Zoho CRM, Bigin, Creator, Desk, Recruit, Campaigns, Books, Projects, Analytics, and Zoho Sheet. It also documents webhooks, approvals, task assignment, document generation, payment workflows, and database updates.

This makes a form submission more useful than a simple row. Depending on the configured destination, a response can become a CRM record, support-related item, candidate record, project input, or another business object. Teams can keep the form at the front of the process while using Zoho applications for ownership, reporting, and follow-up.

Zoho Forms is not the strongest choice if you want an independent relational database with no broader ecosystem commitment. Its advantage comes from connecting collection to the rest of the Zoho stack. Review the exact connector, field mapping, workflow trigger, and plan before assuming a submission will create or update the record exactly as expected.

Choose Zoho Forms when: your organization already relies on Zoho CRM or another Zoho application and wants form submissions to enter that system automatically.

8. Typeform: best for polished, conversational forms

Typeform provides a searchable, table-like Responses area and supports XLSX and CSV export. Its native Google Sheets integration can create a new row for each completed or partial response, which makes it practical for teams that want attractive forms with a familiar spreadsheet destination.

Typeform’s main advantage is the respondent experience. It is a strong candidate for brand-sensitive lead capture, surveys, quizzes, feedback, and other situations where how the questions are presented affects completion. That experience-first focus is different from designing a relational backend.

Use Typeform when response storage and integrations are sufficient, but do not describe it as a full database builder comparable to Airtable or Baserow. Also account for data-handling details: Typeform documents that timestamps in exports and integrations are represented in UTC, and file-upload handling has separate limitations that should be checked for the specific workflow.

Choose Typeform when: presentation, conversational interaction, and completion experience are more important than native relational data modeling.

Watch for: export and integration behavior, UTC timestamps, file-upload requirements, plan limits, and the point at which responses need to move into a proper database or CRM.

9. Google Forms: best for a simple Google Workspace workflow

Google Forms can send responses to Google Sheets, where a team can filter, analyze, add formulas, and connect the data to other Google Workspace automation. For surveys, registrations, internal questionnaires, education, and straightforward requests, that low-friction workflow is often enough.

The resulting spreadsheet is a practical response destination, not a relational database. As volume and complexity grow, teams may encounter problems around record identity, concurrent editing, permissions, duplicate prevention, updates to existing records, and relationships between entities. Apps Script or another platform may be needed when the workflow moves beyond collecting and analyzing rows.

Google Forms can be a sensible choice when the organization already standardizes on Google Workspace and wants minimal setup. It is less suitable when the form is only one part of a system that needs strict data governance, multi-table relationships, or robust record-level workflows.

Choose Google Forms when: you need quick collection into a shared Google Sheets workflow and do not require a relational backend.

Watch for: spreadsheet permissions, formula and automation maintenance, data validation, record updates, and the point at which a real database or specialized workflow tool becomes safer.

10. Microsoft Forms: best for Microsoft 365 and Excel-centered teams

Microsoft Forms with Excel is a natural fit for organizations using Microsoft 365, Excel, OneDrive, SharePoint, Teams, and Microsoft-centered reporting. Microsoft documents that response data can open in an Excel workbook stored in OneDrive or SharePoint Online, depending on how the form was created.

Microsoft also states that response data synchronizes with the workbook when users reopen it or select Open in Excel. This provides a familiar workflow for surveys, registrations, internal questionnaires, and team data collection.

As with Google Forms, the important distinction is that Excel is the response-storage workflow, not a relational database built into Microsoft Forms. More advanced record management, business rules, approvals, permissions, and integrations may require surrounding Microsoft 365 services or another database layer.

Choose Microsoft Forms when: the people who will own and analyze the responses already work in Excel, OneDrive, SharePoint, or Teams.

Watch for: where the workbook is stored, synchronization behavior, sharing permissions, concurrent editing, and the additional Microsoft tools required for a production workflow.

How to choose the right database-backed form builder

Choose a database-first platform if the records are the product

Use Airtable or Baserow when the information will be reused across views, teams, processes, or related tables. This is the right model for a project tracker, CRM-like system, inventory, application pipeline, directory, or service-request database. The form is only one way to create records.

Choose a submission workspace if the form is the product

Use Jotform, Cognito Forms, or Formstack when the central job is designing a capable form and then reviewing, exporting, routing, or processing its entries. This approach is often simpler for applications, orders, approvals, signatures, payments, and document-heavy processes.

Choose an integration-first tool if your database already exists

Use Fillout when the destination could be Airtable, SQL, a spreadsheet, or another supported system. Use Zoho Forms when the destination is a Zoho CRM, helpdesk, recruiting, finance, or project workflow. In both cases, verify whether the integration can create, update, look up, and match records in the way your process requires.

Choose a spreadsheet workflow for genuinely simple collection

Google Forms and Microsoft Forms are reasonable when a shared sheet or workbook is the intended source for analysis and follow-up. They become poor substitutes for databases when multiple tables, durable record IDs, complex permissions, or automated updates are essential.

Choose experience-first software when completion rate and presentation lead

Typeform is the natural fit among these ten when the form needs to feel polished and conversational. Plan the next step early if responses will eventually need relational modeling, deduplication, or a larger operational system.

Database and form features to check before subscribing

  1. Record behavior: Does every submission create one new record? Can it update an existing record, or is it append-only?
  2. Data model: Are there typed fields, linked records, lookups, rollups, formulas, unique identifiers, and validation rules?
  3. Workflow: Can the platform handle approvals, assignments, notifications, payments, signatures, document generation, webhooks, and retries?
  4. Respondent experience: Does it support conditional logic, multi-page layouts, save-and-resume, file uploads, mobile-friendly design, and partial responses where needed?
  5. Destination flexibility: Can it connect to your CRM, SQL database, spreadsheet, API, or automation layer? Is the connection available on the plan you need?
  6. Governance: Check user and record permissions, auditability, export options, encryption documentation, data region, retention, backups, self-hosting, and contractual compliance terms.
  7. Operational limits: Recheck current submission, row, storage, attachment, API, automation, and collaborator limits. Do not rely on old comparison articles for these figures.
  8. Recovery: Confirm how you can export data, restore deleted records, rotate credentials, and continue operating if an integration fails or the vendor changes a feature.

A practical setup sequence

For a new database-backed form, start with the data rather than the visual design:

  1. Define the record: Decide whether one submission represents a person, request, order, application, asset, or event.
