The right WordPress collaboration plugin depends on the work your team must control. Inline comments and suggestions inside the editor help people discuss a specific block or passage; revision-approval tools manage changes before publication; permission tools decide who may edit, review, schedule, or publish. These functions overlap, but none replaces the others. Map your workflow first, then test the plugin against your editor, content types, roles, and plan.
Start with the workflow, not the plugin list
Write down the path a piece of content follows from idea to publication. Identify the person who drafts, the people who review facts and language, the person who approves the final version, and the person who schedules or publishes it. Also record whether the team works in the block editor, the Classic Editor, or both.
Then identify the point at which collaboration breaks down. If reviewers copy text into email or a separate document, you need feedback that stays attached to the WordPress content. If editors can change a published page without an approval step, you need a revision queue or stronger capabilities. If users can see or edit material they should not access, you need content-specific permissions. A plugin should solve the failure you have documented, not add a second place where work can be lost.

- In-context feedback: comments, mentions, replies, suggestions, and resolution attached to blocks, text, or media in an editor.
- Publishing control: a submitted revision that another person can approve, reject, or schedule before it replaces the live version.
- Access control: rules that determine which users may read, edit, review, change status, or publish particular content.
Some products combine two of these jobs, but evaluate each capability separately. A comment system does not automatically prevent publication, and a revision queue does not necessarily provide comments attached to a sentence.

How WordPress roles and capabilities set the baseline
WordPress uses roles to control what users can and cannot do. The six predefined roles are Super Admin, Administrator, Editor, Author, Contributor, and Subscriber. Capabilities underneath those roles govern actions such as editing posts, editing other users’ posts, publishing, deleting, and managing users.
These defaults are a starting point rather than a complete team policy. For example, a contributor may be allowed to write but not publish, while an editor can generally manage other authors’ content. A collaboration plugin may add its own comment or review rules without changing the underlying ability to edit or publish. Document the desired action for each person before changing roles.
Make an action matrix

Compare this matrix with both WordPress capabilities and the plugin’s documented defaults. A user who may leave a comment should not automatically gain permission to alter or publish the post.
When an inline-comment plugin is the right fit
An in-editor collaboration plugin is appropriate when the team needs feedback to remain next to the material being discussed. The WordPress.org listing for Multicollab describes inline comments and team feedback in the Gutenberg block editor. Its help documentation describes mentions, suggestions, and resolving comments. Those features can keep a question about a headline, image, or paragraph attached to that exact item instead of buried in an email thread.

Capabilities to verify
- Attachment scope: whether comments can target selected text, an entire block, an image, or only the post generally.
- Conversation controls: replies, mentions, notifications, and a clear resolved state.
- Suggestion behavior: whether a suggestion can be accepted or rejected separately from editing the underlying content.
- Role defaults: what administrators, editors, authors, and contributors may do by default, and whether those rules can be changed.
- Editor coverage: which core and custom blocks support comments or suggestions.
- Plan boundaries: which functions belong to the current free or paid offering.
Do not assume that every block behaves like a paragraph. Custom blocks, embedded media, reusable patterns, and third-party fields may have different support. Test the exact blocks your team uses, including a long post with tables, images, links, and embeds.
Design a comment lifecycle
- A reviewer selects the relevant text or block and states one actionable request.
- The assigned writer replies or makes the change, preserving the conversation.
- The reviewer checks the change and resolves the thread only when the request is complete.
- The editor periodically checks unresolved threads before approval or publication.
Decide what a resolved comment means for your records. If your organization must retain an audit trail, check whether resolved discussions remain available to authorized users and how notifications are delivered. A product description can establish that a feature exists, but it does not establish how well it performs on your site or how long notifications take.
When a revision-approval workflow is more important
If the principal risk is an unreviewed change reaching the public site, use a revision workflow rather than relying on comments alone. PublishPress Revisions describes a queue in which changes can be submitted for approval, rejected, or scheduled. Its documentation describes support for both Gutenberg and the Classic Editor.

