Windows Search can miss files for several different reasons: the file may be outside the search scope, indexing may not be finished, or Windows may index a document’s name but not its contents. Microsoft has documented fixes for particular Outlook search incidents, but those do not establish that it fixed the wrong part of general Windows file search—or that search misses a measured “half” of files.
First identify what “missing” means
Windows Search does not use one setting for every kind of search. Finding a file by name depends on whether its location is included in the index or search scope. Finding a word inside a document additionally depends on whether Windows indexes that file type’s contents. A file can therefore be present and searchable by name while its text remains unsearchable.
Start by opening the folder where you expect the file to be, or search from This PC. If you cannot locate it there, the issue may be the file’s location rather than the index. Microsoft notes that some files may have moved after a Windows upgrade; check their location before changing indexing settings (Microsoft’s guidance for finding files after an upgrade).
Check whether Windows searches the file’s location
Windows 11 offers two indexing modes. Classic mode indexes common folders by default—Documents, Pictures, Music, and the desktop. Enhanced mode is designed to cover user folders and files across the PC. You can add other locations when using Classic mode. Microsoft describes Classic as a balance of performance and resource use; Enhanced can use more resources (Microsoft’s Search indexing in Windows guidance).

To distinguish a scope problem from an indexing problem, search from the folder that contains the file or from This PC. If a targeted search works but a broader search does not, check which locations are indexed. Open Settings > Privacy & security > Searching Windows. In Classic mode, use Customize search locations to include a folder outside the default locations. Enhanced mode covers more locations, but it does not make a missing or moved file reappear.
Check whether Windows indexes document contents
By default, Windows indexes file names and full paths. Searching for a phrase inside a file is a separate capability: the file type must be configured for both properties and contents. If its setting is properties-only, Windows can find the file by name but not by words in its body. Microsoft explains, “For files with text, their contents are indexed to allow you to search for words within the files,” and cautions that choosing not to index contents can make files harder to find in some cases (Microsoft Support).
To check a file extension, open Settings > Privacy & security > Searching Windows > Advanced indexing options. In the Indexing Options window, select Advanced, then the File Types tab. Find the relevant extension and select Index Properties and File Contents if you need to search inside those files. The exact content-search behavior still depends on the file type and its ability to expose text to Windows.

Allow indexing to finish before judging results
Indexing runs in the background and updates as data changes. Microsoft says initial indexing can take up to a couple of hours, depending on the amount of data and system activity. Check the indexing status in Advanced indexing options and give it time to complete before treating an incomplete result set as a persistent failure (Microsoft’s indexing guidance).
The index is usually less than 10 percent of the size of the files it covers, according to Microsoft. It can be proportionally larger when a PC has many very small files or computer code. That size note is not a reason to rebuild the index pre-emptively; a rebuild restarts cataloging and leaves results incomplete while the catalog is recreated.
Use the troubleshooter before rebuilding the catalog
- Verify the file and location. Open its folder or search from This PC. For files missing after an upgrade, check whether they moved.
- Check indexed locations. In Settings > Privacy & security > Searching Windows, confirm the folder is included. In Classic mode, add locations outside the defaults with Customize search locations.
- Check the file-type setting. In Advanced indexing options > Advanced > File Types, select Index Properties and File Contents for extensions whose text you want to search.
- Check indexing status. Allow initial indexing to finish if it is still running.
- Run the Search and Indexing troubleshooter. Open Advanced indexing options and select Troubleshoot search and indexing. Follow the prompts for the symptom you are seeing. Microsoft also directs users with missing files after an upgrade to this troubleshooter (Microsoft Support).
- Rebuild only when indicated. In Advanced indexing options, choose Advanced, then Rebuild. Windows must catalog the locations again, so search can remain incomplete while that work proceeds. Microsoft’s Outlook-specific guidance warns that rebuilding may take a long time (Microsoft Support).
What Microsoft’s Outlook fixes do—and do not—show
Microsoft documented Outlook search problems after Windows updates for some configurations using POP, IMAP, or offline Exchange, which relied on the local Windows Search service. Microsoft marked the issue associated with KB5008212 resolved in March 2022 updates and noted that some users might need to rebuild the index; for some, rebuilding could take a couple of days (Microsoft’s Outlook incident guidance).

Microsoft separately marked an Outlook search issue on Windows 11 fixed in the July 21, 2022 update KB5015882, which included a fix for slow index rebuilding (Microsoft Support). Those are specific Outlook incidents, not evidence that every missing result in general Windows file search has the same cause.

What the 2026 Windows 11 Search change covers
Microsoft’s Windows 11 preview notes dated August 27, 2026 describe an option for Search to automatically index frequently used folders, alongside changes to Search Home and result presentation. This may broaden indexed coverage for users who enable or receive the behavior, but Microsoft’s notes do not say it resolves every cause of missing results (Windows Insider Blog, August 27, 2026).
That change is distinct from Copilot+ PC semantic indexing. Microsoft says Copilot+ PCs add semantic indexing for listed formats including TXT, PDF, DOCX, PPTX, XLSX, and common image formats, with data stored locally; Microsoft recommends plugging the PC in during initial indexing. This is a capability for Copilot+ PCs, not a general feature to assume on every Windows computer (Microsoft Support).
