Workday AI agents are enterprise software agents that can answer questions and complete multi-step tasks inside Workday. Their privacy and safety depend on the agent’s execution mode, identity, permissions, approval rules, runtime isolation, and audit configuration—not on a single universal “AI security” setting. Workday describes the Agent System of Record (ASOR) as the central framework for registering, configuring, monitoring, governing, and auditing agents. Availability is also agent- and tenant-specific: the Developer Agent page describes Early Access and targets General Availability for release 2026R2 or later, which is a target rather than proof that every customer has access.
What Workday AI agents are
Workday uses the term AI agent for software that can interpret a request, decide which supported steps are needed, and execute a multi-step workflow. That is different from a static help page or a single prompt-and-response chatbot. An agent may retrieve information, call approved Workday services, or perform an action when its configuration and permissions allow it.
The practical question for an administrator is not simply whether an agent uses artificial intelligence. It is what the agent is allowed to see, which identity it uses, which APIs or business processes it can invoke, whether a person must approve an action, and what record is retained afterward.
Ambient and delegate execution: the authority distinction that matters most
Workday’s administrator guidance distinguishes two execution models. The model determines whose permissions govern the agent’s work and therefore changes the privacy, risk, and testing requirements.

| Execution mode | Whose permissions are used | What administrators should verify |
|---|---|---|
| Ambient execution | The agent acts as itself, using the permissions assigned to its agent identity. | Agent identity, security groups, API access, data scope, allowed business processes, approval thresholds, and audit records. |
| Delegate execution | The agent acts on behalf of a worker and uses that worker’s permissions. | How the worker is identified, whether access is evaluated at each step, what the worker can delegate, approval requirements, and how the action is attributed in logs. |
Ambient mode can make a narrowly scoped automation predictable because the agent has a dedicated identity. Delegate mode can make a workflow reflect a user’s existing access, but it also means the result may vary with the worker’s role, organization, and security assignments. Do not assume that an agent in either mode can perform every step of a task: each operation remains subject to applicable permission checks and configuration.
Questions to answer before choosing a mode
- Does the task need a stable service identity, or must it reflect the requesting worker’s access?
- Could two workers receive different results because their security groups differ?
- Which records and APIs are required, and can the scope be reduced to the minimum?
- Should a person approve a sensitive step before the agent commits it?
- How will an investigator distinguish an agent action from a human action in the audit trail?
What the Agent System of Record does
Workday describes ASOR as a central control framework for a digital workforce. Its stated functions include registering agents, configuring them, monitoring activity, applying governance, and supporting audit. In practice, an organization should treat ASOR as the place to establish an inventory and ownership model rather than as an automatic guarantee that every agent is safe.
Build an agent inventory
Record each agent’s business owner, technical owner, purpose, execution mode, supported skills, connected data and APIs, security groups, approval rules, release status, and retirement date. An inventory prevents an unrecognized agent from becoming a permanent path to sensitive worker or financial data.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsUse lifecycle controls
Require a documented review when an agent is created, when its permissions or skills change, and when a Workday release changes its behavior. Keep a clear status such as proposed, testing, approved, suspended, or retired. Assign an accountable owner who can answer why the agent exists and who can disable it.
Monitor and audit
Review the activity records that ASOR and the relevant Workday services expose. Look for unusual volume, repeated denied permissions, access outside the agent’s intended business process, failed approvals, and changes to the agent’s identity or security groups. Retain records according to your organization’s legal, privacy, and records-management requirements.

How Workday describes privacy and security
Workday says its agent controls include configurable privacy settings, encryption, role-based access, scoped permissions, and audit logs. Those are control categories, not a promise that every agent has identical settings. The effective protection depends on the product, tenant configuration, integration design, and the data exposed to the agent.
Role-based and scoped access
Use the smallest security groups and API permissions that allow the declared task. Separate read access from write access where the process permits it. If an agent only needs a department-level report, do not grant organization-wide access merely because the broader role is easier to configure.
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →Clear out junk files and repair common Windows errorsFree Scan →Encryption
Workday identifies encryption as part of its security approach. Confirm the applicable encryption scope, key-management terms, and data locations in the contractual and product documentation for your tenant. The presence of encryption does not remove the need to control who can request data or what an agent can do with it after retrieval.
Audit logs
Auditability is essential for investigating a mistaken or unauthorized action. Confirm which events are recorded, how the agent and requesting worker are identified, what input and output context is retained, how long records remain available, and which administrators can export or review them. Test a denied request and an approved write operation so you know what the resulting record looks like before production use.
Does Workday use customer data to train public AI models?
Workday’s Responsible AI page states: “We never share customer data to train third-party public models.” This is Workday’s own statement, not an independent audit finding. It should be read together with the product terms, data-processing terms, and configuration documentation that apply to the specific Workday services and tenant.

