For most teams, Google Docs is the safer collaboration workspace today. It has an established document workflow with comments, action items, suggestions, and version history. WordPress is the better place to collaborate when the work must remain a block-editor post or page, but its current real-time editing path is experimental: WordPress Core removed real-time collaboration from WordPress 7.0, and the active implementation is in the Gutenberg plugin.

The practical choice is therefore not a universal winner. Choose Google Docs when review, structured feedback, and dependable shared drafting matter most. Choose WordPress when avoiding a publishing handoff is more important and your team accepts plugin dependencies, implementation change, and a boundary between browser edits and server/API updates.

Quick answer: choose the workspace that matches the work

Need Better fit Why
Drafting and reviewing a document before publication Google Docs Comments, action items, suggestions, and version history are documented collaboration features.
Editing a post or page that must stay in WordPress’s block editor WordPress with the Gutenberg experiment Edits, cursors, presence, and notes can remain associated with the editor, but the feature is experimental rather than a generally shipped Core capability.
Stable, low-uncertainty team collaboration Google Docs WordPress’s current real-time path depends on Gutenberg and has a server/API limitation.
Publishing without a later copy-and-paste or import step WordPress The work stays in the publishing environment; this is a workflow inference, not a measured performance result.
Client-side encrypted files Neither for real-time editing of that file Google states that client-side encrypted files cannot be edited collaboratively in real time. WordPress’s experimental implementation also requires careful review of how updates are transported.

Do not treat “WordPress real-time collaboration” as a feature that arrived in WordPress 7.0. A September 18, 2026 WordPress Core update explicitly says real-time collaboration was removed from 7.0. The current route is the Gutenberg plugin experiment, while the broader roadmap continues to discuss server-aware collaboration.

What WordPress collaboration actually means in 2026

Real-time editing is experimental, not a standard Core feature

The current Gutenberg experiment keeps a copy of the post in each participating browser. Those copies are represented as a CRDT document, and browsers exchange updates so that concurrent edits can be merged. This architecture is different from assuming that every change made anywhere in WordPress automatically becomes a collaborative edit.

The important boundary is the server. Changes that arrive through the REST API, WP-CLI, or another server-side path are not shared with browser peers as collaborative edits in the current experiment. Such a change can become an all-or-nothing update from the perspective of the collaborative document. A deployment script, import, automation, or plugin that writes through an API therefore needs its own coordination procedure; simply opening the same post in several browsers does not make those writes safe for concurrent editing.

The roadmap does not equal a shipped release

WordPress’s roadmap describes a phase focused on collaborative editing and workflows and lists WordPress 7.0 among 2026 core-development goals. The later Core status update is more specific about what was actually released: real-time collaboration was removed from WordPress 7.0. Read the roadmap as direction, not as evidence that a finished Core feature is available.

The WordPress Docs plugin route

The Docs plugin listing describes documents inside wp-admin, unique secret share URLs, and access for anyone with a link or for selected invitees. It also describes real-time editing with visible cursors and live changes when used with Gutenberg. Because Core no longer supplies RTC in WordPress 7.0, the practical current route is the Gutenberg plugin experiment rather than a WordPress 7.0 switch that turns the feature on.

Sharing mode affects what collaborators can do:

  • Anonymous link users: can edit text but cannot upload files.
  • Email-invited users: can upload files as well as collaborate.
  • Existing WordPress users: receive full editing and upload access.
  • Restricted sharing: lets the site owner avoid making a document available to everyone who obtains a link.

These distinctions matter for editorial teams that exchange images, PDFs, or other attachments. A person who can edit text through a link is not necessarily able to perform the same file operations as a logged-in WordPress user.

How Google Docs handles collaboration

Review tools are built into the document workflow

Google’s documentation covers comments and action items in Docs, Sheets, and Slides. Comments let reviewers discuss a specific piece of content, while action items turn a discussion into an assigned follow-up. Suggestions propose changes without immediately replacing the original text, which gives an editor a reviewable boundary between proposed and accepted copy.

Version history supplies the audit trail for changes over time. That is particularly useful when several people edit a draft in sequence: an editor can inspect earlier states instead of relying on memory or a manually exported backup.

Encrypted-file qualification

The real-time limitation documented by Google applies to client-side encrypted files. Collaborators can work on the same encrypted file at different times, but Google says they cannot collaborate on it in real time. This is not a claim that every Google Docs file lacks live collaboration; it is a specific restriction for files protected with client-side encryption.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Google also documents conflict notifications and options to refresh or compare unsaved changes. Those prompts are a recovery mechanism when local edits and the current file state diverge. Your available sharing and visitor controls still depend on the Workspace configuration; do not assume that one organization’s permission menu represents every Google account.