What to check in a revision queue
- How a writer submits a revision without replacing the currently published version.
- Which users can see pending submissions and which users can approve or reject them.
- Whether the reviewer can request changes and return the item to the writer.
- Whether an approved change can be scheduled for a future date.
- How revisions interact with custom post types, autosaves, and revisions already stored by WordPress.
- What happens to comments or suggestions when a revision is rejected, superseded, or published.
A queue answers “is this version allowed to go live?” It does not necessarily answer “which sentence needs rewriting?” If reviewers need precise editorial discussion, pair the approval process with an in-editor feedback tool or establish a separate documented review method.

When you need more granular permissions
Core roles can be too broad for a large site. You may need one team to edit a department’s pages, another to review a campaign, and a small group to publish. PublishPress Permissions documents content-specific editing controls and custom post-status permissions beyond default WordPress behavior.
Permission questions to test
- Can a user edit only selected posts, pages, authors’ content, categories, or custom post types?
- Can a user review or comment without gaining edit access?
- Can a user change a status such as pending or approved without publishing?
- Do inherited permissions apply to child pages or taxonomy terms?
- What happens when a user’s role changes or the user leaves the organization?
- Are administrators still able to recover content if a rule is misconfigured?
Permission plugins can create interactions that are difficult to see from a single role screen. Keep a written map of exceptions, test with a non-administrator account, and document a recovery account before applying restrictions on a production site.

The examples in this table describe stated product functions, not independent performance results. No option should be called the best choice without testing it against your site’s setup.
A practical selection and rollout process
1. Map the current process
List the people and hand-offs from draft through publication. Record where feedback currently lives, how a reviewer signals that work is ready, and who is responsible for the final decision. Include edge cases such as urgent corrections, scheduled campaigns, and updates to already-published pages.

2. Choose the primary control point
Decide whether the main requirement is selected-text or block-level discussion, a formal approval queue, or restrictions on who can edit particular content. If two requirements are equally important, select tools that integrate cleanly and define which system is authoritative for each decision.
3. Translate roles into capabilities
Use the action matrix to separate drafting, commenting, reviewing, approving, scheduling, and publishing. Compare those actions with the site’s existing WordPress roles before installing a plugin. Avoid granting a broad role simply because it is the nearest default.
4. Test on a staging copy
- Create test accounts representing each real role, including a writer, reviewer, editor, and publisher.
- Duplicate representative posts and pages, including custom post types and the custom blocks used by the team.
- Run a complete cycle: comment, mention a colleague, reply, make a suggestion, resolve it, submit a revision, reject it, approve it, and schedule it.
- Log in as each account and verify what the user can see, edit, delete, approve, and publish.
- Check emails or in-dashboard notifications, mobile behavior if relevant, and the appearance of the final published content.
5. Verify plan and version boundaries
Check the plugin’s current WordPress.org listing, documentation, and plan page at decision time. Confirm the required features are included in the version you will install, along with support for your WordPress and PHP versions. Feature availability and compatibility can change; dated release notes are useful evidence of maintenance but are not a guarantee for your exact environment.

6. Roll out with a written policy
Tell contributors where to leave feedback, when to resolve a thread, how to submit a revision, and who gives final approval. Define an emergency publishing procedure and a way to recover if a permission rule blocks legitimate work. Review unresolved comments and pending revisions as part of the team’s regular editorial meeting.

Common failure modes and fixes
Feedback still arrives by email
Set one required location for editorial requests and show reviewers how to attach a comment to a block or passage. Keep email for notifications or exceptions, not as the canonical record.
Reviewers can comment but cannot finish the job
Check whether the workflow separates comment, edit, approve, and publish capabilities. Grant the minimum additional capability needed, or route the change to an editor who has it.
Comments disappear after a change
Test how the plugin handles replaced blocks, copied content, rejected revisions, and published updates. Establish whether resolved threads are retained and export or record discussions if your compliance process requires it.

Confirm documented block support and test the block on staging. Use a general post-level review process for unsupported content rather than assuming a comment anchored to nearby text will remain accurate.
Permissions lock out the team
Keep a tested administrator recovery account, change one rule at a time, and verify with a non-administrator account after each change. Record exceptions so a future role edit does not silently remove access.
