If an Outlook theme disappears, it does not necessarily mean all your settings were erased. “Theme” can mean the Office app’s color scheme, Outlook dark mode, the new Outlook header, or stationery applied to outgoing email. Those settings behave differently in classic Outlook for Windows, new Outlook for Windows, and Outlook on the web. Identify which one changed before trying to restore it.
Why did my Outlook theme disappear?
The cause often depends on what you mean by “theme” and whether you recently switched Outlook clients. Classic Outlook and new Outlook are separate clients, and not every feature or preference carries between them.
- Office app theme: Changes the interface color scheme in Office desktop apps.
- Dark mode: Changes the appearance of the app and, separately, can affect how messages look while reading or composing.
- Header theme: A new Outlook appearance preference that Microsoft lists among settings that can be imported from classic Outlook.
- Email stationery: Adds formatting such as fonts, backgrounds, lines, or images to outgoing messages. Microsoft documents this feature for classic Outlook for Windows, not new Outlook or Outlook on the web.
Microsoft’s feature comparison and stationery guidance use “themes” for different capabilities. The comparison lists a Themes feature for new Outlook, while Microsoft’s stationery instructions say email stationery and themes are unavailable there. These refer to different kinds of appearance settings: do not assume that a new Outlook header theme is the same thing as classic Outlook email stationery. Microsoft’s feature comparison and its stationery instructions describe the capabilities separately.
Will my Outlook settings transfer to new Outlook?
New Outlook can import selected preferences from classic Outlook for Windows. The import is optional during first-time setup: you can choose Import Settings or Skip. If you skipped it, or the prerequisite for import was not met, some preferences may not appear after switching.

Microsoft’s documented import list includes selected mail and calendar preferences—not every customization. Mail settings include conversation grouping, reading pane position, density, preview text, folder expansion, dark mode, header theme, notifications, signatures, auto-replies, Focused/Other, display language, mark-as-read behavior, Quick Steps, the pinned calendar/to-do pane, and default font. Calendar settings include meeting hours, reminders, time zones, date and time formats, and calendar view. See Microsoft’s current settings import guidance for the documented list and migration steps.
For the documented import to work, classic Outlook must have General > Store my Outlook settings in the cloud selected in Outlook Options. Microsoft says enabling this option requires restarting Outlook. If you did not previously use Outlook for Windows, Microsoft says new Outlook applies default settings. Microsoft also says settings in new Outlook are reflected in Outlook on the web.

Retry the settings import
- In classic Outlook, open File > Options > General and select Store my Outlook settings in the cloud, if it is not already selected.
- Restart classic Outlook if you just enabled that option.
- In new Outlook, open Settings > Accounts > Your accounts.
- Next to your primary account, select Manage, then Get Started to retry migration.
Microsoft’s instructions for getting started with new Outlook describe the optional first-run choice. Importing selected preferences does not mean every classic Outlook customization will transfer.

Why does Outlook keep changing back to the default theme?
If the Office desktop apps changed from Colorful to matching Windows, an Office visual refresh may have changed the selected theme to Use system setting. Office then follows Windows’ light or dark appearance. Microsoft documents this selection change; it does not establish that all Outlook settings were deleted.

How do I restore Outlook dark mode?
Dark mode is not the same as email stationery, and message appearance can have separate controls from the overall app theme.

Message reading and composing
If only the message background looks different, check the light-background control in the reading pane or compose window. A message can appear light or dark without the overall app theme changing. Microsoft’s Dark Mode in Outlook guidance covers the controls by client.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Where did my saved stationery go?
Classic Outlook for Windows saves custom stationery as HTML in %appdata%microsoftstationery. Check that folder for the file you created, then apply the stationery in classic Outlook using its stationery settings.
Microsoft says stationery and email themes are available in classic Outlook for Windows, but are not currently available in new Outlook for Windows or Outlook on the web. A saved HTML file may still exist on your computer, but that does not make the classic stationery feature available in the other clients. Microsoft documents the feature and file location in Create stationery for email messages.

What to check if the setting is still missing
- Identify whether you are using classic Outlook for Windows, new Outlook for Windows, or Outlook on the web.
- Name the missing setting precisely: Office theme, dark mode, new Outlook header theme, or outgoing-message stationery.
- If you switched clients, check whether you selected Import Settings and whether classic Outlook’s cloud-settings option was enabled.
- Use the recovery route for that setting: Office Theme, Outlook Appearance, migration retry, or the classic stationery folder.
- If the result still does not fit, note your Outlook client and version, account type, the date of any recent update or switch, and the exact setting name.
Microsoft’s reviewed public guidance does not identify one universal defect that explains every report of a disappearing Outlook theme. The client, setting type, and migration path determine which recovery option applies.
