Use Word’s File > Print pane to choose pages, copies, markup and available printer options, then check the preview before printing. For double-sided jobs and booklets, the right setup depends on your printer’s capabilities and how it feeds paper. Word’s deeper Advanced settings apply to the Windows desktop app; Word for Mac and Word for the web use different controls.
Preview the job and choose which pages to print
In Word for Windows, open File > Print. The pane combines a document preview with print settings. Inspect the preview for page breaks, orientation and unintended blank pages before sending the job. The exact controls can vary with Word version and the selected printer. Microsoft’s printing instructions describe the available page and copy controls.
- Open File > Print.
- Open the menu beside Print All Pages and choose Custom Print.
- Enter the page numbers or ranges you want. For example,
1-3prints pages 1 through 3;3, 4-6prints page 3 and pages 4 through 6. - Set the number of copies and, if the selected printer offers it, choose color or grayscale.
- Review the preview and print.
Page selection refers to the document’s printed page numbering as shown in Word’s preview; a document with sections or custom page numbering may not label pages the same way as their physical position in the file.
Choose whether comments and markup appear on paper
Review material can be useful on a proofreading copy but inappropriate for a clean handout. Decide before printing whether comments and tracked changes belong in the output.

- Include markup: In Review > Show Markup, make sure the review items you want are displayed, then go to File > Print and select Print Markup.
- Print a clean copy: In the Review tab, select No Markup before printing. Check the preview to confirm the page looks as intended.
Microsoft’s Word printing guidance notes that markup printing is a print-pane option; the displayed review settings also affect what you see.
What Word’s Advanced printing options control
In the Windows desktop app, open File > Options > Advanced and scroll to the Print section. These options affect behavior such as how Word handles printing, compatibility and related document features. Microsoft says, “Most users do not need to change these settings,” in its Word Options (Advanced) documentation.

Change a setting only when it addresses a specific printing need, and note its original value so you can restore it if the result is unexpected. Microsoft’s documented Advanced options page is for Windows desktop Word; it does not describe Word for Mac or Word for the web. Printer-specific controls such as print quality, paper trays and media type may appear in the printer’s own dialog, and their location depends on the driver and printer.

First check whether the selected printer supports automatic duplex. In Word, open File > Print and look for Print on Both Sides. If available, select it and choose a binding edge if Word or the printer dialog offers that option. Long-edge binding is generally used when pages turn like a book; short-edge binding is appropriate when they turn over the top. Verify the preview and a test sheet for your intended orientation.

- FAST PRINT SPEEDS: Print up to 19 pages per minute.
- COMPACT DESIGN: Space-saving, compact design fits anywhere in your home, school or small office.
- WIRELESS CONNECTIVITY: Print from almost anywhere in your workspace using your compatible mobile device.
- PAPER CAPACITY: Up to 150 sheets.
- SUSTAINABILITY: Uses less than 2 watts in Energy Saver mode.
| Method | When to use it | What to verify |
|---|---|---|
| Automatic duplex | The selected printer offers Print on Both Sides. | Choose the binding edge if available; print a test to confirm front/back orientation. |
| Manual duplex | Automatic duplex is unavailable, but the printer workflow supports reloading sheets. | Follow the printer’s reload directions and test a few sheets for order and orientation. |
| Odd/even pages | You need to print one side at a time using Word’s page-selection controls. | Print odd pages, reload the stack as required by the printer, then print even pages; confirm the order with a small test. |
For manual printing, select Manually Print on Both Sides if Word offers it, or print odd pages followed by even pages. Printers differ in how the paper stack must be turned or reloaded, so do not assume one universal orientation. Word’s Windows Advanced options also include a control affecting whether duplex pages print on the front or back when using the odd/even method. See Microsoft’s duplex-printing instructions.
On a Mac
Use the macOS print dialog: choose File > Print, then Copies & Pages > Layout. Select Two-Sided and choose Long-Edge or Short-Edge binding as appropriate. If automatic duplex is not offered, use the printer’s manual reload workflow and test first. The exact options depend on the selected printer. Microsoft’s Mac instructions cover the dialog path.

Lay out and print a booklet
Set the document up as a booklet before printing, so Word can arrange pages for folded sheets. The paper sheet must be twice the size of the finished page: for example, a booklet page intended to be half a sheet requires selecting that sheet size in the paper settings. Confirm the paper dimensions against the printer’s loaded stock.
- Open Layout > Margins > Custom Margins.
- Under Multiple pages, choose Book fold. Word changes the page orientation to landscape and arranges pages for folding.
- Increase Gutter to leave space along the fold for binding.
- Open the Paper tab and select the sheet size that produces your intended finished page size.
- Open File > Print. Select duplex printing if available; otherwise use the printer’s manual two-sided instructions.
- Print a few pages as a test. Check sequence, orientation, fold and gutter space before printing the full document.
Booklet arrangement and paper handling are separate concerns: Word lays out the pages, while the printer determines how sheets are fed and turned. Microsoft’s booklet setup guidance explains the Book fold and paper-size settings, and its booklet printing instructions cover printing. The cited instructions do not prescribe a particular staple, binding method or paper brand.

If the print options do not match these steps
- A control is missing: Check that the intended printer is selected in the print pane. Options such as color and automatic duplex depend on that printer and its driver.
- The settings appear different: Word’s version, platform and printer driver can change labels or dialog layouts. The Advanced options path above applies to Windows desktop Word, not Mac or web.
- Pages print on the wrong side or in the wrong order: Stop the job and run a small test. Follow the printer’s reload instructions rather than relying on a generic stack orientation.
- You need tray, stock or quality controls: Look in the printer dialog opened from Word’s print pane. Exact names and locations are driver-specific; consult the printer manufacturer’s instructions for that model.
