Cloud storage can give employees access to shared business files from different locations while reducing the need to maintain an office file server. It does not automatically make files secure, keep a service available at all times, or replace a backup plan: your business still needs to protect accounts, understand the provider’s responsibilities, and plan for recovery.

What cloud storage changes for a business

With cloud file storage, business files are held through an online service rather than only on a particular office server or device. Employees can access and share them through the service, subject to its access controls and the company’s setup. NIST describes public cloud computing as moving data and services outside the organization, so adopting it also changes where information is stored and who operates parts of the infrastructure.

That shift can be useful when staff work across locations or need to collaborate on shared files. The right fit depends on how employees access, share, and manage business data; cloud storage is not automatically the best choice for every file or workflow.

Why some businesses move file services to the cloud

Make files available to distributed staff

An online service can make shared files accessible without relying solely on a server located at the office. Before choosing a service, identify who needs access, from which devices and locations, and whether staff need shared editing or simply file retrieval.

Reduce some local infrastructure upkeep

Operating a local file service requires ongoing work such as patching, monitoring, and incident response. For small and medium-sized businesses (SMBs) that lack the time or expertise to sustain those tasks, the Cybersecurity and Infrastructure Security Agency (CISA) recommends considering secure cloud versions of business services. CISA’s May 2, 2023 article names Google Workspace and Microsoft 365 as examples; that endorsement does not establish which service or plan suits a particular company.

Moving to a provider-operated service shifts some infrastructure operations, but it does not guarantee lower costs, stronger security, or uninterrupted access. The actual outcome depends on the service, its terms, and how your organization configures and uses it.

Cloud storage still needs security planning

Cloud adoption does not transfer every security responsibility to the provider. Review the shared-responsibility model so you understand which controls the provider operates and which your business must manage. Protect accounts with multifactor authentication, and review how the provider handles data and what its service terms require.

CISA’s May 2, 2023 article says small businesses are three times more likely to be targeted by cybercriminals than larger companies. It also reports that cybercrime cost small businesses $2.4 billion in 2021. These are figures stated in that 2023 article, not a newly measured rate or cost for 2026.

What to check before choosing a service

Compare services against your actual access needs and the risks your business must manage. CISA’s guidance supports reviewing security controls and service terms, but the available evidence does not establish current provider-by-provider prices, storage quotas, uptime figures, or regional availability.

  • Access and collaboration: Check whether staff can reach and share files in the ways their work requires, and how access can be restricted.
  • Identity protection: Confirm how account security works and whether your organization can use multifactor authentication.
  • Data handling and responsibility: Understand where responsibilities are shared and how the provider handles business data.
  • Recovery: Determine what backup, version-history, and recovery options are available, and whether they meet your recovery needs.
  • Availability and service terms: Review commitments and remedies for outages in the provider’s contract; do not assume a cloud service is always accessible.
  • Limits and geography: Verify storage limits, where service and data are available, and any geographic requirements that apply to your business.

Plan details and legal obligations vary. Verify current terms for the specific service, plan, and location under consideration rather than relying on general descriptions.

Keep backups separate from everyday file access

Cloud storage is not a reason to skip backups. If files are lost, damaged, or otherwise unavailable, a separate recovery copy can help restore business data. NIST recommends backing up through a cloud provider or removable hard drive and keeping a backup away from the office. CISA advises frequent offline or cloud-to-cloud backups.

An external hard drive can serve as a local, offline backup, complementing—not replacing—cloud file storage. CISA advises disconnecting the drive when it is not actively backing up, which reduces ransomware’s access to that copy. Choose backup methods and schedules around the amount and importance of your data and the time your business can tolerate being without it.

A practical decision

Cloud storage is worth considering when employees need shared access across locations or the business cannot sustain the upkeep of local file services. Decide only after checking access requirements, security responsibilities, provider terms, and recovery options. If you move files to a cloud service, pair the change with multifactor authentication and a backup plan that gives you a recovery copy beyond ordinary file access.
