For a small business, a reliable year-end accounting close starts by confirming the tax year and accounting method, then reconciling accounts, organizing records, reviewing balances, preparing reports, and checking the filings that apply to the business. A calendar-year business generally closes December 31; a business with a fiscal tax year should use its own year-end instead. This U.S. federal-guidance checklist helps organize the work, but it is not entity-specific tax advice.

1. Confirm your year-end and accounting method

First establish the period you are closing: calendar year or fiscal year. Use the business’s established accounting method, such as cash or accrual, because the two methods can recognize income and expenses at different times. Do not switch methods casually at year-end; the IRS generally requires approval for an accounting-method change. See the IRS guidance on accounting periods and methods.

2. Reconcile bank and payment accounts

Compare each bank and payment-account statement with the books for the same period. Record missing transactions such as bank fees, investigate uncleared items, and correct discrepancies. Reconciliation helps confirm that the books reflect the account activity; the IRS recommends reconciling regularly, including monthly. See IRS Publication 583.

  • Match statement deposits and withdrawals to the ledger.
  • Record fees or other transactions not yet entered.
  • Follow up on outstanding payments, deposits, and unexplained differences.
  • Save the completed reconciliation with the year’s records.

3. Gather and organize supporting records

Collect invoices, sales records, receipts, deposit details, bank and card statements, bills, payroll records, and other documents that support recorded income and expenses. Keep them organized by year and type so entries can be traced to evidence. The IRS does not require one universal bookkeeping system; it says, “You can choose any recordkeeping system suited to your business that clearly shows your income and expenses.” Electronic accounting software is one possible system, and paper books are not required. See Publication 583 and the IRS recordkeeping guidance.

4. Review customer and vendor balances

Check accounts receivable and accounts payable for past-due customer balances, unpaid bills, credits, duplicate charges, and stale entries. Document corrections rather than simply deleting or changing entries without an audit trail. Make sure income and expense timing follows the business’s established accounting method; cash and accrual accounting do not recognize every item at the same time.

5. Check inventory if your business sells merchandise

Inventory is relevant when merchandise is an income-producing factor, but the rules are not identical for every small business. IRS Publication 334 describes a general inventory requirement and a small-business taxpayer exception subject to conditions, including use of a method that clearly reflects income. If your business maintains inventory, it generally values inventory at the beginning and end of its tax year using a consistent method that clearly reflects income. Do not apply a universal valuation shortcut; review the current rules for your business and tax year in IRS Publication 334.

6. Tie out payroll and tax records

Compare payroll totals and employment-tax deposits with your records, and identify any mismatch before preparing returns. Check the current IRS tax calendar for applicable federal filing and payment tasks, and separately verify state and local requirements. Federal employment-tax records must be kept for at least four years, according to the IRS recordkeeping guidance.

7. Prepare and review annual financial reports

Prepare the year’s profit-and-loss statement and a balance sheet as of the closing date. An income statement reports income and expenses over a period; a balance sheet shows assets, liabilities, and equity on a particular date. Review unusual balances, investigate unexpected changes, and compare periods when that helps explain what changed. IRS Publication 583 describes these reports and their purposes.

8. Confirm which tax filings apply

Required federal forms depend on business organization and tax classification. An LLC, for example, can have different federal tax treatment, so its filings cannot be determined from the “LLC” label alone. Check current-year IRS forms and instructions for the entity and tax treatment. State sales-tax, payroll, corporate, and record-retention requirements are separate from this federal checklist and should be checked for the business’s location.

For unusual transactions, entity questions, inventory methods, or a proposed accounting-method change, consider consulting a qualified tax preparer, CPA, or enrolled agent. Not every business needs professional assistance, but these issues can change the required treatment.