WordPress and Google Docs compared by workflow concern

Concern WordPress with Gutenberg collaboration Google Docs
Where the work lives A block-editor post, page, or document in the WordPress environment. A shared document in the Google Docs environment.
Current product status Experimental in Gutenberg; removed from WordPress Core 7.0. Established shared-document workflow with documented review features.
Concurrent editing model Browser copies use a CRDT and exchange peer updates. Shared editing with comments, suggestions, action items, and version history; client-side encrypted files are an exception to real-time collaboration.
Review controls established by the cited documentation Shared editing, cursors, presence, notes, and access modes through the plugin path. Comments, action items, suggestions, version history, conflict notifications, and comparison or refresh options.
Publishing handoff The draft can remain in the publishing system. A team may need to transfer the approved text into WordPress afterward; this is a practical workflow inference from the products’ roles.
Server/API behavior REST API and WP-CLI changes are not peer edits in the current experiment and can produce an all-or-nothing update. Google’s cited help describes conflict handling, but the exact behavior depends on the file and account configuration.
File-upload privileges Anonymous link users cannot upload; email-invited and existing WordPress users have broader upload access as described by the plugin listing. Permission details vary by Workspace setup and should be checked for the specific account.
Implementation risk Higher: plugin dependency, changing Core direction, and an integration boundary around server writes. Lower for ordinary shared-document drafting, subject to account policy and encryption mode.

Which workflow fits common teams?

Choose Google Docs for a draft-and-review pipeline

Google Docs fits a team that separates writing from publishing. Writers can draft in one shared document, reviewers can attach comments or action items to precise passages, and an editor can use suggestions before accepting the final wording. Version history provides a record of how the document changed.

This arrangement is especially practical when contributors do not have WordPress accounts, when the publication team wants a formal review stage, or when the same material may be repurposed for more than one channel. The cost is a later handoff: someone must move the approved content into the WordPress editor and check headings, links, media, embeds, and block structure.

Choose WordPress collaboration for block-native production

WordPress is a better conceptual fit when the thing being edited is already a post or page and the block structure is part of the work. Collaborators can work where the content will be published rather than treating formatting as a separate import step. This can reduce conversion work for layouts that rely on blocks, reusable patterns, or WordPress-specific settings.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The trade-off is operational. The team must install and maintain the Gutenberg experiment, test it against the site’s other plugins and workflows, and understand what happens when automation or an administrator changes the post through the server. This is a reasonable choice for a technically managed editorial team, not a reason to assume that every WordPress site now has Google Docs-level collaboration.

Use a hybrid process when review and publishing have different owners

A hybrid process can be sensible: draft and obtain detailed approval in Google Docs, then create the final block-editor version in WordPress. Alternatively, an editor can create the WordPress post first for layout work while subject-matter experts review a companion Google document. Define one system as the source of truth for each stage. Otherwise, two independently edited copies can drift, and neither tool’s history will explain which version was approved.

How to set up a WordPress collaboration trial

  1. Use a staging site first. Real-time collaboration is experimental, so test with a copy of the site’s theme, plugins, editorial roles, and publishing workflow before enabling it on production content.
  2. Install the Gutenberg plugin. The current RTC path is the Gutenberg experiment, not a WordPress 7.0 Core feature. Confirm that the site’s WordPress and PHP support policy permits the plugin version you plan to test.
  3. Enable the experiment in Gutenberg. Use Gutenberg’s available experimental collaboration setting, then open a test post or page in the block editor.
  4. Invite the smallest useful group. Start with two editors and a non-production post. Check whether cursors, live changes, presence, and notes appear as expected for each participant.
  5. Test every access mode you intend to use. Try an anonymous link, an email invitation, and an existing WordPress account separately. Verify text editing, file upload, and the ability to leave or respond to editorial notes.
  6. Test server-side writes. Make a controlled REST API or WP-CLI update while browsers are connected. Confirm how the site behaves, because these writes are not merged as peer edits in the current experiment.
  7. Document a recovery rule. Decide who stops editing if a conflict appears, which copy is authoritative, and how the team restores a known-good version. Do not rely on simultaneous browser sessions to resolve an automation conflict.

If the trial fails a required test, keep the team on a documented single-editor or Google Docs workflow rather than treating the failure as a minor inconvenience. Experimental collaboration should be isolated from irreversible publishing actions.

