There is no evidence-backed universal best CRM for agencies. The right choice depends on how your team captures leads, converts them to clients, handles ongoing communication, and hands signed work to delivery. The ten names below are a shortlist—not a performance ranking—because current vendor documentation and comparable pricing were not established for every product.
What an agency CRM needs to do
Start with the work your agency expects the system to manage. A sales CRM can organize prospects and deals without tracking project delivery; a project tool may manage client work without campaign automation or a full sales history. Some platforms connect these functions, but do not assume that every capability is included in every plan.
- Lead-to-client flow: capture prospects, show pipeline stages, assign owners, and track progress through a signed engagement.
- Account history: keep contact and company records, communication history, and ownership visible to the people who need them.
- Marketing and service: decide whether campaign automation, reporting, ticketing, or client communications belong in the same system.
- Delivery handoff: establish whether the CRM tracks project work or must connect to the agency’s project-management tool.
- Operational fit: check integrations, imports and exports, permissions, reporting, setup effort, and whether the team will use the system consistently.
- Scalable cost: price the actual required seats, contact volume, automation, integrations, and reporting—not just an advertised entry tier.
Ten CRMs to put on an agency shortlist
These products appear in secondary comparison pages as possible candidates for agency or creative-agency use. That mention is a starting point, not independent evidence of product quality, current features, or comparative performance. For most options below, the available evidence does not establish plan-specific capabilities or current pricing; verify those details in the vendor’s own documentation before deciding.
| CRM | Why it is on the shortlist | What to verify for your workflow |
|---|---|---|
| HubSpot | Its official CRM page describes contact and deal management, tasks, pipeline management, reporting, integrations, user permissions, ticketing, and connected marketing, sales, and service tools. It also describes free tools and paid product tiers. | Confirm which features are available in the specific tier you need, along with contact limits, user needs, automation, reporting, and the applicable price and billing terms. |
| Pipedrive | Named as a candidate in a secondary CRM comparison. | Confirm lead capture, pipeline stages, account history, integrations, permissions, reporting, and plan limits directly with the vendor. |
| Zoho CRM | Named as a candidate in a secondary CRM comparison. | Check whether its current plans and integrations cover the agency’s sales, marketing, service, and delivery handoff requirements. |
| monday CRM | Named as a candidate in a secondary CRM comparison. | Establish which CRM functions, project workflows, integrations, and reporting are included in the plan under consideration. |
| Salesforce | Named as a candidate in a secondary CRM comparison. | Validate the required edition, configuration effort, integrations, permissions, reporting, and total cost for the agency’s users and processes. |
| Taskip | Named in a creative-agency CRM comparison. | Confirm current product scope, available integrations, plan limits, and whether it supports the agency’s required client and delivery workflows. |
| NetHunt | Named as a candidate in a secondary CRM comparison. | Check current record management, pipeline, integrations, reporting, permissions, and pricing against your requirements. |
| Freshworks | Named as a candidate in a secondary CRM comparison. | Identify the exact product and edition being considered, then verify the relevant sales, service, automation, integration, and reporting features. |
| FunctionFox | Named in a creative-agency CRM comparison. | Check whether its current capabilities fit your intended CRM role and how it connects to the agency’s sales and project-delivery process. |
| HoneyBook | Named as a candidate in a secondary CRM comparison. | Verify current plan features, workflow fit, integrations, and whether its client-management functions cover the agency’s needs beyond initial lead handling. |
What the available evidence says about HubSpot
HubSpot is the only option in this shortlist for which the available material includes official product and pricing pages. Its CRM product page describes contact and deal management, tasks, pipeline management, reporting, integrations, user permissions, ticketing, and connected marketing, sales, and service tools. Those platform-level descriptions should not be read as a promise that every function is available in the free tier.

The vendor’s pricing page presents free tools and paid Starter pricing. Prices and packaging can depend on product, billing term, promotions, and limits, so check the live configuration for your region and needs rather than relying on a quoted amount without those details.
That makes HubSpot worth evaluating if you want CRM records connected to marketing and service functions. It does not establish that HubSpot is the best choice for every agency; your plan requirements and delivery workflow still determine fit.

How to choose without buying around the wrong workflow
- Map the process: write down how leads arrive, who qualifies them, what stages lead to a signed engagement, and which client communications must be recorded.
- Mark the handoff: decide where sales ownership ends and project delivery begins. Specify whether the CRM needs to track delivery or only pass client and deal information to another tool.
- Separate must-haves from nice-to-haves: list required marketing automation, service or ticketing, reporting, integrations, permissions, and data import/export before comparing products.
- Test the real plan: ask vendors to confirm the exact tier, limits, and configuration needed for your user count, contact volume, automation, and reports. Do not equate a free tier or entry price with the full workflow.
- Check adoption and portability: test the system with the people who will use it, and establish how records can be imported, exported, and maintained if the agency changes tools.
- Compare full cost: calculate the required configuration at your expected scale, including seats and needed features, instead of comparing headline prices detached from plan limits.
Sources and scope
HubSpot’s official CRM product page supports the product-feature description above, and its pricing page is the place to verify current plans and prices. The broader shortlist draws on two secondary comparison pages: Best CRM for Startups and Taskip’s creative-agency CRM comparison. Those comparison pages are not independent tests, and no hands-on testing or verified comparative performance is claimed here.