Administrators should ask whether the statement covers every agent component, connected service, support workflow, and development or testing environment used by their organization. Also verify what data is retained for service operation, abuse prevention, diagnostics, or model improvement within Workday’s own services, because a policy about third-party public models does not by itself answer every retention or processing question.
How Agent Harness limits an agent
Workday describes Agent Harness as providing an isolated runtime environment and enforcing the user’s access limits. Isolation can reduce the chance that an agent reaches resources outside its assigned context, while access limits help ensure that a delegated request does not exceed the worker’s permissions.
These protections still require configuration and testing. The control surface varies with agent type, execution mode, permissions, and the connected tools. A harness boundary is not a substitute for reviewing security groups, API scopes, approval rules, and audit activity.
Test the boundary deliberately
- Use a test worker with only the permissions expected for the intended task.
- Submit a request for an allowed record and confirm the agent returns only the permitted fields.
- Submit a request for a record outside that worker’s scope and confirm it is denied rather than silently broadened.
- Attempt a write or approval step that should require human authorization.
- Inspect the audit record to verify the agent identity, requesting worker, action, result, and any denial or approval event.
What “human oversight” means in practice
Workday describes oversight through least-privilege controls, agent identities, permission checks, scoped execution, audit trails, and human approval when an action exceeds applicable guardrails. This does not mean a person necessarily reviews every answer or every low-risk step. Oversight is normally implemented by deciding which actions are autonomous, which are blocked, and which pause for approval.
Classify actions by consequence
- Informational: reading an authorized record or producing a report. These may be suitable for unattended execution when data scope is narrow.
- Operational: creating or updating a transaction, task, or case. Require stronger logging and consider an approval gate.
- High impact: actions affecting pay, employment status, sensitive personal data, legal obligations, or broad access. Use explicit approval, separation of duties, and post-action review where supported.
Define the guardrail in business terms. “Approval required” should identify the approver role, the event that triggers the pause, the information shown to the approver, the expiration period, and what happens when approval is denied or times out.

Availability: what is known and what must be checked
Availability is not uniform across all Workday agents. It can depend on the named agent, Workday release, tenant type, region, licensing or entitlement, and participation in an access program.
| Item | Status described by Workday | How to interpret it |
|---|---|---|
| Developer Agent | Early Access | Access may require eligibility or enrollment; Early Access is not the same as general availability. |
| Developer Agent General Availability | Targeted for 2026R2 or later | A forward-looking target, not confirmation that GA has occurred for a particular tenant. |
| Other Workday agents | No complete public availability and entitlement matrix is provided | Check the specific agent documentation, release notes, tenant configuration, and account team. |
Because release timing and tenant entitlements change, do not publish or rely on a blanket statement that “Workday AI agents are generally available.” Confirm the current release, account eligibility, licensing terms, and regional availability for the exact agent you plan to deploy.
A practical administrator rollout procedure
- Define the business outcome. Write the task as a bounded workflow, including records touched, write operations, expected volume, and unacceptable outcomes.
- Identify data classifications. Mark worker, payroll, health, financial, and other sensitive fields. Decide which fields the agent must never retrieve or display.
- Select ambient or delegate execution. Choose a dedicated agent identity when stable service permissions are appropriate; choose delegation only when the worker’s access should govern each request.
- Register the agent in ASOR. Capture owner, purpose, supported skills, execution mode, connected tools, permissions, approval policy, and lifecycle status.
- Apply least privilege. Create or adjust security groups and API scopes so the agent can complete the task without broad unrelated access.
- Configure approvals and failure behavior. Specify which actions pause for a person, what happens on denial, and how retries or partial completion are handled.
- Run adversarial tests. Test unauthorized records, ambiguous requests, malformed inputs, repeated attempts, and actions that cross an approval boundary.
- Inspect audit output. Verify that logs identify the agent, worker when delegation is used, requested operation, permission result, approval event, and final outcome.
- Start with a limited population. Restrict users, organizations, data volume, and write capabilities while measuring denials, escalations, and incorrect results.
- Review after every relevant release. Recheck permissions, supported skills, integrations, and availability after Workday updates or configuration changes.
How to compare two agent configurations
When evaluating alternatives, compare the full control set rather than choosing by feature count. The following dimensions expose the differences that affect risk and operating effort.
| Comparison axis | Evidence to collect |
|---|---|
| Business task and skills | Exact workflow, records, APIs, read/write operations, and unsupported edge cases. |
| Authority | Ambient or delegate mode; agent identity; requesting-worker identity; permission evaluation point. |
| Data access | Security groups, fields, organizations, integrations, encryption scope, and retention terms. |
| Approval | Actions requiring a person, approver role, timeout, denial behavior, and separation of duties. |
| Audit | Events captured, identifiers, export and review access, retention period, and alerting options. |
| Availability | Release, Early Access or GA status, entitlement, region, licensing, and account-team confirmation. |
Common mistakes and how to correct them
Treating a marketing statement as an audit result
Workday’s public privacy and Responsible AI pages describe its controls and data-use position. They do not replace an organization’s own contractual review, threat model, or tenant testing. Label vendor statements as vendor statements and request the documentation your procurement and security teams require.

Assuming delegation grants unlimited authority
Delegation is tied to the worker’s permissions and the configured scope. If a task fails, inspect the worker’s security groups and the specific operation that was denied instead of broadening access globally.

Assuming every action receives human review
Human approval applies where configured guardrails require it. Document the autonomous actions that do not pause, then monitor their audit records and set a change-control process for expanding scope.
Confusing a release target with availability
A 2026R2+ GA target for Developer Agent does not establish access today or for every tenant. Verify the current release notes and account eligibility before designing a production dependency.
What organizations should ask Workday
- Which named agents are enabled for this tenant, and under which release and entitlement?
- Does the agent run in ambient or delegate mode, and can that mode be changed by an administrator?
- Which security groups, APIs, fields, and integrations can it access?
- What exact events appear in audit logs, and how long are they retained?
- Which actions can be configured to require human approval?
- What data is processed or retained by each agent component and connected service?
- How do Workday’s terms address customer data, model training, support access, and subprocessors?
- What changes should administrators expect in the next release, and how will they be notified?
Bottom line for privacy, oversight, and access decisions
Workday provides a governance model built around agent identity, execution mode, scoped permissions, approval guardrails, runtime isolation, and auditability. ASOR is the described control center for managing that lifecycle. Workday also states that it does not share customer data to train third-party public models, but that statement should be verified against the terms for the exact products and tenant.