Optional transport: WordSocket and WPSignal

WordSocket is an optional WebSocket-based Yjs sync provider described for Gutenberg RTC. Its documented prerequisites are the Gutenberg plugin, RTC enabled in Gutenberg, and a connection to WPSignal. The service carries collaboration updates, cursors, presence, and notes over the WebSocket.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Its data-handling distinction is important: the documentation says collaborative editing updates are not encrypted while relayed, while separate event payloads are encrypted. Do not describe that setup as end-to-end encryption for all traffic. WPSignal is described as independent and not affiliated with or endorsed by the WordPress project. Treat this as an experimental technical option that requires security review, service availability checks, and current terms verification—not as a default recommendation for an ordinary content team.

How to run a Google Docs collaboration workflow

  1. Create one working document. Give it a clear title and keep the draft, review notes, and decision record together until approval.
  2. Share with the intended participants. Use the account’s available sharing controls and avoid assuming that link access, visitor access, or download permissions are identical across Workspace configurations.
  3. Ask reviewers to comment or suggest. Use comments for questions and context; use suggestions when the reviewer is proposing exact wording that an editor should accept or reject.
  4. Assign follow-up work. Convert relevant comments into action items so ownership is visible instead of leaving requests in a general discussion thread.
  5. Resolve the review. Accept or reject suggestions, close completed comments, and check the document’s version history before declaring the text approved.
  6. Handle conflicts deliberately. If Google reports unsaved changes or a conflict, refresh or compare the available versions before continuing. Do not overwrite a local edit without checking what changed.
  7. Transfer to WordPress only after approval. Rebuild or verify headings, links, images, embeds, and block formatting in the WordPress editor. Assign one person responsibility for the final publishing check.

For client-side encrypted files, plan an asynchronous review instead of expecting simultaneous editing. Collaborators can work on the same file at different times, but the documented real-time mode is unavailable for that encryption setting.

Reliability, permission, and security pitfalls

Do not confuse a shared link with full editorial access

In the WordPress Docs plugin, an anonymous link can permit text editing without permitting uploads. If a contributor must add an image or document, use an invitation or an existing WordPress account with the required privileges. Record which link or invitation was used so an editor does not mistake a failed upload for a browser problem.

Do not mix browser collaboration with automation without a handoff rule

A scheduled import, REST update, WP-CLI command, or another server-side process operates outside the current peer-edit merge path. Pause collaborative editing before such a write, or define which version wins and how the team verifies the resulting post.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not call the Gutenberg experiment a finished Core feature

The September 18, 2026 Core update is the controlling status statement for WordPress 7.0: RTC was removed. Earlier design material described HTTP polling, persistent CRDT storage, and a proposed initial limit of two simultaneous collaborators, but that was historical implementation context. It is not a current general WordPress limit or a promise about the released feature set.

Check encryption claims at the transport level

Google’s limitation concerns client-side encrypted files. WordSocket’s documentation separately distinguishes encrypted event payloads from unencrypted collaborative updates while relayed. Those are different claims about different systems; neither supports a blanket statement that all collaboration data is encrypted in every mode.

A decision framework for your team

Score each question before choosing a primary workspace:

  • Must the draft remain a WordPress block document? If yes, test Gutenberg collaboration; if no, Google Docs reduces implementation uncertainty.
  • Do reviewers need suggestions, action items, comments, and version history? Google Docs has those documented tools. Do not assume WordPress’s experimental path provides feature parity.
  • Will automation, imports, or WP-CLI touch the same content? If yes, plan a strict handoff or prefer a workflow where those writes are not concurrent with browser editing.
  • Do outside contributors need to upload files? In WordPress, choose an invitation or existing account rather than an anonymous link.
  • Are client-side encrypted files mandatory? Google documents no real-time editing for those files, so schedule asynchronous work or select a different approved workflow.
  • Can the team maintain an experimental plugin path? If not, do not make Gutenberg RTC the production dependency for a deadline-critical process.
  • Is a later publishing transfer acceptable? If yes, Google Docs can be the review system and WordPress the publication system. If no, WordPress keeps the work closer to its destination but demands more operational testing.

Bottom line

Google Docs is the default choice for teams that value established shared drafting, structured review, and a clear history of changes. WordPress collaboration is worth testing when block-editor context and a direct publishing handoff matter more than feature maturity. In 2026, describe that WordPress path precisely: it is an experimental Gutenberg implementation, not a generally shipped WordPress 7.0 capability, and server/API changes remain outside its peer-edit merge model.
